Cash Receipt

A cash receipt is how the counter takes the money for bills that were saved without being paid. It belongs to one open counter session, and can only settle bills of that session's day, branch and voucher types .

1Overview #

Licence. Cashier is a feature of Sales, bought on its own (a module of its own until October 2026 - licences that had it keep it). Without it the Cashier pages, its dashboard and its reports are not offered.

2Step by step #

  1. Open the page. If more than one counter session is open to you, pick one; with a single session it is picked for you.
  2. Tick the bills to settle, or scan their numbers. The list shows only what this session may still take.
  3. Add any gift voucher, then the discount and sales return if the counter is allowed them.
  4. Choose how the customer paid and key the cash or card amount. The change is worked out as you type.
  5. Save (F5) . The receipt is numbered, the bills become settled, and the amount joins the day's collection.

3Field details #

  • Bill value / To collect — the bill as it stands, and what is left after an approved special discount. Both come from the database, never from this screen.
  • Special discount — raised earlier on the Special Discounts desk. An approved one is taken off here; one still waiting either blocks the bill or settles at full price, by Cashier setting 228.
  • Gift voucher — checked as it is added: live, not already used, in date, and worth no more than the bills.
  • Discount % — when a percentage is keyed the amount follows it; clear it to key an amount instead.
  • Sales promotion — the slab amount for the quantity on the chosen bills. Cash sales only.
  • Cash And Card — key the card part; the rest is cash. Cash And Credit — key the cash part; the rest goes on the customer's account.
  • Privilege card — fills the customer in, and carries its own discount where the card has one.

4Rules and integrity #

  • A receipt can only settle bills of its session's day, branch and voucher types — the types the counter was opened to track, plus its alternates.
  • A bill sits on one live receipt . Settle it twice and the second is refused; cancel the first and it is offered again.
  • The discount is held to your receipt authority — above it, the counter refuses; there is no approval for a receipt discount.
  • Credit and Cash And Credit need bills of one customer account , and that account must be a customer. Cashier setting 230 then warns or blocks on the party's credit.
  • Money going back to the customer (returns worth more than sales) can only be paid in cash.
  • A receipt is never deleted — it is cancelled with a reason , and its bills become settleable again.
  • Everything wrong is listed at once; nothing is written until all of it is fixed. The server repeats every check and re-derives every amount.

5Shortcut keys #

  • F2 Find a receipt · F3 New · F5 Save · Esc close the dialog, or the page.

6Why is a list empty? #

  • Sessions — only counter sessions that are open and not yet closed . A cashier sees their own; an administrator sees everybody's.
  • Bills — only the session's own day and branch, only its tracked and alternate voucher types, and only ones not already on a live receipt. Cancelled bills never appear.
  • Gift vouchers — Cashier setting 35 switches them on; without it the box is hidden.

7If something does not work #

"Pick an OPEN counter session - this one is closed or does not exist." / "Counter session #... is closed or does not exist."
Why
Money is taken on an open session; once a session is closed its takings are fixed.
What to do
Open the counter for today (Cash Opening), or pick the session that is open.
"Session #... belongs to ... - only its cashier or an administrator may write receipts on it." / "... you can read its receipts, not take money on it."
Why
A session belongs to the cashier who opened it, so the cash in the drawer answers to one person.
What to do
Take the money on your own session, or have an administrator do it.
"The counter could not be read: ..." / "The session's bills could not be read: ..."
Why
The API was unreachable, or the query failed - the text after the colon is the server's.
What to do
Try again; nothing is taken until a receipt saves.
"Bill ... cannot be settled on this session - it is not this session's day, branch or voucher type, it is cancelled, or another receipt has it."
Why
A receipt settles bills of its own session's day, branch and type, and each bill only once.
What to do
Check the bill's date and branch; if another receipt has it, that one holds the money.
"'...' is not a bill number." / "The bill could not be read: ..."
Why
What was typed or scanned is not a bill of this company.
What to do
Check the number; a scanner reading the wrong part of the slip gives this too.
"Bill ...: ..." - a note beside a bill
Why
The bill carries a note the cashier should read before taking the money - a hold, a discount, a credit condition.
What to do
Read it; it comes from the bill itself, not from this screen.
"... is not a gift voucher number." / "Type the gift voucher number." / "Gift voucher ... is already on this receipt."
Why
The voucher number is wrong, missing, or already counted on this receipt.
What to do
Check the number; each voucher is taken once.
"Gift voucher ... is valid ... to ... only."
Why
The voucher is outside its own dates.
What to do
It cannot be taken. The customer pays the balance by another means.
"... is not a privilege card number." / "Card ... is not activated."
Why
The card is unknown, or it was issued and never activated.
What to do
Activate it in the card master, or take the money without the discount.
"Privilege card ...: ...% taken off."
Why
Not an error - the card's discount has been applied and is shown so the cashier can say so.
What to do
Nothing to do.
"The privilege card could not be checked: ..." / "The gift voucher could not be checked: ..." / "The sales promotion could not be read: ..."
Why
The check could not reach the server, so the screen refuses to guess.
What to do
Try again rather than taking the discount on trust.
"Nothing was saved: ..." / "Nothing to save."
Why
The receipt was refused whole - nothing was written, and the reason follows the colon.
What to do
Correct what it names and save again.
"Receipt #... does not exist."
Why
The receipt was cancelled or removed while the screen had it.
What to do
Refresh the session's receipts.
"A cancelled receipt cannot be changed." / "The receipt is already cancelled."
Why
A cancellation is final; the money is recorded as not taken.
What to do
Write a new receipt if the money is being taken after all.
"Its counter session is closed - the receipt can no longer be changed." / "... can no longer be cancelled."
Why
Once a session is closed its receipts are part of a counted drawer.
What to do
Correct it with an entry in an open session; a closed day is not reopened for a correction.
"Only the session's own cashier or an administrator may change this receipt." / "... may cancel this receipt."
Why
The cashier who took the money answers for it.
What to do
Ask them, or an administrator.
"Say why the receipt is cancelled - a reason is required."
Why
A cancelled receipt without a reason is indistinguishable from a mistake.
What to do
Write the reason; it is kept with the cancellation.
"The slip could not be opened for printing - allow pop-ups for this site and press Print (F12) again."
Why
The slip prints through a pop-up window that the browser blocked.
What to do
Allow pop-ups for this site, then press F12 again.
"Format '...' produced no document - printing the counter slip instead."
Why
The chosen format returned nothing, so the plain counter slip was printed rather than nothing at all.
What to do
An administrator checks that format; the customer still has a slip.
"The document could not be printed: ..." / "The slip could not be printed: ..."
Why
Printing threw - the text after the colon is the reason.
What to do
Try again; the receipt is saved either way.
Silent printing does not happen, and a dialog appears instead
Why
The receipt slip (Print, F12) always opens through the browser - as an 80 mm slip, or a PDF when a format is filed; it does not use the local print agent. The agent serves the BILLS' printing (Ctrl+P and the print after save on the voucher screen).
What to do
For the slip, allow pop-ups for this site and print from the browser. For silent bill printing, start the print agent on that machine and pair it on Settings > Local Printing.

This is the help InvoiceNET® ERP shows beside the Cash Receipt screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
