Fixed Asset Opening

Records the individual physical asset units that make up a product's opening fixed-asset stock — one row per asset, with identification, purchase, allocation, warranty, insurance and service-contract details.

1What is this page? #

  • The opening register of fixed-asset units for a product whose Classification is Fixed Asset . Also opens embedded from Product Master (the Fixed Asset Opening action) with the product pre-selected.
  • Available only when the Fixed Assets module is licensed. Pick the product, then add one row per physical asset and Save.

2Step by step #

Asset opening registers an existing asset — identity, category, department, values — as the starting point of its register life.

  1. Press Add (F3) , identify the asset and pick its category (and department where used).
  2. Enter the opening values the register should start from.
  3. Press Save (F5) . The asset is in the register: it can be disposed of on a Fixed Asset Sale voucher and have material booked against it. Depreciation is set up on Depreciation Setup and charged on Depreciation Run - see Fixed Assets Getting Started.

3Choosing the product #

  • The Product combo selects which Fixed-Asset product's units you are entering — it lists only products whose Product Classification is "Fixed Asset" in the Product Master. Type to filter; on pick, its existing asset units load and the opening quantity shows beside it. In Product-Master-embedded mode the product is fixed.
  • Find (F2) jumps to the product picker so you can search at once.

4Toolbar & keyboard #

  • Add (F3) adds a new asset card and opens it below — an asset item must be chosen first.
  • The assets of the item are shown as cards , with a search box: click a card to open that asset below. Inactive and written-off assets are orange; a card shows the asset's code, cost, book value and the day charged up to.
  • Above the open asset are its figures at a glance - cost, depreciation so far, book value, charged up to and status - and Remove this asset .
  • Modify (F4): re-open the selected asset. Delete: remove the selected asset (asks to confirm).
  • Save (F5): persist all asset rows for the product (per-row insert/update/delete). Asks to confirm — OK is focused, so Enter saves.
  • Cancel (Esc): discard changes and reload the product's assets (asks to confirm).
  • Enter moves field-to-field. The toolbar and the asset item bar stay fixed while the form scrolls.
  • Excel Import / Export brings in the assets of every asset item from one sheet - the way to enter the assets you already own. Press it, download the format, fill one row per asset (item, name, category, cost, dates, where it is, and its depreciation figures: method, rate, put-to-use date, opening book value and the day it is on), choose the file, look over the check of every row, and import. A row whose Asset Name is already in the register can be skipped or updated. The same window exports the register in that format. The asset item and the category must exist first; nothing is created from a sheet.

5The asset editor (sections) #

  • Identification — Asset Name (required, and must be unique per product), serial numbers, make/model/brand, tracking & reg no, and Category . The Category picker lists the Fixed-Asset Category master; its + Create new category footer creates one inline.
  • Purchase — invoice no/date, supplier, purchase cost and book value.
  • Depreciation — the asset's own figures where they differ from its category's: method , rate or useful life , residual value (an amount), the day it was put to use (blank = Install Date, else Invoice Date), its opening book value and the day that value is on (for an asset held before the program began to depreciate it), and Leave it out of every run . A blank box follows the category. These are the same figures as Its own figures on Depreciation Setup, saved with the asset on Save (F5) ; they need the Alter right on Fixed Assets Master. Once depreciation is posted for an asset its put-to-use date and opening value are fixed.
  • Kept by the program — depreciation so far, the day charged up to and the day written off. Shown only; they change through Depreciation Run and Asset Transfer and Disposal.
  • Parts and parent — an asset made of parts with lives of their own (a machine and its motor, a building and its lift): add each part as an asset of its own and pick the main asset in its This asset is a part of box. The main asset's card then lists its parts with their cost, depreciation and book value. Each part is depreciated, moved, tagged and written off by itself. Parts go one level deep, and the box is kept as soon as it is picked.
  • Photos and documents — the asset's photo, invoice, warranty card, insurance policy and the like. Choose what the next file is, press Add files… and pick them: they are stored in Document Management under Fixed Assets / asset name and linked to the asset at once. Open, download or take a file off the asset from the list; Show the photos draws the pictures. Shown only where Document Management is licensed, and it needs a document store (Document Management -> Connections).
  • Allocation — branch / division / department / employee the asset is assigned to, plus applicable-branch ids (Branch and applicable-branch ids are ERP edition only).
  • Installation / Warranty / Insurance / Service Contract — each has a header switch: turn it on to enable that section's dated fields; turning it off clears them so stale values aren't saved.
  • Other — the Inactive flag and remarks.

6If something does not work #

"Select a Fixed-Asset product first."
Why
An opening belongs to an asset, and none is picked.
What to do
Pick the product.
"Item '...' was saved, but it is not classified as a Fixed Asset, so it cannot be opened here."
Why
The product WAS created; it is simply not an asset.
What to do
Change its classification to Fixed Asset, then open it here.
The screen is missing from the menu
Why
Fixed Assets is a licensed module.
What to do
Ask your vendor.
An asset's Depreciation boxes are all blank although it was set up
Why
Blank means it follows its category. The boxes are also blank for an asset of a branch you cannot see.
What to do
Look at the category on Fixed Assets Category, or sign in to the asset's branch.
"...: the depreciation rate is a percentage a year, from 0 to 100." / "...: the useful life is in months, up to 1200." / "...: the residual value is from 0 to below its cost."
Why
A figure of the asset named is outside what is possible.
What to do
Correct the figure. If the cost itself is wrong, correct the Purchase Cost.
"...: an opening book value needs both the value and the day it is the value on." / "...: the opening book value is from 0 up to its cost." / "...: the opening book value cannot be dated in the future."
Why
Only one of the two boxes is filled, or the value or the day is not possible.
What to do
Fill both or clear both, and correct the value or the day.
"The assets are saved, but not their depreciation figures: ..." / "... could not be matched to them. Enter the figures again."
Why
The assets themselves were saved; the server then refused the depreciation figures for the reason shown - a missing right (Alter on Fixed Assets Master), or runs already posted for the asset.
What to do
Put right what the message says, enter the figures again and press Save (F5).
Put to use on and Opening book value are greyed
Why
Depreciation has been posted for the asset, and those runs were worked out from these figures.
What to do
On Depreciation Run, reverse the runs that charged the asset (newest first), change the figures, and post again.
An opening does not appear in the asset register
Why
The register reads assets by their category and branch.
What to do
Check the category and the branch on the opening.

This is the help InvoiceNET® ERP shows beside the Fixed Asset Opening screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
