1What the Admin area does #
The Admin area is where a company is born and where people are given the right to work in it. Nothing here records a sale or a payment. Everything here decides who may do that, in which company, in which branch, and on which screens.
The work always runs in the same order, because each step needs the one before it:
| Step | What you set up | Where |
|---|---|---|
| 1 | The licence - how many companies and users you bought, which modules, and the edition (Professional or ERP) | Read-only here; it comes from your supplier. Company Management shows it. |
| 2 | The company - a database of its own, created from the model | Company Management > Create company |
| 3 | Its details - name, address, registrations | Company Details |
| 4 | Its structure - branches, then divisions and group companies | Branch Master, Division Master, Group Company Master |
| 5 | The users - who may sign in, and which companies they may open | User Manager |
| 6 | Their rights - branches, screens, vouchers, reports and the sidebar menu, per company | User Manager, the permission tabs |
| 7 | The rules of use your staff accept at sign-in | User Terms |
| 8 | The evidence - what was sent, changed, deleted or read | Notification Log and the audit reports |
2Where to find help #
Help comes in two shapes, and they are the same words.
- On every screen: the Help panel on the right. Press the chevron to open or dock it. It says what the screen is for, how to do the job step by step, what each field means, the rules the server enforces, the keys, and what to do when something does not work.
- The manual: at the foot of this page, every Admin screen's help in full, screen by screen - Company Management, Create Company, Company Details, the three structure masters, User Manager, User Roles, User Group, User Terms, Notification Log, Company Selection, your User Profile and the Terms and Privacy page. Use it to read ahead or to train somebody.
- The search box in the help finds a word across every screen's help, so you can look up a message without knowing which screen produced it.
3Where things are - the Admin menu #
| Menu | Page | Use it to |
|---|---|---|
| Admin | Admin Getting Started | Read this guide. |
| Admin | User Group | Put users together under one name - for document permissions and as approvers. |
| Admin | User Roles | Define the roles that exist and give extra roles to users. Roles apply in every company. |
| Admin | Notification Log | See every e-mail, SMS, WhatsApp and API push the software tried to send, why one was skipped or failed, and resend it. |
| Admin | Modified/Deleted/Cancelled Entries | The audit report: which entries were changed, deleted or cancelled after posting, by whom and when. |
| Admin | Company Management | The hub: create a company, edit its details, open its branches, divisions, group companies and user terms, and read what the licence allows. |
| Admin | Branch Master | Rename the default branch and add the others (adding is ERP edition only). One branch per company is free; the header shows how many of the licence's additional branches are used. |
| Admin | Division Master | A second way to slice the company, across branches. |
| Admin | Group Company Master | The legal entities some branches invoice under (ERP edition only). |
| Admin | Company Details | The name, address and registrations of the company you are signed into. |
| Admin | User Manager | Add users and templates, give them companies, set passwords, and grant rights on the permission tabs. |
| Admin | User Terms | Write and publish your firm's own rules of use, which every user accepts once. |
| Admin | Report Access Log | Who ran, exported or e-mailed which report, and with what filters. |
| Admin | Approval Ageing | Every approval still waiting, banded by age. |
| Admin | Approval Throughput | Decisions per period, by outcome and module, with the median time taken. |
| Admin | Subscription and Add-ons | See what your licence holds - users, companies, branches, modules, the current period - and buy for it online: buy a demo and keep its data, or add to a paid subscription. Administrators only. |
| (no menu) | Create Company | The wizard behind Create company. Also on the Company Selection screen, for an Administrator. |
| (no menu) | Company Selection | Where every user picks the company, branch and report option to work in, after signing in. |
| (no menu) | User Profile | Click your own name or photo in the header, sidebar or footer: your account card, and the place to change your own password. |
| (no menu) | Terms and Privacy | The product's Terms of Use and Privacy Statement, from the links on the sign-in screen. |
4First-day setup (administrator) #
Do these once, in this order. Steps 1 and 2 belong to whoever looks after the server and the databases; the rest are done in the application by an Administrator.
- Company Management: create the company, or open the one you are signed into. Check the licence figures at the foot of the page - companies, users, modules and additional branches.
- Company Details: name, address, state and GSTIN. The state decides whether a supply is intra-state or inter-state on every voucher.
- Branch Master: rename the default branch to your main office. On the ERP edition, add the other branches. Each company has one branch free; every other active branch is an additional branch, counted against the licence across all its companies. When the header shows the number used up, Add is refused with the message *Each company has one branch free. This licence allows ... additional branch(es) and ... in use.* - disable a branch you no longer use, or ask your supplier for more. 0 of 0 used in the header means no additional branch has been bought, so the company works in its one branch. Every financial-year database of a company is counted on its own - for additional branches and for company databases alike. If the licence server cannot be reached, no company, user or branch is created (and no disabled user or branch is switched back on) until it answers; everything that exists keeps working.
