1Codes #
- Press How codes are made once: the company prefix, whether the category's short code goes in, the separator, the number of digits, and each category's short code.
- Press Give codes (F5) . Every asset without a code gets the next one - or only the assets you ticked.
- To enter or change one code by hand, click the asset and press Type a code .
- The code is the Tracking ID on Fixed Assets Master; a code typed there is the same code.
- A code is capital letters, digits and - . / _ only, 30 characters at most, and no two assets share one .
- Changing how codes are made does not change codes already given. A number whose code is already used is skipped.
- After a code is changed, the asset's old label no longer finds it: print a new one.
2Labels #
- Choose QR code or Barcode , and the size of one label on your roll.
- Print every asset with a code, one category, or only the assets ticked on the Codes tab.
- Print labels (F5) opens the browser's print window with one label per page. Choose the label printer, margins None , scale 100% .
- Each label carries the company's name, the code in words, and the asset's name.
- Both kinds hold only the code - nothing about the asset can be read from a label by somebody without the program.
3Physical verification #
- Sign in to the branch being verified and press Start a verification .
- Scan each asset's label: with a handheld scanner (it types into the scan box), with Use the camera on a phone, or by typing the code and pressing Enter.
- Before scanning an asset that is damaged or not working, choose its condition and add a note.
- Watch Still to scan shrink. When the walk is finished, press Close the verification .
- Found : an asset of this branch, still in the books.
- Not expected : a label scanned that is another branch's asset, a written-off asset, or a code not in the register. It is listed, not counted as found.
- Missing : assets of the branch not scanned when it is closed.
- Scanning the same label twice changes nothing but its condition and note.
- Closing keeps the counts as they stood. Nothing in the register or the books is changed by a verification: write off or transfer what the result calls for on Asset Transfer and Disposal.
- Several people can scan into the same open verification at once, each signed in to that branch.
4Toolbar & keyboard #
- Refresh (F3) reads everything again.
- F5 gives codes on Codes, prints on Labels, and presses a window's main button.
- Enter in the scan box records the code. Esc closes the open window, else the tab.
5If something does not work #
"You can print labels and scan, but not give or change codes ..." / "You do not have the right to change the fixed-asset register (Fixed Assets Master, Alter). Ask your administrator."
- Why
- Giving and changing codes, changing how they are made, and starting or closing a verification change the register or decide its audit record. Scanning and printing do not.
- What to do
- Ask your administrator for the Alter right on Fixed Assets Master.
"... code(s) are on more than one asset (...). A scanner cannot tell those assets apart ..."
- Why
- The same Tracking ID was typed on more than one asset on Fixed Assets Master, where nothing stopped it.
- What to do
- Click each of those assets and press Type a code to give it its own; print new labels. Fixed Assets Tag List, Show = Sharing a code, lists them.
"Every asset shown already has a code." / "Each asset ticked already has a code. To change one, click it and press Type a code."
- Why
- Give codes only gives a code to assets that have none; it never changes one.
- What to do
- To change a code, click the asset and press Type a code.
"Enter the code." / "A code is 30 characters at most." / "A code is made of capital letters, digits and - . / _ only, with no spaces ..."
- Why
- A typed code has to print as a barcode and be typed back by a scanner exactly.
- What to do
- Use capitals, digits and - . / _ only. Lower-case letters are turned to capitals for you.
"The code ... is already on .... Two assets cannot share a code."
- Why
- Another asset of the company has that code.
- What to do
- Type a different code, or change the other asset's code first.
"That asset was not found, or belongs to a branch you cannot see."
- Why
- The asset was deleted or moved to a branch you have no access to since the list was read.
- What to do
- Press Refresh (F3).
"The prefix is letters and digits only." / "The prefix is 10 characters at most." / "The separator is one of - . / _ or nothing." / "The number has 3 to 9 digits." / "The next number starts at 1 or more."
- Why
- Something on How codes are made is outside what a code can hold.
- What to do
- Correct it.
"...: its short code is letters and digits only." / "...: its short code is 10 characters at most." / "The short code ... is given to more than one category (...). Each category needs its own."
- Why
- A category's short code has a character that cannot go in a code, is too long, or is the same as another category's.
- What to do
- Use a few letters of your own for each category - VEH, COMP, FURN.
"A code made this way can be ... characters long; 30 is the most. Shorten the prefix or the digits."
- Why
- Prefix, category code, separators and digits together are too long.
- What to do
- Shorten one of them.
"The numbers have run past ... digits. Raise the digits on How codes are made, then give the codes again." / "No free number could be found for a code. ..."
- Why
- The running number no longer fits the digits chosen.
- What to do
- Press How codes are made and raise Digits in the number. Codes already given keep their length.
