1Purpose #
Records how much of each serial number is held at each branch. A serial normally sits at one branch with quantity 1; this page is for the cases where that is not true — a serial covering a pack, or stock split across branches.
It records holdings only. Saving here does not create a transaction and does not change the item's stock on hand.
This page is part of the ERP edition only. The Professional edition has a single branch, so the page is not offered there.
2Step by step #
Answers 'which branch holds this serial?' without opening its history.
- Open the page and filter by item, serial or branch.
- Use the row's open action to jump to the serial's full record when the trail matters.
3How to use it #
- The page opens with a blank row ready to key. Enter moves from cell to cell, and Enter off the last cell of the last row starts another row — so a run of entries needs no mouse.
- Add Row (F3) appends a blank row; pick the serial and branch, then type the quantity.
- Add Serials by Item (F7) is the bulk route: choose a serial-tracked item, tick as many of its serial numbers as you need, and they all arrive as rows. The branch and quantity are set once in that dialog and apply to the whole batch — both remain editable in the grid afterwards. Serials already listed for the chosen branch are shown greyed out and cannot be picked twice.
- Save (F5) writes every changed row in one go, after a confirmation.
- Remove Row marks the selected row for deletion — it disappears on Save.
- Refresh (F2) re-reads the list and discards unsaved edits.
- The State column shows what will happen to each row on Save: New , Changed , Delete or blank for untouched.
4Field details #
- Serial No — required. The serial number, from the Serial No master. The pick-list shows the serial with its item in a second column.
- Item — read-only. Resolved from the serial you pick; a serial belongs to exactly one item.
- Branch — required. The branch holding it. The list shows only the branches assigned to you.
- Qty — optional. How much of that serial is held at the branch, usually 1. Accepts decimals; the column footer totals it.
- State — read-only. What Save will do with the row.
5Why is a pick-list empty? #
- Serial No comes from the Serial No master — a serial must be registered there first. Missing? Use the dropdown's + Create new serial no footer to add it inline.
- Branch comes from the company's branch list. If only one branch exists, that is all you will see.
- The Add Serials by Item (F7) item list shows only products whose Track serial numbers setting is on ( OpStock.bTrackSerials , set in the Product master). An item missing from that list either does not track serials or has none registered yet.
6Rules and integrity #
- A serial may appear only once per branch; a duplicate serial + branch pair is refused before saving.
- Both Serial No and Branch are required on every row — a half-filled row cannot be saved.
- Rows are saved individually by state, so an untouched row is never rewritten and its identity (SEQ) survives.
- These quantities describe stock on hand; they do not create transactions.
7Shortcut keys #
- F2 — Refresh: re-read the list, discarding unsaved edits.
- F3 — Add Row.
- F5 — Save (opens the confirmation). Inside the Add-Serials-by-Item dialog, F5 adds the ticked serials instead.
- F7 — Add Serials by Item: the bulk picker.
- Esc — close the picker or the confirmation.
- Enter — move to the next cell; off the last cell of the last row it starts a new row and puts the caret in it.
- Tab — move to the next cell without the new-row behaviour.
Shortcuts belong to whichever copy of the page has focus, so a second tab of this page does not steal them.
8If something does not work #
A serial is not listed under the branch you expect
- Why
- A serial sits where its last voucher left it, and the list is cut by your own branch list.
- What to do
- Check the serial's own movement; ask an administrator to widen your branch list if you should see more.
The count disagrees with the stock report
- Why
- Serial records count units; the stock report counts quantity. A voucher that moved stock without allocating serials leaves the two apart.
- What to do
- Allocate the serials on that voucher.
This is the help InvoiceNET® ERP shows beside the Branch-wise Serial Stock screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
