Branch Master

A branch is a place the company trades from. Every voucher, ledger, employee and stock figure belongs to exactly one, and most reports can be read a branch at a time. Every company starts with one branch already created.

1Step by step, the first time #

  1. Press Find (F2) — the branch that came with the company is already there. Rename it to your main office rather than adding a second one.
  2. Press Add (F3) for each further branch. Only the name is required; everything else can follow later. The first branch is free; each further active branch uses one of the licence's additional branches — the header shows how many are left. (ERP edition only: Professional has one branch, opened here in view mode, and no Add or Delete.)
  3. Fill the address and GST number if the branch invoices under its own registration — they print on its documents.
  4. Set Branch Account and Reports Under once the ledgers exist. They can be left blank and added later.
  5. Save (F5) . The page stays on the saved branch; press Add (F3) for the next.
  6. Allocate users to the branch in User Profile — a branch nobody is allocated to is invisible to everyone but this screen.

2How many branches the licence allows #

  • One branch in every company is free. It is the branch the company was created with (the default branch) and it is never charged.
  • Every other active branch is an additional branch , and the licence says how many of those you may have. The number is for the whole licence: additional branches in all your companies are added together.
  • Each financial-year database counts on its own. A company that keeps two years' databases with three active branches in each is using four additional branches (two in each). Disable the branches of a closed year you no longer need to open.
  • Licence not reached in the header means the licence server did not answer. Nothing is closed, but a branch cannot be added or re-opened until it does.
  • The header shows Additional branches: used of allowed . 0 of 0 means the licence has bought none: the company works in its one branch.
  • Add (F3) is refused when the number is used up, and so is switching a disabled branch back on. Everything else — viewing, modifying, disabling — keeps working.
  • A disabled branch is not counted. Disable a branch you no longer trade from and its place is free for another.
  • To have more, ask your supplier for additional branches; the new number applies as soon as it is entered on the licence.
  • Where your licence was bought online, a card appears when every additional branch is in use, offering one more branch with its price for the days left of your period. Its button opens Subscription and Add-ons with the branch already selected; nothing is charged until you pay there, and the branch can be added as soon as the payment is confirmed.

3Why is a pick-list empty? #

  • Branch Account / Reports Under list the ledger accounts in this company. Empty means no ledgers exist yet — create them in the Ledger master first.
  • Branches missing on other screens? They are filtered by user: a screen shows only the branches the signed-in user is allocated to. This master deliberately shows all of them, so a branch visible here can still be absent elsewhere.
  • A disabled branch stops appearing in new-entry pick-lists everywhere, by design.
  • Branch features hidden entirely? Branch allocation and branch-wise views only appear when the ERP module is licensed.

4Field details #

  • Branch Name — required, unique, and only 30 characters. It is what every other screen shows.
  • Formal Name — the legal name for printed documents when it differs.
  • GST Number — validated as you type: 15 characters, and the last is a checksum of the rest. A wrong one is refused at save.
  • Branch Account / Reports Under — both point at ledger accounts. Blank means none; the database will not accept a zero in their place.
  • Display Order — where the branch sits in pick-lists; blank sorts by name.
  • Disabled — the retirement path. See the rules below.
  • Latitude / Longitude / Punch Radius — the geo-fence the mobile app checks a punch against. All three are needed for it to mean anything.

5Rules and integrity #

  • The default branch cannot be deleted. It is what unallocated vouchers, ledgers and employees fall back to. Disable it if it is genuinely unused.
  • A used branch cannot be deleted — the delete is refused and says so. Switch on Disabled instead.
  • Branch names are unique. A clash is reported rather than silently accepted.
  • Permission triggers on the table can refuse a save or delete outright; the message names the missing permission.
  • Deleting a branch also clears its document links (database cleanup trigger).
  • Every problem is reported at once , as a numbered list — not one per attempt.

6Shortcut keys #

  • F2 Find · F3 Add · F4 Modify · F5 Save
  • Esc cancels the edit; in view mode it closes the page.
  • Enter moves to the next field, as it does on every master.

This is the help InvoiceNET® ERP shows beside the Branch Master screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
