1Browsing #
- Pick a connection or folder in the left tree — its contents appear on the right. Double-click a folder row to open it; ⬆ Up climbs one level; the current path shows in the toolbar.
- Folders are read as you open them : the explorer starts with the connections only, and the arrow beside a folder (or the Right key) opens it and reads its sub-folders the first time. What you have opened stays loaded while the page is open, so a large store opens at once.
- In the tree: Up / Down move, Right opens, Left closes (or steps out), and clicking a folder shows its contents.
- ...
- Refresh (F5) reads the connections and the folders you have open again from the database; other folders are read when you open them.
- The file grid sorts and filters like every other grid.
- The Remote column shows availability on the remote server (the legacy ✓/✗): ✔ found at its path, ✘ the store has a record but the file/folder is missing on the server, … still being checked. The check runs automatically in the background each time you open a folder.
2Step by step #
The explorer is the document store — folders, files, and what may see them.
- Create the folder tree first, mirroring how the business files things.
- Upload files into folders; attach them to vouchers and masters from those screens' Documents actions.
- Grant access per folder on the Permissions page — unpermissioned users simply do not see it.
3Working with files & folders #
- Upload… and Download go through the File Transfers queue at the bottom: every file gets its own row with a live progress bar, transfers run one after another, and you can Cancel a running or waiting transfer, Retry a failed/cancelled one, remove rows or clear the completed ones. Uploads write the record first and roll it back if the byte transfer fails (up to 256 MB per file); the tree refreshes once the queue finishes.
- Drag & drop: drag files from Windows Explorer onto the file list — they upload into the CURRENT folder through the same queue (the list highlights while you hover). Only files can be dropped, not folders, and drops are ignored without Upload permission.
- Edit opens TEXT files (txt, csv, json, xml, md, sql, config …) in an in-browser editor (up to 2 MB) — Save uploads the new content straight back to the remote server. Opening needs Read ; saving needs Write (the editor tells you when it's read-only).
- Replace… is the web version of the legacy "edit and save back" for binary documents (Word, Excel, PDF …): download the file, edit it locally, then Replace picks your edited copy and overwrites the stored file's content — its name, location and links stay unchanged.
- New Folder (F3) creates the folder on the remote server and in the store together; Rename (F2) renames both (sub-paths update automatically); Delete removes the item and everything inside it from both — after a confirmation.
- New File (F4) creates a blank Word document, Excel workbook, PowerPoint presentation or text file directly in the current folder — pick the name and type, then use Edit (text) or download → edit → Replace… (Office) to fill it in. Needs Create File permission.
- Description… stores a free note on the selected item; Copy Link puts the file's public URL on the clipboard (available when the connection has a Public URL configured).
- Links… shows which application records (vouchers, masters) the selected document is attached to — edit the note on a link or remove it here; attaching happens from the record's own screen via the shared Documents dialog.
- Cut / Copy / Paste — select items, press Cut (move) or Copy, open the destination folder and press Paste . Moves keep the same items (sub-paths update automatically); copies recreate them — folders copy their whole contents through the server (up to 5000 items per paste). Both work only within the same connection , never into a folder's own sub-tree, and a name that already exists in the destination is skipped with a message.
4Permissions — why is a button disabled? #
- Buttons follow your effective permission on the CURRENT folder or the SELECTED items: New Folder needs Create Folder , Upload needs Upload (or Create File ), Download needs Download , Rename needs Rename , Delete needs Delete , Description needs Write .
- Administrators (admin / administrator / superadmin / sysadmin) bypass all of these.
- The database enforces the same rules again on save — a stale screen can't bypass them.
- Grant or adjust rights in Document Permissions ; new items automatically give their creator full control.
5Register (administrators) #
- Register… imports an EXISTING remote tree into the document store — it lists the server from the chosen path and records every folder and file it finds (items already registered are skipped).
- Use it once after creating a connection that points at a server which already holds documents. New connections start with just their root node.
- All legacy explorer features are now ported. Wiring the shared Documents dialog onto individual voucher/master screens (Attach from there) is done per screen on request.
6If something does not work #
"Access Denied: you do not have read permission on this file." / "... download permission ..."
- Why
- Document permissions are held per folder and file, separately from the ERP's own rights.
- What to do
- An administrator grants them on Document Permissions.
"Connections can't be deleted here - remove them in the Document Connections master." / "Connections are renamed in the Document Connections master."
- Why
- A connection is where files live; it is managed in its own master, not in the tree.
- What to do
- Open Document Connections.
"Connections can't be copied." / "Connections can't be moved." / "Items can only be copied within the same connection."
- Why
- Copying across stores would mean moving the files themselves, which this screen does not do.
- What to do
- Copy within one connection; move files between stores with the store's own tools.
"Folder name can't be blank !" / "File name can't be blank !" / "... can't contain slashes."
- Why
- A slash would make the name look like a path.
- What to do
- Rename it without slashes.
"Item no longer exists." / "Destination folder not found !"
- Why
- Somebody removed it while your tree was open.
- What to do
- Press F5 to redraw.
"Copy limit reached (5000 items per paste) - copy the remaining folders separately."
- Why
- One paste is capped so a huge copy cannot hang the screen.
- What to do
- Copy in batches.
"Download of '...' failed on the FTP server."
- Why
- The file could not be fetched from the store - it may have been removed there, or the credentials changed.
- What to do
- An administrator checks the connection in Document Connections.
"Delete rejected by the database."
- Why
- A permission trigger or a reference refused it.
- What to do
- Check who may delete, and whether something points at the file.
The whole module is missing, or refuses to open
- Why
- Document Management is licensed separately.
- What to do
- Ask your vendor.
This is the help InvoiceNET® ERP shows beside the Document Explorer screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