- Division Master and Group Company Master if you use them - then switch on Track divisions and Allow group company in Settings > General Settings.
- Settings > Email Account: set up the company's mail account and send a test. The welcome message and set-password links to new users go out from it.
- User Roles and User Group, if you use extra roles or groups.
- User Manager > Add template: make a template for each kind of job (counter, accounts, store) and give it the rights that job needs. Users who follow it inherit its rights.
- User Manager > Add user (F3) for each person: name, login, role, e-mail and mobile, the template they follow, and the companies they may open. Save (F5).
- On each saved user, work through the permission tabs for each company: Branch Allocation (ERP), the object tabs, Reports, and last Menu Definition - without menu ticks a user signs in to an empty sidebar.
- User Terms: fill in the placeholders, save the draft and publish. From then on every user accepts them at their next sign-in.
5Keys that work on every Admin screen #
| Key | What it does |
|---|---|
| F2 | Find - open the list and pick a record (on User Manager the list is always on the left). |
| F3 | Add a new record. On User Manager, Add user. On User Roles, F3 reloads the lists. |
| F4 | Modify the record on screen. On the Notification Log, Resend the selected message. |
| F5 | Save. On the Notification Log, Apply filters. |
| Esc | Close the open dialog, else cancel the edit, else close the page. |
| Enter | Moves to the next field. |
The Notification Log has its own set: F2 reload, F5 apply filters, F4 resend, F6 send a new message, F7 print the page, F8 export CSV, Esc close the detail panel. Inside its send dialog F5 sends and Esc closes.
The Create Company wizard has no Enter-to-submit on purpose: creating a company is a deliberate act. Move with Tab and Shift+Tab, and press the buttons.
After Save a master stays on the saved record in view mode. Every problem found at save is listed at once, as a numbered list, not one per attempt.
6Creating a company #
A company here is a database of its own, not a row in a list. Creating one copies the model database, attaches it to SQL Server under a new name, registers it so the rest of the product can find it, writes the new database's own company row, adds you to its user list, and allocates the custom reports to you.
Step by step
- Open Company Management and press Create company (or Create Company on the Company Selection screen). The button is there only for an Administrator.
- The first screen is a check, not a form. If a folder, a file or the licence allowance is missing, it names the one thing to fix and stops.
- Company: the name is the only required field. It prints on every document and the database is named after it.
- Address: three lines, as they should print. Choose India and the State box becomes the list of states.
- Registrations: all optional. A GST number is checked as you type - 15 characters, its first two digits the state code, and a check character that catches two characters swapped.
- Year and confirm: the financial year, then a summary showing the exact database name that will be created. Press Create company.
- Keep the page open. It shows five steps as they happen: checking the licence and folders, copying the model database (with the megabytes done), attaching it to SQL Server, setting up logins and permissions, and registering the company and adding you as its user. It usually takes a minute or two.
When it finishes, the company is in your company list at once, because it is allocated to you. You are also written into the new company's own user list, so you can open it and save straight away. Other users are given the company in User Manager.
What the licence allows
Companies are sold by count. The allowance is counted against the companies created under your licence serial, not every company on the server. When it is used up, Create is refused and the message says how many the licence allows and how many exist - quote that to your supplier. If your login has no serial recorded, nothing can be created: an allowance that cannot be read is treated as none.
A Developer may edit the companies allocated to them but may never create one. A Global Administrator works under the licence of the company it signed into and is bound by its limits.
How the database is named
C{code}_{NAME}_{yy}{yy}_INV_{serial}: the company code (the next one after the highest in use), the name reduced to letters and digits, the two years of the financial year, and the licence serial. Because the code, the year and the serial are in the name, none of them can be changed afterwards. A new financial year is a new company, made by the wizard.
If it fails half-way
A file copy and a database attach cannot be rolled back, so a failure is undone: the database is dropped, the copied files are deleted, and the table writes roll back together. The result lists every step that was undone - including any undo that itself failed. If it says a database could not be dropped or a file could not be deleted, remove it by hand before using the same name again.
- "... has no permission to read ..." - the API's account (named in the message) needs Read permission on the two model files themselves.
- "Unable to open the physical file ... Access is denied" at the attach - SQL Server's service account cannot read the data folder.
