Warehouse Master

A Warehouse / Storage Space (godown) is a physical location stock is held in. Warehouses are picked wherever stock is stored or moved — opening stock, transfers, and manufacturing accept/reject routing.

1What is this master? #

  • The master list of warehouses / storage spaces. Besides this page, any warehouse picker's + Create new warehouse footer (e.g. the BOM Semi-Finished accept/reject routing) opens this master as an embedded dialog.
  • One record is edited at a time; a new warehouse is created as a "Regular" storage space of its own (nothing in Under ) for the current branch.
  • Wherever a storage space is picked - a voucher's storage space box, the split of a line across storage spaces, a stock transfer, a product's opening, a location, a bill of material - the list offers only storage spaces that are in use (not Inactive), are not groups (nothing is filed under them) and are open to your branch .

2Step by step #

A warehouse (godown) is a stock-holding location — stock reports and vouchers can split by it.

  1. Press Add (F3) and type the Warehouse Name * .
  2. Press Save (F5) and confirm.
  3. Give products their warehouse-wise openings on the Product master's warehouse action, and turn the warehouse flag on for the voucher types that should ask.

3Toolbar & keyboard #

  • Find (F2) searches and loads an existing warehouse; Add (F3) starts a new one; Modify (F4) edits the loaded one (all from View mode).
  • Save (F5) , Cancel (Esc) and Delete each ask to confirm first — OK is focused, so Enter confirms.
  • Enter moves field-to-field; the toolbar stays fixed while the form scrolls.

4Fields #

  • Warehouse Name * — required and must be unique across all warehouses.
  • Code , Description — optional.
  • Type — the kind of storage space, from one list: Regular, Transit, Route, Quarantine, Damage, Scrap, Staging (defaults to Regular). Nothing else can be typed; a storage space that already holds an older value keeps it until you pick a listed one.
  • Under — the storage space this one is filed under. Leave it empty for a storage space of its own. The storage space you pick becomes a group : it stops being offered where stock is booked, and the ones under it are offered instead. The list leaves out this storage space and anything already under it.
  • Inactive — retires the warehouse without deleting it: it stops appearing in warehouse pickers. A record that already names it (a location, a bill of material, a product's opening) still shows it.
  • Applies to branches (ERP edition) — the branches the storage space is open to. Empty means every branch , including branches added later. With branches picked, a stock transfer offers the storage space as Destination or Source only to users signed in to one of them. The picker lists the branches you yourself may use; branches in the list that you do not have are kept as they are when you save.
  • Address & contact — all optional; used on printouts and for branch/GST records.

5Run by the WMS (Warehouse Management) #

  • Shown under the form when a storage space is loaded and the company's licence holds Warehouse Management in the ERP edition. Without it this block is not there and nothing else on the screen changes.
  • Run by the WMS — on means the storage space is worked bin by bin. A group (others are filed under it) and an Inactive storage space cannot be switched on.
  • Default receiving bin , Default dispatch bin — where stock enters and leaves when a voucher names no bin, and for every voucher saved from the desktop. Both are needed before the switch can be on, and both must be Active bins of this storage space.
  • Lay the storage space out first: Warehouse Management > Warehouse Layout creates the zones and bins.
  • The block has its own Save WMS settings button and is switched off while the storage space itself is being added or modified.

6Integrity rules (why a save / delete is refused) #

  • Unique name — a second warehouse with the same name is rejected.
  • In use — a warehouse named by a voucher, a stock transfer, an opening, a bill of material or any other record can't be deleted; retire it with Inactive instead.
  • A group — a warehouse that others are filed under can't be deleted until they are moved or their Under is cleared.
  • Grouping rules — the storage space in Under must exist, cannot be the storage space itself, and cannot be one that is already filed under it.
  • Type — must be one of the listed kinds.

7If something does not work #

"'...' is a group - other storage spaces are filed under it - and a group holds no stock. Put the storage spaces under it under the WMS instead."
Why
A storage space that others are filed under is a group, and bins belong to a place that holds stock.
What to do
Switch the storage spaces under it to the WMS, one by one.
"The working method is Scan labels, Confirm on screen or Paper lists. Pick it again."
Why
The Working method box was left with something that is not one of its three choices.
What to do
Pick Scan labels (every step of a task is a scan), Confirm on screen (no labels: the worker confirms each step on My Tasks, the bin by its check code) or Paper lists (no device on the floor: the Task Board prints the tasks and the desk confirms each one afterwards).
"The value above which a second person is asked cannot be below zero. Leave it empty for no limit."
Why
Second person from a line value of was given a negative amount.
What to do
Type the amount from which a second person must check a task (quantity times the item's latest cost), or leave it empty.
"'...' holds stock in its bins. It stays under the WMS while it does - the bins would otherwise stop following the books."
Why
Switching the WMS off stops the bins being kept in step with the vouchers. With stock in them they would be wrong from the next voucher on.
What to do
Leave the storage space under the WMS. To take it out, its stock must first leave the storage space by vouchers.
"'...' is marked Inactive. Clear Inactive on the Warehouse master before it is run by the WMS."
Why
A retired storage space is not offered anywhere, so it cannot be worked in.
What to do
Clear Inactive, save, then switch it to the WMS.
"A WMS-managed storage space needs a default receiving bin - the bin inward stock enters when a voucher names none. Lay out the storage space first (Warehouse layout), then pick the bin." / "A WMS-managed storage space needs a default dispatch bin - the bin outward stock leaves from when a voucher names none."
Why
A voucher typed without a bin, and every voucher saved from the desktop, lands in the default bins. Without them such stock would be in no bin at all.
What to do
Create the bins on Warehouse layout, pick the two default bins here, then switch the WMS on.
"The default receiving bin must be a bin of this storage space. Pick it again." / "The default receiving bin ... is .... Pick a bin that is Active." (also the dispatch bin)
Why
A default bin is a bin in use of the same storage space.
What to do
Pick another bin, or make the bin Active on the Bin master.
"That storage space is not open to the branch you signed in to, or it no longer exists. Pick a storage space from the list."
Why
The storage space loaded is limited to other branches (Applies to branches), so its WMS settings cannot be read or changed from yours.
What to do
Sign in to a branch it is open to, or clear Applies to branches.
"Someone else changed this record after you opened it. It has been left as they saved it - load it again and make your change on top of theirs."
Why
Somebody saved the WMS settings of this storage space while it was open here.
What to do
The block has loaded their version. Make your change again and save.
"This storage space has no bins yet. ..." / the default bin lists are empty
Why
The default bins are picked from the storage space's Active bins, and it has none.
What to do
Create the bins on Warehouse Management > Warehouse Layout, then load the storage space again.
"Save or cancel the storage space above first; these settings are saved on their own."
Why
The block stands still while the storage space itself is being added or modified.
What to do
Save (F5) or Cancel (Esc) the storage space, then change the WMS settings.
The block "Run by the WMS" is not on the Warehouse master
Why
It is shown only where the company's licence holds Warehouse Management in the ERP edition and the WMS is installed on this company database.
What to do
See the licence and installation messages of the Warehouse layout screen.

This is the help InvoiceNET® ERP shows beside the Warehouse Master screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
