1Overview #
Licence. Cashier is a feature of Sales, bought on its own (a module of its own until October 2026 - licences that had it keep it). Without it the Cashier pages, its dashboard and its reports are not offered.
2Step by step #
- Raise a discount : pick the day, then the bill (only sales bills that are not cancelled, not yet settled and not already carrying a request are offered), choose By Percentage or By Value , key the value and the reason. The dialog shows the discount in rupees and whether it is within your authority before you save.
- Within your authority, it is Approved at once. Above it (or always, if setting 226 says Always ) it is Open and the approvers are told — bell, inbox and e-mail.
- An approver presses Decide : Approve, Reject or put On hold. Rejecting or holding needs a remark — the requester reads why.
- The cashier settles the bill: an approved discount is taken off it; a waiting one stops the bill (or, with setting 228 at Settle at full price , the bill goes at full price and the request is withdrawn).
- An approval must be used within setting 227's hours, or it lapses and a fresh request is needed.
- Withdraw cancels a request that has not been used — by whoever raised it, or an approver.
3Your authority and the hard cap #
- What you may grant comes from Cashier Discount Authority (Cashier menu): the most specific active row wins — your own row at this branch, your own row, your role at this branch, your role, the branch, then the company. With no row at all, settings 111 (%) and 112 (Rs) apply, as on the desktop.
- Grant up to is what is approved on the spot. Hard cap is the most anyone may give on one bill — not even an approver can lift it.
- A percentage and an amount can both be set; a discount must pass both.
4Who may decide #
- Never the person who asked. The cashier and the customer are both at the counter; the request goes to someone else, administrators included.
- The desktop also limited status changes to a per-user number of days; the web decision does not apply that window.
5Field details #
- Bill amount — the bill's total when the request was raised.
- Discount / Rs — as keyed, and in rupees (a percentage is converted when the request is saved).
- Status — Open (waiting), On hold (still waiting), Approved, Rejected, Cancelled (withdrawn), Lapsed (approved but not used in time). Settled at the counter means a cash receipt has taken the bill — the request is frozen from then on.
- Use by — when an approval lapses (setting 227).
6Rules and integrity #
- One live request per bill, enforced by the database. A rejected, withdrawn or lapsed one frees the bill for a new request.
- A discount can never reach the whole bill, and a bill already settled at the counter cannot take one.
- The counter cannot settle a bill with an approved discount without applying it, nor give a receipt discount over the cashier's receipt authority — the save is rolled back with the reason.
- Every request, decision and withdrawal is stamped with who and when; the Discount register report is the audit trail.
7If something does not work #
"Pick the bill the discount is for." / "Key a discount above zero." / "Choose By Percentage or By Value."
- Why
- A request says which bill, how much, and in which of the two ways.
- What to do
- Fill all three.
"Bill ... is not a sales bill - special discounts are for sales bills."
- Why
- Only a sales bill carries a price to discount.
- What to do
- Check the bill number.
"Bill ... has no amount to discount." / "Bill ... is cancelled."
- Why
- The bill comes to nothing, or it is no longer live.
- What to do
- Nothing can be discounted on it.
"Bill ... is already honoured by the cashier - a settled bill cannot take a special discount."
- Why
- The money has been taken; a discount afterwards would not reach the customer.
- What to do
- Ask for the discount before settling. A settled bill is corrected by a credit note, not a discount.
"Bill ... already has a live special discount request." / "... Withdraw it first to raise another."
- Why
- One live request per bill, so two approvers cannot grant two discounts on one sale.
- What to do
- Withdraw the first, then ask again.
"Special discount #... of ... granted - it is within your authority."
- Why
- Not an error - the amount is inside your own limit, so it was granted at once.
- What to do
- Carry on; the grant is recorded against your name.
"Special discount #... of ... is waiting for approval - the approvers have been told."
- Why
- The amount is above your authority, so it went for a decision.
- What to do
- Wait for the decision; the customer cannot be given it meanwhile.
"Over the hard cap - it will be refused; no approval can lift a hard cap."
- Why
- A hard cap is an absolute limit, not an authority level.
- What to do
- Nobody can grant more than that. Ask for the cap to be reviewed if it is genuinely too low.
"Special discount request #... is waiting for approval - the bill cannot be settled until it is decided."
- Why
- Settling now would take money at a price that is still being decided.
- What to do
- Get the decision, or withdraw the request and settle at full price.
"Special discount request #... is waiting for approval - settling now takes the full price and withdraws the request."
- Why
- Where the company allows it, settling is taken as abandoning the request.
- What to do
- Only settle if the customer is paying the full price.
"Only the requester or an approver can withdraw this request."
- Why
- A request belongs to whoever raised it, and to those who may decide it.
- What to do
- Ask one of them.
"Pick the request to decide." / "Decide Approved, Rejected or On hold."
- Why
- A decision needs a request and an outcome.
- What to do
- Pick both.
"Say why - remarks are required to reject or hold a request."
- Why
- The cashier is standing in front of the customer and needs a reason to give.
- What to do
- Write it; approval alone needs no remark.
"Request #... is already ..." / "Someone decided it a moment ago - refresh the list." / "It changed a moment ago - refresh the list."
- Why
- Two approvers opened the same request.
- What to do
- Refresh; the decision that was written stands.
"Request #... does not exist or lies outside your branch scope."
- Why
- It has gone, or it belongs to a branch you do not cover.
- What to do
- An administrator widens your branch scope if you should see it.
"You never decide one you asked for."
- Why
- A requester is not their own approver.
- What to do
- Another approver decides it.
"Nothing is waiting for a decision." / "No special discount in the last 90 days."
- Why
- The list is genuinely empty - not an error.
- What to do
- Widen the period if you are looking for an older one.
An approval seems to have expired
- Why
- An approval lapses after the time the company sets (setting 227), so an old grant cannot be used on a later bill.
- What to do
- Ask again; the lapse is deliberate.
This is the help InvoiceNET® ERP shows beside the Special Discounts Page screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