7Company Details #
Company Details edits the company you are signed into: the name printed on documents and returns, the display name the ERP shows where the full one would not fit, the address, telephone, e-mail and website, the GST number and other registration numbers, and the settings block the wizard also offers. Save writes all of it together; a refusal leaves everything as it was.
- Company code, database name and financial year are shown greyed and cannot be changed - the database is named after them.
- State matters beyond the address: it decides the GST treatment of every supply.
- GST number: checked for shape; its first two digits must be the state code. Clearing it is allowed - that is how an unregistered company is recorded.
- Changing the name does not reprint old documents. A document printed yesterday carries yesterday's name.
8Branches, divisions and group companies #
Company Management shows the three as cards, with how many exist and whether their switch in General Settings is on. The cards for divisions and group companies stay visible when the switch is off, so the structure can be built before the feature is turned on.
Branches
- Every company starts with one branch. Rename it to your main office rather than adding a second.
- Adding branches is ERP edition only. Professional works in branch 1 and opens it here in view mode, with no Add or Delete - you can still edit its details.
- Branch Name is required, unique, and at most 30 characters. Formal Name is the legal name for documents when it differs.
- GST Number is checked as you type; a branch that invoices under its own registration prints it.
- Branch Account and Reports Under point at ledger accounts and may be left blank until the ledgers exist.
- Display Order sets the order in pick-lists. Latitude, Longitude and Punch Radius are the geo-fence the mobile app checks a punch against - all three are needed.
- Disabled retires a branch: it stops appearing in new-entry pick-lists everywhere.
The default branch cannot be deleted, and neither can a branch anything has been posted against - around sixty tables refer to a branch. Disable it instead.
Divisions
- A division is which part of the business something belongs to - a product line, a unit, a project. A branch is where it happened.
- Applies to branches: leave it empty and the division applies to every branch, including ones created later. Pick branches only if it belongs to some (ERP edition).
- Names are unique and at most 50 characters. A used division cannot be deleted; mark it Inactive.
- Until Track divisions is on in General Settings, divisions save here but appear nowhere else. Once it is on, every standard report offers the Division filter, entries can carry a division, and the ledger and product masters offer division-wise opening.
Group companies (ERP edition)
- A group company is a legal entity that some branches invoice under, where one set of books covers more than one registered business.
- Group Company Name (required, unique) and Display Name (required, 30 characters, what documents print). Add the entity's address, GSTIN and bank details - these print on its documents.
- Press Add branch for each branch under it. The group and its branch list save together - all or nothing. A branch listed twice on one group is refused.
- Deleting a group takes its branch list with it; a group documents refer to cannot be deleted - mark it inactive.
- Switch on Allow group company in General Settings once the groups are in. Off, the Group report option disappears from company selection.
9Adding a user #
User Manager lists everyone who signs in on your licence, and the templates they can be built from. Users of other licences on the same server are not listed and cannot be reached. The header shows Seats used, Templates and the Mode the screen is in.
Step by step
- Check Seats used. A seat is taken by a user who is neither a template nor disabled. If none are left, disable someone who has gone or ask your supplier for more.
- Press Add user (F3).
- Identity: Full name (up to 50 characters) and Login name - unique across the whole installation, and fixed once saved. Pick the Role and, if you use them, a Group.
- Sign-in: leave the password empty. The welcome message carries a link, and the person chooses their own. Authentication is Application (the stored password) or DB Server (SQL Server signs them in; Administrators only). Tick where the login may be used: Web ERP, Desktop, Mobile. (The web sign-in today refuses only a login allowed on the Customer Portal and nowhere else; the ticks are stored with the user, but unticking Web ERP does not by itself stop a web sign-in.)
- Template: tick Follow a template and pick the Template followed if this person should inherit a template's rights.
- Contact: E-mail and Mobile are both required for a new user. The welcome message goes to the e-mail; notifications use both.
- Access: tick the Companies this user may open. Without one they can sign in and reach nothing.
- Save (F5). The screen tells you whether the welcome message actually went.
- With the user now shown in view mode, set their rights on the permission tabs below (see Rights and menu access).
What saving a user does in each company
- Each company newly ticked gets the product's default rights for this user - the standard permission template is copied in, without overwriting any right already granted. Without it a new user could do nothing, because a missing right reads as no right.
- On the Professional edition the user is also given branch 1 of each new company, since there is no Branch Allocation tab there. On ERP you allocate branches yourself.
- The login is copied into the user list of every company it keeps, on every save - name, role and password included - as the desktop does. Without that row the user could open the company and fail on their first save. A company whose database is missing or offline is skipped with a warning in the server log; the save itself goes through.
