Bom Page

A Bill of Materials (BOM) defines how a finished product is manufactured — the finished goods produced, the raw materials consumed, any sundry charges , and the sequence of manufacturing operations (with equipment, semi-finished output, material usage and per-item parameters).

1What is a BOM? #

A reusable recipe for producing an item. It is operated like a master record — one BOM at a time, View / Add / Modify — and is referenced later by manufacturing vouchers.

Enter in cost order: Raw Materials → Sundry Charges → Finished Goods.

  • Raw Materials (Material Cost) — what it consumes; their Amount total is the material cost.
  • Sundry Charges — additional cost of production; each charge is additive (+) or deductive (−) per its bill-sundry type, so the sundry total is signed.
  • Finished Goods — what the BOM produces (Primary / By Product / Semi Finished / Scrap); their cost is allocated from (Material Cost + Additional Cost).
  • Operations — the routing steps, each optionally carrying equipment, semi-finished output, material-usage and timing.

2Step by step #

A BOM says what one production run consumes and produces — the recipe production vouchers execute.

  1. Press Add (F3) , name the BOM and pick the finished product with its output quantity.
  2. Add the raw-material rows — each consumed item and its quantity per run.
  3. Add operations only if Advanced Manufacturing is in play; plain consume-and-produce needs none.
  4. Press Save (F5) and confirm. Production vouchers can now load the BOM, scale it by the run quantity, and post it.

3Header & item grids #

  • BOM Name: mandatory, unique. Description: free text.
  • Finished Goods / Raw Materials: pick a Product , then Qty , Unit (limited to the product's alternative units), and Rate — Amount = Qty × Rate. FG rows also carry an inventory Type .
  • Raw-Material Rate auto-fills progressively as you choose: pick the Product → Product-master price; pick a Stock Group → its Stock-Group price (only if that category has Custom Price enabled); pick a Unit → its Alternative-Unit price (only if that unit has Custom Price enabled). Within every tier the price type is STD. PURCHASE PRICE , falling back to STD. COST PRICE . A custom Alternative-Unit price is used as-is (it is already stated per that unit); otherwise the base price is converted to the chosen unit by its Conversion Factor (Rate = base × CovFactor; the primary unit has factor 1). Edit it if needed. Finished-Goods Rate is never taken from the price list — it is always derived as Amount ÷ Qty by the cost allocation.
  • Total Production Cost = Raw Material total + signed Sundry total.
  • Finished-Goods cost auto-calculates from the raw materials & sundries; the FG Qty is never calculated — it stays exactly what you type:
  • FG Amount = Total Production Cost (all RM Amounts + additive Sundries − deductive Sundries), allocated across the FG rows by Value Basis (blank = Proportionate by weight, Percentage of the pool, Static / Custom = the ValueItem amount).
  • FG Rate is derived: Rate = Amount ÷ Qty (the Rate cell is read-only on FG rows). Changing any RM Qty/Rate/Amount or a Sundry re-allocates Amount and refreshes Rate.

Calc Cost (F8) forces the same recalculation on demand.

  • Stock Group & Unit are filtered by the selected product — each dropdown lists only that product's own stock groups and units (not every master record), so you pick from what actually applies.
  • Size columns (Length, Width, SQM, Depth, Height, Weight) appear only when the company setting Use size columns in BOM Master is on.
  • Advanced-manufacturing columns (shown on Raw Materials when the Advanced Mfr licence is active): Source of consumption (Stock / PO / Job Order / Produce / Stock-Else-… / None), Supplier (a supplier or work-centre ledger), and Linked BOM (a primary-finished-goods BOM). The Finished-Goods Inventory Type column is also licence-gated.
  • Params (per FG/RM row): set values for the item-parameter template defined on that product (selection / numeric / text).
  • Create masters inline — every + Create new … footer opens the master in an embedded dialog (never a new browser tab, so your login and the in-progress BOM are kept). On save the new record is added to the list and selected on the row. Available for Product , Stock Group , and Unit . (Creating a Supplier ledger from the Supplier dropdown, and a new Operation from the Operations grid's Operation dropdown, are coming soon.)
  • Add an alternative unit: the Unit dropdown's + Create new unit opens the "Add Alternative Unit" dialog — pick a unit from the Unit master (or + Create new unit there to add a brand-new one via the embedded Unit Master), give a Conversion Factor , and it is registered as the product's alternative unit and selected on the row.

