Capital Work in Progress

For an asset that is built or installed over time - a building, a plant, a fit-out. Its bills are posted to a capital work in progress ledger as they come; when it is ready, the total becomes an asset.

1Step by step #

  1. Add a ledger for the work on Ledger Account Master (under Fixed Assets or a Capital Work in Progress group), if there is none.
  2. Press New project : name it, pick that ledger, and give the dates and budget if you want them.
  3. Post the project's bills, payments and journals with the ordinary vouchers , debiting that ledger.
  4. Open the project here, tick its lines under Lines on its ledger that no project has , and press Tag the ticked .
  5. When the asset is ready, press Capitalise (F5) : the day it is put to use, the Journal type, and the asset or assets it becomes - each with its item, name, category and cost. The costs must add up to the project's cost.
  6. Set the new assets' depreciation on Fixed Assets Master where it differs from the category's.

2Rules and conditions #

  • A project's cost is its tagged lines , debits less credits. Nothing is typed as a cost: the books are the source.
  • A posting line belongs to one project. Several projects may share a ledger; each takes its own lines.
  • A project belongs to the branch it was made in and offers that branch's lines.
  • If a tagged voucher is later changed or cancelled, its line turns orange. Let it go and tag it again; a project with such a line cannot be capitalised.
  • Capitalise takes the whole cost. The Journal debits each asset's category ledger ( The asset's cost is in ) and credits the project's ledger. The new assets are put to use on that day.
  • It can be undone while the assets are as it made them - not depreciated, revalued, moved or written off. The assets leave the register and the project is in progress again.
  • Needs the Alter right on Fixed Assets Master and Create on the Journal type. If Fixed Assets Settings asks for approval of capitalisation, Capitalise raises a request instead.

3Toolbar & keyboard #

  • Refresh (F3) , Capitalise (F5) for the project picked; in a window F5 confirms and Esc closes; Esc on the page closes it.