- Unticking a company removes every right the user held in it. Untick only when you mean it.
Templates
A template is a user record kept to be copied onto real people. It cannot sign in, does not use a seat, and is listed separately. Press Add template to make one. Whether a record is a template is fixed once saved. A user who follows a template inherits its rights through the permission function - so a right missing on the user but granted on the template still applies.
Passwords
- A password set here must be at least 8 characters with an upper-case letter, a lower-case letter and a digit.
- Send set-password link (on a saved user): the person chooses their own. The link works once and for 7 days; a new link retires the old one. It needs an e-mail address and an enabled user.
- Set password: for when you are beside someone who cannot get in. You will know the password; it also retires any outstanding link.
- Neither is offered for a template. Passwords are stored encrypted and never shown back. An empty box while editing keeps the current one.
- A user changes their own password on User Profile (click your name). That screen asks for the current password and accepts 6 to 50 characters.
Disabling
Tick Disabled to block sign-in and free the seat. History keeps pointing at the user. Enabling takes a seat again, so the allowance is checked then too. You cannot disable the account you are signed in with.
One session at a time
A login may be signed in in one place at a time. Signing in on another device or browser closes the earlier session, and that screen returns to sign-in with the reason: it was signed in on another device or browser. Signing in again in the same browser is not a second device. Desktop and browser sessions are kept in the same log, so an administrator sees both side by side. Give each person their own login rather than sharing one.
The exception is a demo licence: its logins may be signed in on several devices at once. A DEMO marker beside the product name in the header shows when it expires; press it for the kind of licence, the serial, the expiry date and days left. It turns amber inside the warning window and red once expired. Unticking Demo licence on the licence restores the one-session rule from each login's next sign-in.
10Rights and menu access #
Rights are held per user and per company. The company picker on the tab strip decides which company you are setting; each company is set separately. The tabs appear only while viewing a saved user, and each tab saves on its own with its Save button - so what is ticked and what is typed above cannot be half-saved against each other.
| Tab | What it grants | Columns |
|---|---|---|
| Branch Allocation | The branches of this company the user may work in. ERP edition only; first, because a user with no branch has nowhere to post. | Allocate |
| Masters | The master screens. | Create (F3), Alter (F4), Delete, Find (F2), View, Change Status |
| Vouchers | Every voucher type, grouped by module. | Create, Alter, Delete, Find, Print (F12), Re-Print, Print Preview, Status Change, Show In Link Pending, Edit Sundry, Can Close Link Src., Voucher Sharing, Allow Load Voucher, Allow Rate Edit, Allow Stock Reserve, Allow Post Dated, Enable Activity Monitoring, Allow Update Work Schedule, Allow Posting, Allow Workflow Submission, Required Status Items |
| General Transactions | Transaction screens that are not vouchers - requests, orders, registrations. | Create, Alter, Delete, Find, View, Status Change, Print, Re-Print, Print Preview, Required Status Items |
| Tools & Utilities | One switch each: may this user run it - utilities, and standing permissions such as changing a transaction date. | Execute |
| Preferences | What the user may do inside a screen rather than which screens they reach. | Allow? |
| Custom Reports | User-built reports (My Reports). View decides whether a report is listed at all. | View, Print, Export, Edit, Save/Clear Layout |
| Reports | Every standard report on the menu, grouped as the menu groups them. A report added to the menu later appears here by itself. | View, Print, Export, Edit, Drill Down, Report Options |
| Menu Definition | The sidebar, as a tree of sections and items. | On the menu |
How a right is decided
- An Administrator or Global Administrator holds every right in the companies they are allocated, whatever the tabs say. The tab says so; for them the ticks are advisory.
- A right takes effect at the user's next sign-in.
- Rights in a column filter like any grid: filter Delete to see who may delete. The tick in a column heading ticks or clears it for every row on the tab.
The licence comes first
An object whose module is not on the company's licence is not offered, and saving a right on one is refused with a message naming it. Rights stored before the licence changed are kept, neither shown nor changed. A note above the grid says how many objects are not listed and which modules they need.
- Masters, General Transactions, Tools & Utilities and Preferences list an object only when its module is on the licence, or it is marked for all modules.
- Vouchers are grouped and gated by the module of each voucher type (its own module, else its base type's), as set in Voucher Manager.
- Objects filed under Others and similar codes that no licence module names are not listed on any licence. That includes Data Import/Export Services, General Settings and Report & Form Designer among the tools and utilities: today only an Administrator holds them. It is a deliberate rule, not an oversight.
- If the licence cannot be read at all, nothing is hidden and saves are not gated - so the one screen that can fix things is never emptied.