4Manufacturing operations #

The whole Operations card appears only when the Advanced Manufacturing licence is active. Each operation is a routing step picked from the operation master.

  • Operation & Work Centre: pick the operation; its Work Centre name (from the work-centre master) shows read-only alongside.
  • Order, Setup (min), Run (min): execution sequence and timing (minutes).
  • Capacity Qty & Capacity Period: the step's capacity per period — Seconds / Minutes / Hours / Days .
  • Starting Type: Manual / Automatic . Starting Criteria: when the step may start (no criteria, on work-order release, after the previous operation, or after all parent operations).
  • Material Availability: the reservation / consumption threshold that must be met before the step starts (e.g. "Start when at least 50% are reserved" … "100% consumed").
  • Responsible Users: a multi-select of system users accountable for the step (stored as a user-id list).
  • Completion: Manual / Automatic .
  • Equipment: the work-centre equipment (and optional operator) used by the step. The Equipment button shows only when the company setting Use equipments in manufacturing is on.
  • Semi-Fin? + Semi-Finished: enable to define items received from the step, each with accept / reject routing (next operation, a specified operation, or a warehouse).
  • Mat? + Material Usage: enable to define which raw materials are consumed in the step. In Add mode the dialog pre-lists the BOM raw materials with their remaining balance — the grid quantity minus what other operations already consume; a fully-consumed material is not listed. Edit the Qty (capped at that balance — it can't exceed the Raw-Material grid quantity across all operations), pick a usage option ( Backflush or Manual — see below), or Remove rows not consumed in this operation. In View / Modify it shows only the rows that were saved — the same quantity cap applies while editing, and an over-allocation (e.g. after reducing a Raw-Material quantity) is flagged as soon as the dialog opens. The material itself is always fixed (add materials on the Raw-Material card); to add rows back — after removing them, or after adding new raw materials — use the dialog's ⟳ Load Raw Materials button, which lists every material with its remaining balance.
  • Fin Goods?: allow finished-goods receipt at this operation.

What is Backflush?

Set in the per-operation Material Usage list (the usage-option column) and on Raw-Material rows. Backflush means the raw material is deducted from stock automatically when the finished good is reported as produced in a manufacturing / production voucher — the system reads this BOM, multiplies the FG quantity by the per-unit quantity defined here, and issues the components in one step. No separate material-issue entry is keyed.

  • Why use it: for repetitive production where components are consumed in fixed, predictable proportions — it removes per-issue data entry and keeps stock in line with the recipe. Choose Manual instead when the material is issued and recorded by hand (variable usage, one-off jobs).
  • Accuracy depends on this BOM: because backflush multiplies out the quantities you define here, wrong BOM quantities (or wastage not accounted for) make stock drift silently. Keep the Raw-Material qty per unit — and any wastage — correct.

5Lists, speed & company settings #

Everything loads once for speed. On open, the page pulls the whole stock-group / unit / price catalog into memory, so picking a product, stock group or unit — and the rate it resolves — is instant with no server round-trips.

  • ⟳ Refresh Lists (toolbar): reload the stock groups, units and prices if someone changed a master elsewhere, then re-resolve the current raw-material rates. The lists also refresh automatically when you return from a master-edit dialog.

What you see depends on company settings & licence:

  • Use size columns in BOM Master — shows/hides Length, Width, SQM, Depth, Height, Weight on the Raw-Material and Finished-Goods grids.
  • Use equipments in manufacturing — shows/hides the per-operation Equipment button.
  • Advanced Manufacturing licence — enables the whole Operations card, the Finished-Goods Inventory Type column, and the Raw-Material Source / Supplier / Linked BOM columns.
  • Remove Find / Modify / Delete from transactions — hides those toolbar buttons accordingly.
  • Quantity totals are shown to 6 decimals in the grid footers.

