Item Group Master

Use this page to maintain product group definitions for . Item Groups categorise products for reporting, pricing, and tax configuration.

1What is an Item Group? #

Item Group is a classification used to organise products into logical categories such as Electronics , Stationery , Raw Materials , etc.

Groups can have a parent ( Under Group ) to form a hierarchy.

2Step by step #

Item groups are the top of the product classification — products, sub groups, prices and tax settings all hang from them.

  1. Press Add (F3) and name the group the way stock reports should subtotal — Raw Material , Finished Goods , Spares .
  2. Fill the group-level defaults the page offers (tax settings, price rows) only if products under it should inherit them; everything can be left for later.
  3. Press Save (F5) and confirm.
  4. Create Sub Groups under it on the Item Sub Group master if a second level is wanted; then products pick both on the Product master.

3Field descriptions #

  • Group Name: unique name for this item group (max 50 characters).
  • Description: optional longer description (max 255 characters).
  • Print Name: name used on printed documents; defaults to Group Name if blank.
  • Primary Group: Y/N — indicates whether this is a top-level group.
  • Under Group: the parent group, used to build a hierarchy of groups.
  • Custom Price: Y/N — whether items in this group support custom pricing formulas. When set to Yes , the Custom Price Formulas grid appears below the form.
  • Require Multi-Tax: enables price-range-based multi-tax settings for the group. When checked, the Multi-Tax Price Range Settings grid appears, allowing different tax classes to be applied based on the item's transaction price.

4Custom Price Formulas #

When Custom Price is set to Yes , a pricing formula grid appears. This lets you assign price calculation formulas per price category for items in this group.

  • Adding price types: Click the + Add button to open the price type picker dialog. Select one or more price types using the checkboxes, then click Add (F5) to insert them into the grid with their default variable name and formula.
  • Price Type: The pricing category (e.g. MRP, Wholesale, Retail). Each price type can only be added once per group.
  • Variable Name: A short identifier (max 10 chars) used in formula expressions (e.g. MRP , WSP ).
  • Formula: The calculation expression for deriving the price (e.g. MRP * 0.9 ). You can edit this directly in the grid.
  • Editing: Double-click any cell in the grid to edit it. The Price Type column shows a searchable dropdown. Variable Name and Formula are editable as text.
  • Deleting: Click the red delete icon on any row to remove that price formula.

How it works in Product Master: When you select an Item Group in the Product Master , the pricing structure and formulas defined here are automatically applied to that product. The price types, variable names, and formula expressions configured in this grid become the default pricing template for every item assigned to this group. You can then adjust individual product prices in the Product Master if needed, but the group-level formulas serve as the starting point.

Note: When Primary Group is set to Yes , the Under Group field is disabled since a primary group cannot have a parent.

5Multi-Tax Price Range Settings #

When Require Multi-Tax is checked, the Multi-Tax Price Range Settings grid appears. This feature allows different tax classes (tax rates) to be applied to items in this group based on the transaction price.

  • Price Min: The minimum price threshold for this tax slab. Double-click to edit.
  • Price Max: The maximum price threshold for this tax slab. Double-click to edit.
  • Tax Class: The tax class (e.g. GST 5%, GST 12%, GST 18%) applied when the item's transaction price falls within the min–max range. Double-click to select from a searchable dropdown.
  • Adding rows: Click + Add Row to add a new price range slab.
  • Deleting rows: Click the red delete icon to remove a slab.

How it works in transactions: During a sales or purchase transaction, when an item belonging to this group is entered, the system checks the item's unit price against the defined price ranges. The tax class whose Price Min – Price Max range contains the transaction price is automatically selected. This enables scenarios where, for example, garments below ₹1,000 attract 5% GST while those above ₹1,000 attract 12% GST.

Note: Ensure price ranges do not overlap. Each row should cover a distinct, non-overlapping price range for correct tax determination.

6How to work in this page #

  1. Find (F2): open the search dialog, search by group name or description, select a row, then press OK .
  2. Add (F3): create a new item group. The cursor moves to Group Name automatically.
  3. Modify (F4): edit the currently loaded item group.
  4. Delete: remove the current item group (only in view mode).
  5. Save (F5): commit the current add or modify operation to the database.
  6. Cancel (Esc): discard changes and return to view mode.

7Why is a pick-list empty? #

  • Under Group lists existing item groups, so it is empty until you have created at least one other group; a brand-new company therefore starts with primary (top-level) groups only. It is also disabled while Primary Group is Yes, since a top-level group has no parent.
  • The price-type picker in the Custom Price Formulas grid is filled from the Price Category master, so define your price types (MRP, Retail, Wholesale…) there first if the list is empty.
  • The Tax Class dropdown in the Multi-Tax grid is filled from the Tax Class master, so create the tax classes you need there first.

8Rules and integrity #

  • The group name must be unique.
  • Each price type can appear only once in the Custom Price Formulas grid.
  • Multi-tax price bands should not overlap — give each band a distinct range so the tax for a given price is unambiguous, and give each band a tax class or it will not be saved.
  • Groups are chosen on products and sub-groups. Deleting a group that is still in use can leave those records without a parent, so retire an obsolete group rather than deleting it.