Menu Definition - the sidebar
- Menu ticks decide what the user sees. No ticks at all means an empty sidebar - this is deliberate, and it is the commonest reason a new user sees nothing.
- Ticking a section grants everything under it, including the pages its section page shows as cards. Single pages are not listed one by one.
- Granting an item brings the headings above it, so the tree never breaks.
- Sections whose module the licence does not include are left out with everything under them.
- Administrator, Global Administrator and Developer are not filtered - they see the whole licensed menu.
- The Admin section is listed only for those three roles. Ticking it for anybody else does nothing.
- Standard reports are ticked on the Reports tab, not here.
11User Roles and User Groups #
User Roles
Roles let one user hold several jobs at once - an Administrator who is also the Customer Portal Admin, for instance. They sit alongside the primary role on the user record, which this screen never changes. Everything here lives in the licence database, so a role applies in every company.
- The Roles pane defines what exists. Press New role, name it, and Save (F5).
- The Users pane decides who holds what. Search a login or name, pick the user, tick their roles and press Save roles.
- The user holds the new roles from their next sign-in - roles travel inside the sign-in token.
- A System role cannot be renamed or deleted - the application looks it up by name.
- A role someone still holds cannot be deleted. Mark it Inactive: it cannot be newly granted, but whoever holds it keeps it until revoked.
- To remove access immediately, disable the login in User Manager instead of waiting for a sign-out.
- Only an Administrator or Global Administrator may open this screen.
User Group
A user group is a name, a description and its member users - at least one. Use it to grant document folders in Document Management in one stroke, and to name approvers: wherever an approval lets you pick users or user groups, a group stands for whoever belongs to it at the moment of approval.
- Press Add (F3), name the group, and add member users in the grid (F3 or Enter off the last row adds a row).
- Save (F5) and confirm. The group and its members save together.
- While adding, Duplicate... copies an existing group's details and members into the new one.
- Group names are unique. The same user may appear only once in a group.
- An empty or inactive group stands for nobody - an approval level left with nobody is refused.
- A group named on a document permission cannot be deleted. Inactive retires it.
12Signing in, company selection and the terms #
Every session passes the same gates, in this order. Knowing them explains most "I cannot get in" calls.
- Sign-in: the login and password. A disabled user ("User account disabled. Contact Administrator"), a template, and a login allowed only on the Customer Portal are refused here.
- User Terms: if your firm has published terms the user has not accepted, they are shown once and must be accepted before going further.
- Company Selection: pick the company, the branch and the report option (All, Branch or Group; Group also asks for the group company). Only companies allocated to the login are listed.
- Terms of Use: if the licence has not yet accepted the current product terms, the first user through accepts them for the whole firm, once per licence.
- Licence expiry: inside the warning window an amber banner names the expiry date and days left. Once the date has passed, the banner turns red and Continue is refused for that company. Renewing restores access at once; no data is deleted.
- A company appears in the list only when it is allocated to the login, has a financial-year row, and its database exists. A Global Administrator is offered every company.
- Nothing switches company in the middle of a session. To change company, branch or report option, go back to Company Selection.
- The report option decides whether reports read the user's branch, the whole company, or a group company. A user with none sees "No report options are assigned to this user."
- When the licence server cannot answer, nobody is locked out - only a licence positively known to be expired refuses.
Your own profile
Click your name or photo to open User Profile. It shows who the application thinks you are - login, primary role, company and branch - as read at sign-in, and lets you change your own password. Everything else on it is read-only; address, phone and e-mail are maintained by an administrator. Changing your password does not sign you out anywhere.
13Licence and editions #
The licence is issued by your supplier against a serial number. It says how many companies and users you bought, which modules are on it, the expiry date, and the edition. The foot of Company Management shows this login's subscription: companies used of those allowed, user licences allotted, modules subscribed (listed as chips), and branches and divisions - unlimited, because they are not sold by count.
| Professional | ERP | |
|---|---|---|
| Branches | One - branch 1, editable but no Add or Delete | As many as you need |
| Branch Allocation tab in User Manager | Not shown; branch 1 is given automatically | Shown first |
| Group companies and the Group report option | Not available | Available |
| Branch pick on transactions (General Settings) | Not shown | Available |
| Applicable branches on templates, profiles and providers | Not shown | Available |
| Branch field on Close Transaction Period | Not shown - the period covers the company | Shown |
- The edition name in the header reads InvoiceNET® ERP or InvoiceNET Pro, from the company's licence.
- Modules decide which parts of the product appear at all: a module not on the licence is missing from the menu, and its screens refuse.
