User Group Master

A User Group bundles application users so permissions and administrative rules can target many users at once instead of one by one. A group is simply a name, a description, and its member users — at least one member is always required.

1What is this master? #

  • The master list of user groups for user management. One record is edited at a time; the page opens ready to add a new group.
  • The Members grid is part of the form — the group and its members save together in one step, and a group can never be saved without at least one member.
  • Mark a group Inactive to retire it without deleting it.

2Step by step #

A user group is a named set of application users, mainly for granting document permissions in one stroke.

  1. Press Add (F3) , name the group and add its member users.
  2. Press Save (F5) and confirm.
  3. In Document Management, grant folders to the group — every member inherits the access.

3Fields & members grid #

  • Group Name * — required and unique across groups.
  • Description — free note; Inactive retires the group.
  • Members — one row per user, picked from the application users. Add User (F3) appends a row (a fresh row also appears when Enter leaves the last one); Remove takes it out. Rows with no user picked are ignored at save.
  • The grid sorts, filters and groups like every other grid.

4Toolbar & keyboard #

  • Find (F2) loads a group from the searchable list; Add (F3) starts a new one (inside the form, F3 / Enter-off-the-last-row adds a member row); Modify (F4) edits the loaded group; Save (F5) saves after a confirmation; Esc cancels the edit.
  • Duplicate… — available only while adding : pick an existing group and its details + members are copied into the new record; change the name (names are unique) and Save.
  • Enter moves field to field. After a save the record stays loaded in View mode.

5Integrity rules (why a save / delete is refused) #

  • Unique name — a second group with the same name is refused with a message.
  • At least one member — a group with no member rows (or only rows without a user picked) can't be saved.
  • One row per user — the same user can appear only once in a group; a duplicate row is refused.
  • Delete removes the group and its member rows together; the users themselves are untouched. Deleting, saving and adding are all subject to the administrator's permission rules.

6Why is a pick-list empty? (prerequisites) #

  • User: lists the application users — create users first in user management.
