1Overview #
This is the company you are signed into, as it appears on every document you print and every return you file. The address and registration blocks are the same ones the creation wizard uses, so nothing can be present in one and missing from the other.
Three things are deliberately not editable here: the company code, the database name and the financial year. Those are what the company IS - the database is named after them - so changing them would leave the name describing something that is no longer true. They are shown, greyed, so it is clear they were considered rather than forgotten.
2Who it is for #
- An administrator correcting the company's own details.
3What it is not for #
- Creating a company - that is the creation wizard.
- Branches, divisions and group companies - each has its own screen.
- Anything about another company: this page edits the one you are signed into.
4Step by step #
- Open Administration > Company Details. - It loads the company this session is signed into.
- Correct what has changed - name, address, registrations, settings. - The blocks are the same as the creation wizard's.
- Press Save. - Everything is saved together; a refusal leaves the whole page unchanged.
5The fields #
Identity
What the company is called wherever its name appears.
- Company name - The legal name, printed on documents and used on returns. Required Every printed document and filing.
- Display name - The short name shown in the ERP itself, where the full one would not fit. Optional
Address
The registered address, as it should print.
- Address, city, state, country, postcode - The company's own address. The state matters beyond the address: it decides the GST treatment of a supply. Optional Printed documents, and the intra/inter-state decision on vouchers.
- Telephone, e-mail, website - How the company is reached; these print on documents that carry contact details. Optional
Registrations
What the company is registered as, and under which numbers.
- GST number - The company's GSTIN. It is checked for shape, and its first two digits are the state code. Optional GST returns and every voucher's tax treatment. 15 characters.
- Other registration numbers - PAN, CIN and the rest, as your company needs them on its documents. Optional Printed documents.
Settings
Company-level choices that belong with its identity.
- The settings block - The same options the creation wizard offers, so a company created and a company edited hold the same things. Optional
Fixed at creation
Shown, greyed, and not editable - see Purpose.
- Company code - What the company is keyed on everywhere. Read-only
- Database name - The database this company lives in; it is named after the code and the year. Read-only
- Financial year - The year this company's books run in. A new year is a new company, not an edit. Read-only
6Rules and integrity #
- Saved as one - Every block is saved together. If the save is refused, nothing was changed.
- The three fixed things - Company code, database name and financial year cannot be edited. They are what the database is named after.
- The GST number is checked, not assumed - A GSTIN must be well formed, and its leading two digits are the state code. Clearing it is allowed - that is how an unregistered company is recorded.
- Changing the name does not reprint old documents - A document printed yesterday carries what the company was called yesterday.
7Shortcut keys #
- F5 - Save.
- Esc - Leave the page.
8If something does not work #
"Enter the company name."
- Why
- The name is what every document and return carries, so it cannot be blank.
- What to do
- Type the legal name.
"Correct the GST number, or clear it if the company is not registered."
- Why
- The GSTIN is not well formed. Blank is a valid answer; wrong is not.
- What to do
- Correct it, or clear the box.
The page shows a load error instead of the form
- Why
- The company could not be read - the API was unreachable, or the session lost its company.
- What to do
- Sign in again and re-open the page.
Save is greyed out
- Why
- The page is read-only for you, or it is still loading.
- What to do
- Wait for it to finish; if it stays greyed, you have no right to alter the company.
The company code, database name or financial year cannot be changed
- Why
- They are fixed at creation, deliberately - the database is named after them.
- What to do
- A new financial year is a new company, created by the wizard.
A changed address does not appear on a document
- Why
- Print formats read the company when the document is printed; an already-printed document is unchanged.
- What to do
- Print it again.
The state was changed and GST now behaves differently on vouchers
- Why
- The company's state decides whether a supply is intra-state or inter-state.
- What to do
- That is intended - check the state is right, because every voucher's tax follows it.
9For an administrator #
- Who may edit - The company's own details are an administrator's to change; everybody else reads them through the documents they print.
- What a new year needs - A new financial year is a new company database, made by the creation wizard - not an edit here.
This is the help InvoiceNET® ERP shows beside the Company Details screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