- Users are counted at the seat check in User Manager; companies at Create company.
- To add a module, seats or companies, or to renew, contact your supplier with the serial number shown on Company Management.
14Subscription and Add-ons #
Admin > Subscription and Add-ons shows what your licence holds and lets an Administrator buy for it without leaving the software. What can be bought depends on the licence.
| Your licence is | What you can do here |
|---|---|
| A demo | Choose a whole plan - monthly or annual, companies, additional branches, users, modules and features - fill in the billing details and pay. The same licence then stops being a demo: the company and everything entered in it are kept, and you sign in as you do now. |
| A paid subscription | Add more companies, branches, users, modules or features. What you add is ready within a minute or two of paying. It runs to the end of your current period and is charged for the days that are left; from the next renewal it is part of your plan. |
| Issued by C-Land directly | Nothing is sold from here; the screen says to contact us. |
- The top card shows who the licence is for, the plan and its current period, the day sign-in runs to, users and companies in use against allowed, additional branches allowed, and the modules switched on.
- Company - one per company database. Each financial year of a business is its own database and counts as one, so plan for one more each year.
- The price is worked out by the server, line by line with its arithmetic, tax and total, a moment after every change. It is worked out again when the order is placed.
- Pay opens the payment gateway's own window. Card and bank details are never typed into the software. Pressing Pay twice is one order; closing the window leaves the order saved - press Pay now to continue it.
- After paying, the screen follows the order to Done. A new module appears in the menu when you next open a company. The tax invoice arrives by e-mail at the address on your licence.
- On a paid subscription the invoice is made out to the billing details already on the licence; to change them, contact us before buying.
- Buying a demo: a module tried and not bought is switched off the day you pay. If you buy fewer users, companies or branches than the demo allowed, nothing already made is deleted, but the bought numbers apply from then on. A plan cannot have fewer companies than the company databases in use.
- If the change cannot be made after you have paid, the payment is refunded automatically and the licence is left as it was.
Renewing
A paid subscription runs period by period - a month, or a year. From 14 days before the period ends a Renew your subscription card appears on this screen with the amount for one more term, and reminders are mailed to the address on your licence.
- What is renewed is the plan as it stands: every company, branch, user, module and feature your subscription holds, at today's prices. A price that changed during the period reaches you only at renewal.
- Renewing early loses no days. The next period starts the day after the current one ends, whenever you pay before then - and also when you pay during the grace days.
- On a demo, choose what you try. The card Modules in your demo lists every module and feature a demo may have. Tick and untick them and press Save the demo's modules - as often as you like, at no charge. What you entered in a module you switch off is kept, and is there again when you switch it back on. The menu follows when you next open a company.
- When you ask C-Land to change it for you. Our staff send a six-digit code to the e-mail address or mobile on your licence, with a sentence saying what they are about to change. Give them the code only if that is what you asked for; afterwards you are mailed what was actually changed. What costs money is mailed to you as a link that you pay yourself. A code you did not ask for should be given to nobody - tell us.
- The same on our website, without the ERP. Under My account on the InvoiceNET website you can do everything this screen does. Sign in with the e-mail address your licence is registered to, or the e-mail address on an Administrator's user, and the six-digit code mailed to it - there is no password. It is the place to renew when the subscription has run out and nobody can sign in to the ERP. Keep the e-mail address on each Administrator's user their own: whoever receives mail at it can manage the licence there.
- Press Renew - pay, pay in the gateway's window, and the screen follows the order to Done. The top card then shows the new period, and the tax invoice arrives by e-mail.
- Reminders are mailed 14, 7, 3 and 1 days before the end and on the last day; then each day of grace; and once when sign-in stops. Each carries the amount, and a link to pay without signing in when C-Land's website address is set.
- After the period ends the software keeps working for the grace days (seven by default). Nothing can be added to the subscription until it is renewed.
- After the grace days nobody can sign in. Your companies and their data are kept. Pay the renewal from the link in the reminder mail: the new period starts on the day you pay, and sign-in works again within a minute or two.
- If the plan or the prices change after a reminder was sent, its link leads to the renewal as it stands now.
You buy and renew for your own licence only: it is the one your sign-in belongs to. Fewer users, a dropped module or a change between monthly and annual are set on the card Change your plan from the next renewal; they take effect when the new period begins.

Where C-Land offers it, and your subscription is paid in rupees, an Automatic renewal card is shown. With it on, each renewal is charged to a payment method you have agreed may be charged, and you need do nothing. It is optional, and off until you choose it.
