Loyalty Point Settings

A points profile is the rule book a customer card earns by: per invoice-value band, how many points a purchase gives and what money value those points carry when redeemed.

1Overview #

Licence. Customer Loyalty Points is a feature of Sales, bought on its own. Without it the point profiles and point transactions pages are not offered, and points cannot be redeemed in the cash / card collection window.

2What is this master? #

  • One record per profile; the profile name is unique and is what the Customer Card master picks. Find (F2) / Add (F3) / Modify (F4) / Save (F5) as everywhere; the header and slabs save together.
  • Mark a profile Inactive to stop new cards using it without disturbing the cards already on it.

3Step by step #

A point profile is the earn/redeem rule book — how many points per amount, in slabs.

  1. Press Add (F3) , name the profile and add its slab rows — from-amount, to-amount, points earned.
  2. Press Save (F5) and confirm.
  3. Cards adopt the profile; every bill against them earns by these slabs.

4Header fields #

  • Is Include Tax — earn on the tax-inclusive invoice value when on; on the pre-tax value when off.
  • Points Validity — months the earned points stay redeemable; 0 means they never lapse. A slab's Expiry In Days overrides this for points earned in that band.
  • Point Redemption Account — the ledger account a redemption posts against; create it in the Ledger master first.

5Earning slabs #

  • Min / Max Invoice Value — the band the purchase falls in. Bands must not overlap and no two bands may share a boundary; a new row starts where the previous one ended.
  • Point Cal. Basis + Value — Flat Value gives the value as points outright; Percentage To InvoiceValue earns that percent of the invoice as points; Proportionate To InvoiceValue scales the value across the band.
  • Amt. Cal. Basis + Value — what money the points carry: the same three bases, plus Percentage To Cal. Points (a percent of the points just earned), For Every Points (the amount per point) and For Every Custom Points (the amount per block of Every Custom Points Value points).
  • Accumulate ? — points and amount carry forward across purchases, building toward the band, instead of each invoice standing alone.
  • Example: 1,000 – 5,000 → 1 point per 100 (Percentage To InvoiceValue = 1), each point worth ₹1 (For Every Points = 1), expiring in 180 days.

6Rules & integrity #

  • Profile name is required and unique. Slab maxima can't fall below their minima; duplicate boundaries and overlapping bands are refused by name before the database index objects.
  • A profile with cards assigned, or with point transactions against it, cannot be deleted — reassign the cards or mark it inactive. Deleting a deletable profile removes its slabs with it.
  • The desktop form silently discarded the typed Points Validity — this page saves it.

7Why is a pick-list empty? #

  • Point Redemption Account — comes from the Ledger master; create the account there first, or press + Create new ledger account at the bottom of the list to create it without leaving this page.
  • The two basis lists are fixed choices built into the form — type or pick; unknown text is kept but the till only understands the listed bases.

8If something does not work #

"Profile name can't be blank." / "Profile #... not found."
Why
A profile is picked by name, and this one has gone.
What to do
Fill the name; press F2 to pick again.
"Slab ... - ...: the maximum must not be below the minimum."
Why
A band that ends before it starts covers nothing.
What to do
Correct the band.
"Slabs ... and ... overlap." / "Two slabs start at the same minimum invoice value (...)" / "Two slabs end at the same maximum invoice value (...)"
Why
Overlapping bands would give one invoice two point rates.
What to do
Make the bands meet without overlapping.
"Customer cards are assigned to this profile - move them to another profile first, or mark this one inactive." / "Point transactions reference this profile and it can't be deleted. Mark it inactive instead."
Why
Deleting it would orphan cards and their points.
What to do
Move the cards, or make the profile inactive.
