Price List Manager

A price list is a named set of item prices. Point a voucher's Price Source at it and its lines price themselves from this list instead of the item master.

1What is this master? #

  • One record per price list. Find (F2) loads one, Add (F3) creates, Modify (F4) edits, Save (F5) stores the header and every item row in one transaction.
  • The name is the list's identity — it must be unique, and it is what voucher and scheme pick-lists show. Renaming carries the items with it.
  • Is Active parks a list without deleting it; Remarks is free text.

2Step by step #

A price list gathers products and their proposed rates so a revision can be prepared, reviewed and applied as one batch.

  1. Press Add (F3) and give the Price List Name — e.g. Sept 2026 revision .
  2. Add the products and their new rates to the item rows, and the branches the list applies to.
  3. Press Save (F5) to keep the working list; return to it any time by F2 .
  4. When approved, use the page's apply action to push the rates onto the products.

3Item prices #

  • Pick an item and type its Price — one price per item, so the same item cannot appear twice.
  • Description, group, part number, make, category and tax fill themselves from the item master and are read-only here.
  • Enter moves cell to cell; Enter or Tab off the last cell starts the next row. A blank row always waits at the end and is discarded if left untouched.

4Copy Price (bulk fill) #

  • Tick items on the left, press Add ▸ to build the chosen list on the right, then choose where the prices come from.
  • Options : <None> brings the items in at zero; Master Price copies a price type from the item master; Price List copies another list; the three Cost Sheet options take the last purchase / manufacture / sale cost sheet; Stock Value uses the current stock valuation.
  • % Price Variation marks the copied price up or down — use a minus sign to reduce.
  • If the list already has rows you choose Replace All or Keep & Add New (which skips items already listed).

5Branches & how vouchers use it #

  • Applicable Branch List (ERP editions) limits which branches may use the list; leave it empty and every branch can.
  • In a branch-scoped ERP company, price-list pick-lists only offer lists allocated to the current branch — so allocate the branch or the list will not appear there.
  • To use a list on a voucher, set the voucher's Price Source to Price List and choose this list; scheme Copy Price can also read from it.

6Rules & integrity #

  • The price list name must be unique — the save refuses "Duplicate price list name !" .
  • Every item row needs an item; a blank one is rejected with "Item Name can't blank !" .
  • Deleting a list deletes its item and branch rows with it. Deleting an item from the item master removes it from every price list automatically.

7Why is a pick-list empty? #

  • Items — only active items shared with your branch appear; if the company restricts users to their allocated products, only your allocated items show.
  • Use this price type to copy price — depends on the chosen source: price types come from the Price Category master, price lists from this master, cost-sheet columns are fixed.
  • Applicable Branch List — branches come from the branch master and the block only appears in ERP editions.

8If something does not work #

"Price list name can not be blank !" / "Duplicate price list name !"
Why
A price list is picked by its name, and names are unique.
What to do
Name it for what it is - a customer band, a season, a branch.
"Pick the source price list." / "Pick the price type to copy." / "Pick the cost-sheet price to copy (UnitPrice / BasicCost / NetCost / RetailPrice / WholeSalePrice / MRP)."
Why
Copying needs to know what is being copied from, and which price.
What to do
Fill all three before copying.
"Empty item list !" / "Nothing matches these filters, so nothing was changed."
Why
The filters find no products, so there is nothing to price.
What to do
Widen the filters; the count of matches is shown before anything is written.
"The same item appears more than once - one price per item."
Why
A product is listed twice in the same list.
What to do
Keep one row.
A voucher does not use the price I set
Why
A voucher takes its price type from its own voucher type, and a party can carry a price list of its own that outranks the general one.
What to do
Check the voucher type's price type and the party's price list.
"No prices defined for '...'." on a voucher
Why
The product has no rate for the price type that voucher uses.
What to do
Add the price here for that price type.
