Ledger Group Master

A Ledger Group is a node of the chart-of-accounts tree. Every ledger account belongs to a group; groups roll up into primary groups (Asset, Liability, income and expense heads) for the financial statements.

1What is this master? #

  • The master list of ledger account groups — the account tree behind Balance-Sheet / P&L grouping, ledger pickers and account numbering. Ledger accounts pick their group from here.
  • One record is edited at a time; the page opens ready to add a new group.

2Step by step #

Suppose you need a group for local customers under the standard debtors tree.

  1. Press Add (F3) and type Local Customers into Group Name .
  2. Pick the Group Behavior — this is what makes ledgers under it act like customer accounts (billing fields, outstanding tracking). Behaviour comes from the fixed system list.
  3. Pick Under Group — the parent in the chart of accounts, typically Sundry Debtors — and the Primary Category the tree reports under.
  4. The numbering block ( Numbering Method , Start No , prefix/suffix) is optional: set it if accounts under this group should be auto-coded; skip it to code accounts by hand.
  5. Press Save (F5) and confirm. Open the Ledger Account master and the new group is already in its Group Name list.

3Fields #

  • Group Name * — required and must be unique across all groups; it also can't equal its own parent group's name.
  • Primary Group — switch ON for a top-level group: the next field becomes Group Behavior (Asset, Liability, income/expense heads). OFF makes it Under Group (the parent). Toggling clears the current selection so you re-pick from the right list.
  • Group Behavior / Under Group * — required; places the group in the tree (see "Why is a pick-list empty?").
  • Primary Category * — required; the functional category (Suppliers, Customers, Work-Centres, …) transactions use to filter ledgers. Pick from the list or type a new value.
  • Description — optional notes.
  • Branch Sharing Compulsory — forces accounts of this group to declare branch sharing (ERP edition only; hidden in Professional, where the stored value is kept).
  • Account numbering — how account numbers are generated for this group's ledgers. The detail fields (Start No, Prefix, Suffix, Prefill with Zeros → No. of Numerals, Include Custom Group Code → its Suffix) are enabled only for the System numbering method.

4Toolbar & keyboard #

  • Find (F2) searches and loads an existing group; Add (F3) starts a new one; Modify (F4) edits the loaded one (all from View mode).
  • Save (F5) and Cancel (Esc) each ask to confirm first — OK is focused, so Enter confirms.
  • Delete asks to confirm, then removes the loaded group (see the integrity rules below for when it's refused).
  • Enter moves field-to-field; the toolbar stays fixed while the form scrolls.

5Integrity rules (why a save / delete is refused) #

  • Unique name — a second group with the same name is rejected.
  • Protected heads — built-in system groups (e.g. Stock-in-Hand , Profit & Loss ) can't be renamed or deleted; the Delete button is disabled for built-ins.
  • Parent-bound delete — a group can't be deleted while other groups sit under it (move or delete the children first).
  • Parent must exist — a non-primary group's parent must be an already-saved group; a primary group's behaviour must be one of the seeded GroupType values. The parent can't be blank and can't be the group itself.
  • Rename cascade — renaming a group automatically re-points its child groups to the new name; you can rename only one group per save.

6Why is a pick-list empty? (prerequisites) #

  • Group Behavior (Primary = ON): lists the behaviour names from the configuration list GroupType (Asset, Liability, Direct/Indirect Income & Expenses, Revenue heads). These are seeded system values — if empty, the company database configuration is incomplete.
  • Under Group (Primary = OFF): lists the already-saved ledger groups of this master — a parent must exist first. A group can't be its own parent. Missing the parent? Use the dropdown's + Create new group footer to create it inline; it is then selected as the parent automatically.
  • Primary Category: lists the configuration list LedgerGroupPrimeCategory (Suppliers, Customers, …). You may also type a new category directly.