"There is no asset with a code to print. Give codes on the Codes tab first."
- Why
- Labels are printed only for assets that have a code - or none match the category or the ticks chosen.
- What to do
- Give codes first; clear Only this category; switch off Only the assets ticked.
"The print window was blocked. Allow pop-ups for this site in the browser, then press Print labels again."
- Why
- Labels print from a window of their own, and the browser stopped it from opening.
- What to do
- Allow pop-ups for this site (the icon at the end of the address bar), then print again.
"The QR code drawer could not be loaded (no network just now?). Barcode labels do not need it." / "A QR code could not be drawn: ..."
- Why
- The part of the program that draws QR codes is fetched the first time it is needed, and could not be.
- What to do
- Try again where there is a signal, or print Barcode labels. If it never loads, an administrator checks that the lib/zxing folder was published with the site.
A label prints across two labels, or tiny in a corner of a sheet
- Why
- The browser is printing on the printer's default paper, with margins or scaling.
- What to do
- In the print window choose the label printer, set Margins to None and Scale to 100%, and make the Label size here match the roll.
A handheld scanner does not read a barcode label
- Why
- The label is too small for the length of the code, or the printer is too coarse: the narrowest bar has to print cleanly.
- What to do
- Use a wider label or a shorter code (fewer digits, shorter prefix), or print QR labels - they hold the same code in less space.
"This branch already has a verification open ('...'). Go on with it, or close it first."
- Why
- A branch has one verification at a time.
- What to do
- Open it from the Verification tab and go on scanning, or close it.
"No branch is signed in to, so there is no branch to verify."
- Why
- A verification is for the branch you are signed in to.
- What to do
- Sign in to the branch being verified.
Scan: "... is not in the register. It is listed as not expected."
- Why
- No asset has that code - a label from somewhere else, a mistyped code, or an asset never entered.
- What to do
- Check the label. If the asset is yours and not in the register, enter it on Fixed Assets Master. Take the line off with the bin if it was a mistake.
Scan: "... belongs to another branch. It is listed as not expected - transfer it if it has moved."
- Why
- The asset is in the register under a different branch from the one being verified.
- What to do
- If it has really moved here, record the move on Asset Transfer and Disposal; it then counts in this branch's next verification.
Scan: "... was written off, yet it is here. It is listed as not expected."
- Why
- The asset was taken out of the books on Asset Transfer and Disposal, but it is physically present.
- What to do
- If the write-off was a mistake, undo the disposal on Asset Transfer and Disposal.
Scan: "... was already scanned."
- Why
- The same label was read twice in this verification. It is counted once.
- What to do
- Nothing needs doing. The condition and note of the second scan are kept.
"The code ... is on ... assets, so it cannot say which one this is. ..."
- Why
- More than one asset has that code.
- What to do
- Give each its own code on the Codes tab, print new labels, and scan again.
"Scan a label, or type the code." / "That is too long to be an asset code." / "Choose the condition: good, damaged or not working." / "The note is 450 characters at most."
- Why
- The scan box was empty, or something on the scan is not possible.
- What to do
- Scan again or correct it.
The scanner beeps but nothing is recorded
- Why
- A handheld scanner types where the cursor is. The cursor was somewhere else, or the scanner does not press Enter after the code.
- What to do
- Click the scan box (the page puts the cursor back there after each scan). Set the scanner to send Enter (CR) as its suffix, or press Enter yourself.
"The camera cannot be used on this page. It needs a secure (https) address." / "The camera was not allowed, or there is none. ..." / "This browser cannot read barcodes with the camera." / "The barcode reader for this browser could not be loaded ..."
- Why
- Browsers give a page the camera only on a secure address and with your permission; some need the program's own reader, fetched on first use.
- What to do
- Open the application by its https address, allow the camera when asked, and try again where there is a signal. A handheld scanner or typing the code always works.
"This verification is closed. Start a new one to scan again." / "This verification is closed already." / "The verification was closed by somebody else meanwhile." / "That line is no longer there, or its verification is closed."
- Why
- A closed verification is a record and takes no more scans or changes.
- What to do
- Start a new verification.
"That verification was not found, or belongs to a branch you cannot see."
- Why
- It is of a branch you have no access to.
- What to do
- Press Refresh (F3), or sign in with access to that branch.
An asset is under Still to scan although its label was scanned
- Why
- The label carries an old code (the asset's code was changed after the label was printed), so the scan found nothing or another asset.
- What to do
- Print the asset a new label from the Labels tab and scan that.
"The title is 200 characters at most." / "The notes are 450 characters at most."
- Why
- The text is too long to keep.
- What to do
- Shorten it.
