1Overview #
Licence. Cashier is a feature of Sales, bought on its own (a module of its own until October 2026 - licences that had it keep it). Without it the Cashier pages, its dashboard and its reports are not offered.
2Step by step #
Suppose counter cashiers may give up to 5% or Rs 500 on their own, and never more than 15%.
- Press Add Row (F3) . Leave Special (per bill) , pick the role Cashier , leave branch and user empty.
- Key 5 in Grant up to %, 500 in Grant up to Rs and 15 in Hard cap %.
- For the shift supervisor Ravi, add a row with User = Ravi and a higher grant — a user's own row beats the role's.
- Press Save (F5) . Every row saves together or none does.
3Which row applies #
For a cashier at a branch, the first ACTIVE row found in this order wins:
- The user's own row for this branch.
- The user's own row for any branch.
- The user's role, for this branch.
- The user's role, for any branch.
- The branch row (no user, no role).
- The company row (all three empty).
No row at all: the special discount uses settings 111 (%) and 112 (Rs); the receipt discount uses setting 40 and the Cash Receipt discount settings — the desktop's limits.
4Field details #
- Discount — Special (per bill) is the discount raised on the Special Discounts desk before a bill is paid; Cash receipt is the discount the cashier keys in the collection window.
- Branch / User / Role — who the row covers; empty means any. A row names a user OR a role, never both. The Branch column is ERP edition only; without it a new row covers any branch.
- Grant up to % / Rs — granted on the spot up to these. Empty = no limit on that measure. When both are set, a discount must be within both.
- Hard cap % / Rs — never above these, not even with an approver's consent. Empty = no cap.
- Active — an inactive row is ignored (kept for the record; shown shaded).
- Remarks — a note, up to 255 characters.
5Rules and integrity #
- Percentages lie between 0 and 100; amounts cannot be negative; a grant can never be above its hard cap.
- Two active rows of the same discount for the same branch / user / role are refused — the counter could not tell which applies.
- Every problem is listed at once; nothing is saved until all are fixed. The server repeats the same checks.
- Whether an above-authority special discount goes to an approver, or is simply refused, is setting 226 (Cashier settings). The receipt discount has no approval: above the authority, the counter refuses it.
- No other table points at an authority row; the request it decided records its number (AuthorityID) for the audit.
- Installing the approval turned each branch's old receipt limit (Cash Receipt discount settings) into a Cash receipt row for that branch — edit it here from now on.
6Shortcut keys #
- F3 Add row · F5 Save · Esc Cancel changes (or close the page when there are none).
7Why is a pick-list empty? #
- Branch (ERP edition only) lists the branches you may see (your user branch list).
- User lists every user of this company; Role the roles those users carry (User Manager).
8If something does not work #
"No authority rows - the counter uses the settings limits. Add a row (F3) to set one."
- Why
- With no rows at all, everybody falls back on the company's own limits. Not an error.
- What to do
- Add rows only where somebody should have more (or less) than the default.
"One user or one role; never both (the save refuses it)."
- Why
- A row applies to a person or to a role, so it is clear which limit answers for a given cashier.
- What to do
- Make two rows if both are meant.
"Two active ... rows cover the same branch / user / role - keep one."
- Why
- Two rows would give one cashier two different limits for the same kind of discount.
- What to do
- Switch one off, or narrow its branch.
A cashier still cannot grant what their row allows
- Why
- The hard cap outranks every authority row, and an inactive row is ignored altogether.
- What to do
- Check the cap, and that the row is active and covers that branch.
A change here does not reach a cashier already signed in
- Why
- The limits are read when the counter screen loads.
- What to do
- Ask them to press F5, or to re-open the screen.
This is the help InvoiceNET® ERP shows beside the Cashier Discount Authority screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