- On the Renew your subscription card tick Renew automatically before pressing Renew - pay. Read the sentence beside the box: it says the most one renewal may take.
- If both are offered, choose Card or UPI Autopay. Pay the renewal in the gateway's window as usual; the method you pay with is saved by the payment gateway.
- The Automatic renewal card shows Waiting for the bank until your bank confirms the method - usually within minutes - and then On, with the method and its limit.
- To use a bank account instead, tick the box under Set up a bank mandate on that card and press the button. No money moves; your bank confirms it in a few working days.
- You are told first. The reminders 14 and 7 days before the end say the amount and the day it will be charged. The first try is 3 days before the period ends.
- If a charge fails you are mailed at once with a link to pay, and it is tried again on the last day and on the 3rd and 6th days of grace. You are never charged twice for one renewal, and paying it yourself ends the tries.
- A renewal above your limit is never charged. You are mailed a link to pay it; ticking the box while paying allows the new amount for the renewals after it.
- To stop, press Switch automatic renewal off... on the card and confirm. The saved method is withdrawn at once.
- What is kept. Your card, UPI or bank details are held by the payment gateway. The ERP keeps only the gateway's reference, who agreed, when, and the sentence agreed to.
15User Terms #
These are your firm's rules for the people who use the system - password secrecy, authorised use, confidentiality, what happens when someone leaves. You write and publish them here; every user is shown them once and must accept before reaching the application. They are separate from the product's own Terms of Use (accepted once per licence) and Privacy Statement, which come from the supplier.
- Open User Terms. The first time, the installation template is copied into your licence's own version 1 draft.
- Press Auto-fill placeholders from settings: [COMPANY NAME] becomes your company's name and [ADMIN CONTACT] your mobile number (or e-mail when you have no mobile). It fills the editor only - review before saving.
- Type anything it could not fill. Edit the title, preamble and sections - plain text: a blank line makes a paragraph, a line starting "- " a bullet. Reorder with the arrows, remove with the cross, Add a section for more.
- Save draft. Publishing publishes what is saved, not what is on screen.
- Publish... asks for the in-force date (blank means now) and whether to ask every user to accept again.
- One copy per licence: every company on your serial shares the same terms.
- A published version is never edited or deleted. To change the words, open it and press New version from this. Only one draft may be open at a time.
- Publish is refused while any [PLACEHOLDER] remains.
- The acceptance grid below is the record: who accepted which version, when, and from which address.
- Until the script has run or a version is published, sign-ins go through untouched - nobody is locked out by a missing setup.
16Suggestions & Feedback #
Anybody can tell C-Land what they think of InvoiceNET. Inside the software the form is Feedback at the top of every screen, beside Ask and the help search; on the sign-in page it is Suggestions & feedback in the footer, for people who cannot or do not yet sign in.
- The sender fills in Name, Mobile and E-mail (required), and if they like Address, City and Country. Signed in, what the login already holds is filled in for them.
- They pick the Module it is about (blank = the product as a whole), give a rating of 1 to 5 stars, and write in at least one of Remarks, Suggestions for improvement and Your thoughts.
- They type the characters in the picture and press Send feedback (F5). Every problem is listed at once; when it is accepted they see a thank-you with a reference such as FB-000123.
Where it goes
- An e-mail to C-Land, sent in the background through a company's own Mail Account (the sender's company, or from the sign-in page the first company that has one) to the address in the API's settings (Feedback:NotifyEmail).
- If the licence server cannot be reached, the form says so and keeps nothing - the sender tries again later.
Setting it up
- Feedback:NotifyEmail in the API's appsettings.json - blank means messages are stored but not e-mailed.
- Nothing else: the form needs no menu row and no rights - anybody may send feedback.
Limits: five messages an hour from one network address, and a picture is good for one try and 10 minutes.
17Logs, audit and approval reports #
Notification Log
One place to answer "was it sent, to whom, and if not, why not" for every message the system produces - invoice e-mails, delivery texts, leave alerts, API pushes. One row per recipient per channel. It opens on the last seven days.
- Sent - handed to the mail server or gateway. What happens after that belongs to the provider.
- Failed - attempted and refused; the refusal and the gateway's answer are on the row.
- Skipped - never attempted, and the row says why: no address on the record, the channel switched off, no profile bound to the voucher type, a disabled gateway. Look here first when something never arrived.
- Resend (F4) opens the selected message with everything editable - address, wording, channel. Send message (F6) writes a one-off message to anybody. Both write a new row; the original is never changed.
- Print (F7) prints the page on screen; Export CSV (F8) takes every matching row with full detail, up to a cap - narrow the dates to export the rest.