4If something does not work #

"You can look, but not add or change a project ..." / "You do not have the right to add a project (Capital Work in Progress Projects, Create) ..." / "... to change a project or its costs (..., Alter) ..." / "... to remove a project (..., Delete) ..."
Why
A project's capital work has a right of its own in User Permissions: Capital Work in Progress Projects. Create starts capital work on a project; Alter changes its ledger, budget and remarks and tags or lets go its voucher lines; Delete takes the capital work off. As delivered, a user who is not an administrator can only look.
What to do
An administrator gives the right in User Permissions.
"You do not have the right to add a project (Projects - Project Master, Create) ..." / "... to change a project's name or dates (Projects - Project Master, Alter) ..." / "You may not add a project to the Project Master ..."
Why
The project itself - its name, branch and dates - is ONE record shared with the Project module, kept in the Project Master. Adding one, or changing its name or dates, needs the right on Projects - Project Master as well.
What to do
Ask your administrator for that right; or, to start, pick a project that is already there in 'An existing project'.
"A project named '...' is in the Project Master already. Start on it instead ..." / "'...' is inactive in the Project Master."
Why
A project's name is one of a kind across the whole Project Master, whoever uses the project. An inactive project cannot take capital work.
What to do
Pick the project in 'An existing project', or give the new one another name.
"You do not have the right to change the fixed-asset register (Fixed Assets Master, Alter). Ask your administrator." on Capitalise or Undo the capitalisation
Why
Capitalising puts assets into the register, so it needs Alter on Fixed Assets Master as well as Alter on Capital Work in Progress Projects. The same two rights are needed by the person who approves it.
What to do
Ask your administrator for both rights.
"Name the project - at least three characters." / "The name is 100 characters at most."
Why
A project needs a name of its own.
What to do
Give it another name.
"Pick the ledger the project's costs are debited to ..." / "The ledger picked no longer exists or is inactive."
Why
A project collects the lines of one ledger.
What to do
Pick an active ledger; add one on Ledger Account Master if there is none.
"The ledger cannot be changed while ... voucher line(s) are tagged to the project. Let them go first."
Why
The tagged lines are lines of the present ledger.
What to do
Let the lines go, change the ledger, then tag the new ledger's lines.
"The expected end is before the start." / "The budget cannot be below nought." / "The remarks are 450 characters at most."
Why
A date or figure is not possible.
What to do
Correct it.
"This project is capitalised and can no longer be changed." / "... its lines can no longer be changed."
Why
A capitalised project is closed; its lines made the assets' cost.
What to do
Undo the capitalisation first if it must be changed.
"Tick the lines first." / "... line(s) were not taken - they are no longer on the project's ledger, or another project has them."
Why
Nothing was ticked, or a line was changed or tagged elsewhere while the page was open.
What to do
Press Refresh (F3) and tick again.
No line is offered to tag
Why
Only lines posted to the project's own ledger, in its branch, not cancelled and not tagged to any project are offered - 500 at most, newest first.
What to do
Check the voucher was posted to that ledger and branch; press Refresh (F3).
A tagged line is orange: "changed or cancelled in the books since"
Why
The voucher was altered or cancelled after its line was tagged, so the line no longer matches the books.
What to do
Tick it and press Let go the ticked, then tag the voucher's line again from the list below.
"The project has no cost yet. Tag the voucher lines posted to its ledger first." / "... tagged line(s) no longer match the books ..."
Why
A project is capitalised at its cost, and that cost must agree with the books.
What to do
Tag its lines; let go and re-tag the orange ones.
"The project belongs to .... Sign in to that branch: the Journal is that branch's voucher."
Why
The Journal belongs to the project's branch.
What to do
Sign in to that branch.
"Enter the day it is put to use." / "The day cannot be in the future." / "The day is before its last cost, dated ...."
Why
The asset is put to use on a day not before its last cost.
What to do
Correct the day.
"Add at least one asset ..." / "Asset ...: give it a name." / "...: the name is 50 characters at most." / "...: an asset of that name is in the register already." / "...: the name is given twice."
Why
Each asset the project becomes needs a name of its own - asset names are unique over the whole register.
What to do
Give each asset another name.
"...: pick the asset item it is a unit of (an item classified Fixed Asset)." / "...: pick its category." / "...: its category has no asset ledger. ..." / "...: its cost must be above nought."
Why
An asset needs its item, its category - whose asset ledger the Journal debits - and a cost.
What to do
Pick them; give the category its asset ledger on Fixed Assets Category.
"The assets add up to ..., the project to .... The whole cost is capitalised: make them equal." / "The project's cost has changed since it was shown ..."
Why
The whole of the project's cost becomes assets, and the cost changed or was not fully given out.
What to do
Make the costs add up to the project's cost; press Refresh (F3) if it changed.
"The Journal could not be saved, so the project is still in progress. ..." / "The ... WAS saved, but the capitalisation could not be recorded against it ..."
Why
The voucher save refused, or the Journal reached the books but the register could not be updated.
What to do
Put right what the message says and capitalise again; cancel the voucher it names first if it says one was saved.
"... has been depreciated since. Undo that first ..." / "... has been revalued / moved / has left the books / has had its cost changed / has been removed from the register since."
Why
A capitalisation is undone only while the assets it made are as it made them.
What to do
Reverse the depreciation runs, undo the revaluation, move or disposal, or put the cost back - then undo the capitalisation.
"'...' has ... voucher line(s) tagged to it. Let them go first." / "'...' has been capitalised before; its history is kept, so its capital work cannot be removed."
Why
Capital work can be taken off a project only while no line is tagged to it and it was never capitalised. The project itself always stays in the Project Master.
What to do
Let its lines go; a project with history stays.
"Sent for approval (request ...): ..."
Why
Approval is switched on for capitalisation (or for reversals and undo) in Fixed Assets Settings. Nothing was posted: a request was raised.
What to do
Watch it on Fixed Assets Work-flow.
