1Purpose #
Stock on hand tells you how much of an item you own; this page tells you where to walk to find it. It is the map a picker, a stock-taker or a put-away clerk uses to locate goods inside a warehouse.
It records placement only. Saving here does not create a transaction and does not change the item's stock on hand, its opening stock, or any valuation. Nothing on this page posts to accounts.
2Step by step #
Rack stock records WHERE quantities physically sit, on top of what the stock ledger says you have.
- Pick the product (or rack) to work on; existing placements list out.
- Add a row per rack the quantity sits in, entering the quantity placed.
- Save with F5 . Put-away and picking now have a location answer per product.
3How to use it #
- The page opens with a blank row ready to key. Enter moves from cell to cell, and Enter off the last cell of the last row starts another row — so a run of entries needs no mouse.
- A new row copies the branch , warehouse/storage space and rack from the row above, because a rack is normally filled item by item. All three stay editable.
- Add Row (F3) appends a row. The bin icon at the end of a row removes that row; Remove Row in the toolbar removes the selected one. Either way an existing row disappears from the grid and is deleted when you Save.
- Save (F5) writes every changed row in one go, after a confirmation. Only rows you actually touched are sent — untouched rows are never rewritten.
- Refresh (F2) re-reads the list from the database and discards unsaved edits.
- Type in the search box to narrow the grid by rack, item, branch or warehouse. Columns also sort, filter and group — drag a column header into the strip above the grid to group by it.
- The State column shows what will happen to each row on Save: New , Changed , Delete , or blank for untouched. The header counters show total rows and how many are unsaved.
4Field details #
- Branch — required; ERP edition only. The branch holding the stock. New rows pre-select the branch of the row above, or the only branch when the company has one. The list shows only the branches assigned to you. In the Professional edition this column is hidden and every row belongs to the login branch.
- Warehouse/Storage Space — optional. The godown inside the branch. Leave it blank when the branch is not divided into warehouses; blank is a real value and counts as its own location for the duplicate rule below.
- Rack — required. The rack or bin, from the Rack master. Racks nest, so the list can include both a parent rack and its bins.
- Item — required. The product, from the Product master. The pick-list shows the item name with its alias in a second column.
- Qty — optional. How much of the item is on that rack, in the item's own unit. Blank means present, quantity not recorded. Accepts decimals; the column footer totals it.
- State — read-only. What Save will do with the row.
5Shortcut keys #
- F2 — Refresh: re-read the list, discarding unsaved edits.
- F3 — Add Row.
- F5 — Save (opens the confirmation).
- Esc — close the confirmation or an open dialog.
- Enter — move to the next cell; off the last cell of the last row it starts a new row and puts the caret in it.
- Tab — move to the next cell without the new-row behaviour.
Shortcuts belong to whichever copy of the page has focus, so a second tab of this page does not steal them. While a Create dialog is open its own keys apply instead.
6Why is a pick-list empty? #
- Rack comes from the Rack master — a rack (or bin) must be created there first, or inline from the dropdown's + Create new rack footer.
- Warehouse/Storage Space comes from the Warehouse master . It is optional: leave it blank when the branch is not split into warehouses. Missing one? Use the dropdown's + Create new warehouse footer to add it inline.
- Item comes from the Product master — every product is listed, not only serial- or batch-tracked ones. The dropdown's + Create new item footer opens that master inline.
- Branch (ERP edition only) shows only the branches assigned to you. An empty or short list means your user account has no branch rights for this company — an administrator grants them in user permissions.
7Rules and integrity #
- An item may be listed only once for a given branch + warehouse + rack. The duplicate is refused before saving, and refused again by the server if it somehow gets through (a second browser tab, say).
- Branch (ERP edition; otherwise the login branch is used), Rack and Item are required on every row; Warehouse/Storage Space and Qty may be left blank.
- Rows are saved individually by state, so an untouched row is never rewritten — it keeps its identity and its created-by / created-on stamps. Editing a row stamps modified-by / modified-on.
- Deleting a row also removes any documents linked to it — a database trigger clears the document links.
- Adding, changing and deleting rows are each permission-checked by the database. A restricted user gets an explicit refusal, not a silent no-op.
- The blank row waiting at the bottom is scaffolding: it is never saved and never counts as an incomplete row.
8If something does not work #
The page shows nothing for a product you know is in stock
- Why
- It shows what is mapped to racks, per branch - unmapped stock is stock without a rack, not missing stock.
- What to do
- Map the item to its rack (Rack Master), and check the branch.
The rack quantity disagrees with the stock report
- Why
- Rack mapping records where stock is kept; the stock report counts what the vouchers moved. A move that did not say the rack leaves the two apart.
- What to do
- Re-map, or correct the voucher's allocation.
This is the help InvoiceNET® ERP shows beside the Rack-wise Stock screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