Notification settings on its toolbar edits five settings: allow manual send and resend (#199), manual send requires Administrator (#200), resend cooldown in minutes (#201), default channels (#202) and maximum recipients per send (#203, counted as messages). A change applies to the very next send.
Modified/Deleted/Cancelled Entries
Entries changed after posting - what was altered, deleted or cancelled, by whom and when. Filter by From and To (the day the change was made, not the voucher's date), Actions, Document contains, Users, Workstations, Only where the amount changed and Minimum amount. It reads the audit trail, which records only while Enable audit log is on in General Settings.
Report Access Log
Who ran, exported or e-mailed which standard report, when, with what filters, how many rows came back, and for exports and mails the file or the recipients. Filter by From, To and Action (Run, Export, E-mail). Reading this log is itself logged.
Approval Ageing and Approval Throughput
Approval Ageing lists every approval still waiting, banded by age - the report that finds the bottleneck; group it, keep to your own queue, or list the waiting requests. Approval Throughput counts decisions per period by outcome and module, with the median time taken.
18Who sees what #
| Role | What it may do |
|---|---|
| Administrator | Every right in the companies allocated to them; manages users, companies, settings and the Admin area on its own licence. |
| Global Administrator | Support staff. Has no licence of its own: works under the licence of the company it signed into, or a serial it names, and is bound by that licence's limits. Offered every company at Company Selection. Never created from this screen. |
| Developer | A support role. Sees the whole menu and the Admin section, and the database panels in every guide. Creates users under the serials of the companies allocated to them; edits those companies; never creates one. Only a Global Administrator gives the role or changes a Developer's companies. Some Admin screens - User Roles, the Notification Log, Email Account and General Settings - answer only to Administrator and Global Administrator. |
| Any other role | What the permission tabs and menu ticks give, in the companies and branches allocated. |
- Branch lists everywhere are the signed-in user's own allocation. Only the Branch Master shows every branch.
- What a user may see in reports is bounded by the report option chosen at Company Selection.
- Company Management and the structure masters are readable by the Admin roles; only an Administrator saves. The API checks the role again, so a hidden button is a courtesy, not the rule.
- The database's permission triggers can refuse a save even when the screen allows it; the message names the missing permission.
19Settings that change the Admin area #
| Setting | Where | Effect |
|---|---|---|
| Track divisions | Settings > General Settings | Divisions are offered on entries and every report's filter. Read on each report open. |
| Allow group company | Settings > General Settings | The Group report option at company selection. Applies at the next company selection. |
| Branch pick on transactions (ERP) | Settings > General Settings | Entry screens let the user choose the voucher's branch. |
| Enable audit log | Settings > General Settings | Changes are written to the audit trail the Modified/Deleted/Cancelled Entries report reads. |
| #199-#203 manual notifications | Notification Log > Notification settings | Whether people may resend and send by hand, who, how often and to how many. |
| Email Account | Settings > Email Account | The company mail account the welcome message and set-password links are sent from. |
20Reports #
| Report | Where | What it answers | Key filters |
|---|---|---|---|
| Modified/Deleted/Cancelled Entries | Admin | Who changed, deleted or cancelled which entry after posting | From/To (day of change), Actions, Users, Workstations, Only where the amount changed, Minimum amount |
| Report Access Log | Admin | Who ran, exported or e-mailed which report | From/To, Action |
| Approval Ageing | Admin | What is waiting for approval, and for how long | Group by, Only my own queue, List the waiting requests |
| Approval Throughput | Admin | How many decisions, of what outcome, and how fast | From/To, Group by |
| Notification Log | Admin | Every message sent, failed or skipped | Dates, search, status, module |
Report rights are granted on the Reports tab of User Manager: View puts a report on the menu, Export also governs e-mailing it.
21Moving from the desktop #
- The same users. Web, desktop and the mobile app share one login table, and a password changed in one works in all of them.
- The same rights. The permission tabs are the desktop User Manager's grids, with the same columns. The Alert Assignment, Dashboard and Custom Values tabs are withdrawn on the web for now; rights stored under them are left untouched.
- Seats are counted differently. The desktop counts every user on the serial; the web counts users who are neither templates nor disabled.
- Sessions. Both write the same session log. The desktop can refuse a second login when the company denies concurrent logins; the web does the opposite - the new login wins and the earlier session is closed.
- Companies. Create Company is the web version of the desktop's Admin Tools form. A company created on either is the same database.
- Your profile. Address, phone, e-mail and photo are maintained in the desktop user set-up or by an administrator; the web profile shows them read-only.
