1Overview #
Licence. Cashier is a feature of Sales, bought on its own (a module of its own until October 2026 - licences that had it keep it). Without it the Cashier pages, its dashboard and its reports are not offered.
2How to use it #
- Press Add (F3) , tap a counter tile, enter the opening cash (the quick chips add common denominations), check the tracked voucher type and press Save (F5) . Saving marks the counter Open automatically.
- Find (F2) lists every session newest-first with its Open/Closed state. Modify (F4) edits a loaded session; Esc cancels an edit.
- One session stays open until a Cash Closing exists for it — deleting an opening (only possible while it has no receipts) releases the counter.
3Step by step #
Opening a counter starts the cash day: float in the drawer, the voucher type it tracks, who runs it.
- Pick an Available counter — only those are offered, and the server re-checks at save.
- Enter the opening float and the voucher type this session tracks; pick storage/godown where asked (-1 = not applicable is required, not optional).
- Press Save (F5) and confirm. The counter flips to Open, and billing collections start attaching to this session.
4Fields #
- Session ID is assigned by the database on save.
- Date defaults to the working date and can be changed while adding.
- Counter offers only counters whose status is Available — they come from the Cash Counter Master. The availability is re-checked at save time, so two cashiers can't open the same counter; the chosen counter is stamped Open on save.
- Opening cash is the float placed in the drawer at the start of the shift.
- Tracks voucher type names the inventory voucher type this session collects for — the Cash/Card Collection window refuses a session whose tracked type differs from the voucher being saved.
- Also usable for lists alternative voucher types the counter may serve (stored with the session for reporting).
- Cashier (user) is the login the session belongs to — the collection window only offers the signed-in user's own open sessions. Defaults to you.
- Branch (ERP edition only; otherwise your login branch) is the branch the session belongs to (your allowed branches only). Storage space is the godown the counter sells from; keep __Not Applicable__ when warehouses aren't tracked — it is required.
5Why is a pick-list empty? #
- Counter tiles : no counter has status Available — every counter is already open, or none exist. Create counters in the Cash Counter Master (Cashier menu); closing or deleting a session frees its counter.
- Voucher types come from the Voucher Manager (inventory group only).
- Storage space comes from the Warehouse (godown) master; the __Not Applicable__ row is always offered.
- Branch (ERP edition only) lists only branches allocated to your user.
6Rules and integrity #
- Counter, cashier and storage space are required (the __Not Applicable__ storage row satisfies the requirement).
- Saving into a closed transaction period is refused by a database trigger.
- Saving stamps the counter Open ; deleting the opening releases it (database triggers own both).
- An opening with cash receipts collected under it can't be deleted — close the counter instead.
- User permissions (_PERM triggers) can refuse a save or delete even when the form allows it.
7If something does not work #
"Counter '...' does not exist. Create it in the Cash Counter Master first."
- Why
- A session is opened on a counter that has been defined.
- What to do
- Add the counter in the Cash Counter Master.
"Counter '...' is not available (status: ...) - only an Available counter can be opened."
- Why
- The counter is under repair, closed for the day, or otherwise not in service - the status is on the counter itself.
- What to do
- Use another counter, or set this one back to Available in the master.
"Counter '...' already has an open session (#...) - close it before opening another one."
- Why
- One counter, one open session - otherwise the drawer cannot be counted.
- What to do
- Close the open session (Cash Closing), then open a new one.
"Counter can't be blank." / "User can't be blank." / "Storage space name can't be blank !"
- Why
- An opening says which counter, whose it is, and where the cash is kept.
- What to do
- Fill all three.
"Cash opening not found !" / "Empty data !"
- Why
- The session has gone, or the screen sent nothing.
- What to do
- Refresh and pick the session again.
"This opening has ... cash receipt(s) collected under it - it can't be deleted. Close the counter instead."
- Why
- Deleting an opening with takings under it would orphan the money.
- What to do
- Close the session; a closed session keeps its history.
"Transaction period was closed. You can not make/edit/delete entries !"
- Why
- The database refused: the day falls in a closed period.
- What to do
- Open the counter on a date in an open period.
This is the help InvoiceNET® ERP shows beside the Cash Opening screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