6Working in this page (keyboard) #

  • Opens ready to add: the page loads straight into a new BOM with the cursor on BOM Name — just start typing.
  • Enter moves field-to-field: press Enter (or Tab ) to advance through the controls; in every grid, leaving the last enabled cell of the last row automatically appends a fresh empty row so you can keep keying items without reaching for the mouse.
  • Find (F2): search and load an existing BOM.
  • Add (F3): start a new BOM. Modify (F4): edit the loaded one.
  • Copy: duplicate the loaded BOM into a new, unsaved one (suffixed "- Copy").
  • Calc Cost (F8): allocate the production cost to the finished goods by Value Basis (see "Header & item grids"). The button sits in the Finished Goods header, next to Add Item ; the F8 shortcut works from anywhere on the page.
  • ⟳ Refresh Lists: reload the stock-group / unit / price lists after a master changes elsewhere (see "Lists, speed & company settings").
  • Save (F5): persist the master and all item / operation rows. Delete: remove the BOM (its detail rows cascade). Find / Modify / Delete may be hidden by company settings.
  • Cancel (Esc): discard changes and return to view.
  • A BOM must have a name and at least one finished-goods item to save.

7Why is a pick-list empty? (prerequisites) #

Each dropdown only lists what already exists in its source master, filtered by the exact conditions below. If a list is empty or missing an entry, satisfy the condition in the named master first, then reopen the list (or use ⟳ Refresh Lists ).

  • Item Name (Raw Material / Finished Goods): lists products from the Product Master where Product Classification = "Inventory" and the product is not inactive , and that pass the branch/division sharing rules. Fixed-asset and service items do not appear here. Each product's default rate is its Cost-Sheet net cost, falling back to the "STD. Production Cost" price (Item Price master).
  • Stock Group: shows only the stock groups assigned to that product — i.e. a Product Category allocation must exist linking the product to the category. A product with no category allocation shows nothing.
  • Unit / Alternative Unit: shows only the units defined for that product in its Alternative Units (with a conversion factor). Add the unit on the product first.
  • Operation: lists steps from the Manufacturing Operations master , but only those linked to a valid Work Centre (inner join to the Work-Centre master). An operation whose Work Centre is missing/blank will not appear — set its Work Centre.
  • Equipment (per operation): lists equipment registered against a Work Centre in the Work-Centre master (each row carries the Work Centre, the linked fixed Asset , and an optional default operator). Register the fixed asset as equipment on the operation's Work Centre; the list is filtered to that operation's Work Centre, so set the operation's Work Centre first.
  • Operator (per equipment): defaults from the equipment's registered operator; the pick-list is employee ledgers — active accounts in the Ledger master flagged Employee = "Yes" (within sharing scope).
  • Supplier (Raw-Material, Advanced-Mfr): lists active ledgers whose Primary Category = "Suppliers" or whose group is "Work-Centres" (Ledger master).
  • Linked BOM (Raw-Material, Advanced-Mfr): lists saved BOMs whose finished-goods Inventory Type = "Primary" . Save such a BOM first for it to appear.
  • Responsible Users (per operation): lists accounts from the Users master . If the user-designation setting is configured, the list is restricted to users who are employees carrying that designation (Ledger → Employee master); otherwise all users show.
  • Sundry Charge: lists every charge from the Bill Sundries master.
  • Warehouse / Godown: lists every godown from the Godown (GDN) master . Missing one? Use the dropdown's + Create new warehouse footer to add it inline (name required; it's created as a top-level "Regular" storage space for the current branch).

Newly created masters may not show until the in-memory lists refresh — click ⟳ Refresh Lists or reopen the page.

8If something does not work #

"No item-parameter template is defined for this product."
Why
A parameter-driven BOM reads the product's template; without one there is nothing to compute from.
What to do
Give the product a parameter template, or build the BOM by hand.
A message that the material usage does not match the quantity
Why
The materials must account for what the BOM makes.
What to do
Adjust the Material Usage quantities until they agree.
The BOM is not offered on a production voucher
Why
A BOM belongs to a product, and the voucher type must be a manufacturing one.
What to do
Check the product and the voucher type.
The module is missing from the menu
Why
Manufacturing (and Advanced Manufacturing) are licensed separately.
What to do
Ask your vendor.
