Cheque Books

A Cheque Book records one physical book of cheque leaves issued by a bank for one of your bank ledger accounts. When you save a book, the database automatically creates one cheque leaf per number from Start No to End No — those leaves are then offered when writing cheques against that bank. A book cannot be altered after it is saved: if you entered it wrongly, delete it and create it again.

1What is this master? #

  • One record per cheque book. Use Find (F2) to load a book, Add (F3) to register a new one, Save (F5) to save it.
  • There is no Modify mode on this page — the database refuses any alteration to a saved book. To correct a mistake, Delete the book and create it again with the right numbers.
  • After a book loads, its cheque leaves appear in the read-only grid below the form with each leaf's status, party and amount once used.

2Step by step #

Suppose the bank has issued a 50-leaf book for the company's current account.

  1. Press Add (F3) . Book ID is the identity printed on the book; type it exactly.
  2. Pick the Bank Account — only ledgers under Bank-typed groups are listed. Missing? Create the bank ledger first in the Ledger Account master.
  3. Type the first cheque number into Start No and 50 into Qty — End No fills itself.
  4. Press Save (F5) and confirm: the leaf register is created, one row per cheque, ready to be issued against payments and printed via the leaf register's print.

3Fields #

  • Book ID is the unique code of the book (for example the bank's book serial). Required; no two books may share an ID.
  • Bank Account is the bank ledger this book belongs to. Required. The pick list offers only ledger accounts placed under an account group whose primary category is Bank Accounts — it comes from the Ledger Account master, so if the list is empty, create the bank ledger there first (under a Bank Accounts group).
  • Description is free text about the book (optional).
  • Date is the date the book is registered; it defaults to today.
  • Start No is the first cheque number in the book. Required.
  • Qty is how many leaves the book holds and must be greater than zero.
  • End No is computed automatically as Start No + Qty − 1 and cannot be typed.

4Why is the bank pick-list empty? #

  • The Bank Account list shows ledger accounts whose ledger group has primary category Bank Accounts . Create the group in the Ledger Group master (primary category Bank Accounts), then the ledger under it in the Ledger Account master, and reopen this page.

5Integrity rules #

  • Unique book ID — no two cheque books may share the same Book ID.
  • Unique bank + start number — the same bank account cannot have two books starting at the same cheque number.
  • The database itself checks that End No ≥ Start No and Qty ≠ 0 .
  • The cheque leaves are auto-created by the database the moment the book saves — one leaf per number from Start No to End No. Nothing on this page writes leaves directly.
  • A saved book cannot be altered — the database refuses updates. Delete and re-create instead.
  • Deleting a book removes its unused leaves automatically, but the delete is refused if any leaf already carries a transaction (a written cheque).
  • User permissions can refuse a save or delete (permission triggers), and deleting a book also clears its attached document links.
