Cash Closing

A Cash Closing ends a counter session: the day's collections are summarised from the receipts, the cashier counts the drawer by denomination, declares any excess or shortage and the reserve kept back, and the counter is released for the next shift.

1Overview #

Licence. Cashier is a feature of Sales, bought on its own (a module of its own until October 2026 - licences that had it keep it). Without it the Cashier pages, its dashboard and its reports are not offered.

2How to use it #

  1. Press Add (F3) and tap your open session — the day summary loads automatically from the receipts collected under it.
  2. Count the drawer with the −/+ steppers (the Coins row takes a typed amount), enter any excess/short and the reserve kept in the drawer, then Save (F5) . The "Counted" tile must read matches before the close is accepted.
  3. Unsettled bills (button on the day summary) lists the day's invoices and credit notes that have no cash receipt yet — the exact rows that block the close. From there you can open each voucher in its own tab to settle it, or mark it Cancelled (with an inline confirm) if it shouldn't count.
  4. Saving releases the counter to Available . Find (F2) reviews past closings; Modify (F4) edits one; deleting a closing re-opens the session.
  5. Print (Ctrl+P) prints the loaded closing slip — the day summary, drawer count and totals with the company header repeated on every page. (The desktop's custom printing profiles for the closing are not used on the web.)

3Step by step #

Closing counts the drawer against the day's recorded takings and hands the cash over.

  1. Pick the open session (others' sessions only with the permission).
  2. Review the day summary — receipts, pay-mode split, petty R/P — then count the drawer into the denomination rows; the total MUST equal cash-in-hand.
  3. Settle any unsettled bills the page lists (it blocks the close otherwise), enter reserve/handover, and press Save (F5) . The counter returns to Available.

4Fields and totals #

  • The day summary tiles are computed, not typed: bill and gift-voucher totals, gross (bills minus gift vouchers), discount, sales return, net collected, the cash / card-UPI / credit split by pay mode, sales-promotion amount, and the counter's own receipts and payouts (petty entries).
  • Excess / short is the cashier's declared difference (can be negative). Reserve kept in drawer stays for the next shift.
  • Total cash = cash collections + opening float. Cash in hand = (total cash − payouts) + (counter receipts + excess/short). Hand over = cash in hand − reserve.
  • The denomination rows come from the currency denomination master; each note's amount is count × face value, and the Coins row takes a free amount.

5Why is the session list empty? #

  • No Cash Opening is open for you — every session is already closed, or none was opened today.
  • Someone else's session? Only administrators or users with the "Allowed to close cash counter belonging to others" permission see other cashiers' sessions.

6Rules and integrity #

  • The denomination total must equal cash in hand — the save is refused otherwise (both here and at the server).
  • Unsettled invoices or credit notes for the day block the close : every invoice of the session's tracked voucher type (and any credit note / sales return) must have a cash receipt or be cancelled first. The Unsettled bills viewer shows exactly those rows; cancelling one there needs a reason and the voucher type's status (Approve) right, and cancels the voucher itself (status Cancelled - it is kept, not deleted), so it stops blocking the close.
  • One closing per opening — closing an already-closed session is refused. Saving into a closed transaction period is refused by a database trigger.
  • Saving releases the counter to Available ; deleting the closing re-opens it (database triggers own both). User permissions (_PERM triggers) can refuse a save or delete.

7If something does not work #

"Pick the open session to close." / "Cash opening #... not found."
Why
Closing works on one open session, and that one is not there.
What to do
Pick from the list of open sessions.
"Session #... is already closed."
Why
Somebody closed it first - two people counting the same drawer.
What to do
Refresh; the closing that was written is the one that counts.
"Total of denomination amount does not match with cash-in-hand"
Why
The notes and coins keyed do not add up to the cash the session says should be there. This is the point of the count.
What to do
Count again. If the drawer really is short or over, record the difference the way your company requires - do not force the denominations.
"Unsettled invoice/credit note exists (... for ...). Settle or cancel them, then try again."
Why
Bills of the day are still neither paid nor cancelled, so the day's takings are not final.
What to do
Settle them on Cash Receipt, or cancel them, then close.
"Voucher #... is not an unsettled bill any more - it was cancelled or a cash receipt has taken it."
Why
The list moved on while you were looking at it.
What to do
Refresh the unsettled list.
"Say why the bill is cancelled - a reason is required."
Why
Cancelling a bill from the closing screen needs its reason recorded.
What to do
Write the reason.
"User can't be blank." / "Empty data !"
Why
The closing does not say who counted it.
What to do
Fill the cashier, then save.
"Transaction period was closed. You can not make/edit/delete entries !"
Why
The database refused: the day is in a closed period.
What to do
Ask an administrator to re-open that period - a session cannot be left open.

This is the help InvoiceNET® ERP shows beside the Cash Closing screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
