Petty Cash

A Petty Cash entry records money moving in or out of the drawer during a shift outside normal billing — an expense paid from the till, or extra change put in. The Cash Closing adds receipts and subtracts payouts when computing the expected cash in hand.

1Overview #

Licence. Cashier is a feature of Sales, bought on its own (a module of its own until October 2026 - licences that had it keep it). Without it the Cashier pages, its dashboard and its reports are not offered.

2How to use it #

  1. Press Add (F3) , tap the open session, choose Receipt into drawer or Payout from drawer , enter the amount and what it was for, then Save (F5) .
  2. Find (F2) lists entries with receipt and payout columns — non-administrators see only today's entries, and branch-limited users only their branch. Cancelled entries show in red.
  3. Cancel Entry voids a saved entry (it drops out of the closing's sums) — a cancelled entry can't be changed again. Modify (F4) marks the entry Altered .

3Step by step #

Petty cash records money moving in and out of the drawer between bills — a courier paid, change brought in.

  1. Pick the open session, choose Receipt-into or Payout-from drawer, and enter the amount — narration is compulsory.
  2. Press Save (F5) . A payout above the drawer's available cash is refused with the figure.
  3. Cancel a wrong entry rather than deleting it — cancelled rows drop out of the closing but keep their audit trail.

4Fields #

  • Session is the open cash-opening the entry belongs to — its closing picks the entry up.
  • Date defaults to the working date; only administrators may change it (legacy rule).
  • Entry type : a Receipt adds to the expected drawer cash, a Payout subtracts from it.
  • Amount must be more than zero. Narration is required — an entry without a reason is refused.
  • Drawer cash available shows the cash currently in the till (opening float + cash collections + petty receipts − payouts) — a payout larger than that is refused.
  • Status : blank when new, Altered after a modify, Cancelled after Cancel Entry.

5Rules and integrity #

  • The entry must belong to an existing cash-opening session; type, a non-zero amount and a narration are required (checked here and at the server).
  • A payout can't exceed the counter's available cash at that moment — the server recomputes the drawer balance on every save, so racing entries can't overdraw the till.
  • Only entries whose status is not Cancelled count into the closing's receipts/payouts.
  • A Cancelled entry's status can't be changed again.
  • User permissions (_PERM triggers) can refuse a save or delete even when the form allows it.

6If something does not work #

"Pick the open counter session the entry belongs to." / "Cash opening #... not found."
Why
Petty cash moves in and out of a counter's drawer, so it belongs to a session.
What to do
Open the counter first, or pick the open session.
"Payout exceeds the counter's available cash (...)."
Why
You cannot pay out more than is in the drawer - the figure in brackets is what is there now.
What to do
Pay part of it, or put money in first.
"Amount can't be zero." / "Pick Receipts or Payments."
Why
An entry must say how much, and which way the money went.
What to do
Fill both.
"Narration can't be blank - say what the money was for."
Why
Petty cash is only auditable if each entry says what it bought.
What to do
Write what it was for, not just a category.
"You can't change the status of a Cancelled item !"
Why
A cancelled entry is final.
What to do
Make a new entry instead.
"Entry not found !" / "Empty data !"
Why
The entry has gone, or nothing was sent.
What to do
Refresh the list and try again.
"Transaction period was closed. You can not make/edit/delete entries !"
Why
The database refused: the date is in a closed period.
What to do
Use a date in an open period.
