Bill of Sundries

A Sundry is an additional charge or benefit added to a bill or cost sheet — packing & forwarding, insurance, freight, discount, a tax or a CESS. This master defines how each one is calculated , how it posts to accounts, how it prints , and its rounding and tax rates. Sundries are then applied on inventory transactions and cost sheets.

1Fields & behaviour #

  • Name is the sundry's unique name and its key. Alias is an alternate name used when searching or entering it.
  • Type is its nature — + adds to the bill, − subtracts (e.g. a discount), # is informational only.
  • Print Name is what appears on the printed bill; Print Order sets its position among the sundries (lower prints first).
  • Existing Sundry Name names the source sundry used by code S only — it unlocks for that code and clears when you pick any other. It lists the existing sundries; the + Create new sundry button at the bottom of the list defines a missing one without leaving this page.
  • Sundry Group Definition appears for group calculation types (or when Apply In Sundry Group is on): each row names a member sundry with a rate and an operator (+ − * /); on the voucher the members are combined in row order , and a rate of 0 uses the member's full amount.
  • Operation (+ − * / %) combines the base with the sundry group and enables only for group calculation types (or when Apply In Sundry Group is on). Sub-operation and Operation Rate (%) unlock only when the Operation is % .
  • Default Calculation Rate (%) (in the Behavior & Rounding section, beside the Behavior — the legacy layout) is the rate proposed on the voucher when none is entered. On the voucher, the rate is a percentage of the computed base.
  • Category classifies the sundry and comes from its reference list; Behavior tells the system how to treat the amount (e.g. Discount, TCS Collected/Paid, Excise Duty, ROUNDING) and comes from its list. Empty lists mean those reference values haven't been set up yet.
  • Adjust in Sale : Y folds the amount into the sale itself; N posts it separately and unlocks Account to Post (switching back to Y clears the account).
  • Account to Post is the ledger account the sundry posts to when not adjusted in sale; Counterpart Account is the balancing account it transfers to. Both come from the ledger accounts, and each list's + Create new ledger account button opens the Ledger Account master inline when the account doesn't exist yet.
  • Rounding Method and Rounding To unlock together only when Behavior is ROUNDING — for any other behavior the pair stays locked.
  • GST Rate (%) appears only when the Behavior is IGST, CGST, SGST or CESS (as in the legacy form) — a CESS sundry refuses a zero rate, and a GST sundry expects one of the standard slabs (3/5/12/18/28).
  • Apply In Sundry Group treats the sundry as a group adjustment even without a group calculation code — turning it on immediately enables the Operation block and the Sundry Group Definition grid (the legacy form re-ran its enable rules on this toggle; here the gates recompute automatically).
  • Value Expression and Filter Expression unlock only for Use Expression — see Business rules. The Add Variables buttons list the system columns (and, for the filter, the RateOfSundry token) so an expression can be assembled without memorising names.
  • Toolbar: Find (F2) loads a sundry, Add (F3) starts a new one, Modify (F4) edits it, Save (F5) commits, Esc cancels.

2Step by step #

A bill sundry is a charge or deduction under the item lines — freight, packing, rounding, an invoice-value discount.

  1. Press Add (F3) and name the sundry as it should print — Freight Charges .
  2. Set its nature (add or deduct), its calculation basis (on basic, on total, expression…) and default rate; a rounding sundry gets the rounding behaviour instead.
  3. Press Save (F5) and confirm.
  4. Voucher types that allow sundries now offer it on the sundry grid, and it calculates itself from the basis you set here.

3Business rules — how a sundry computes #

  • On a voucher, the rate you enter against the sundry is a percentage of a base amount ; the Calculation Type picks that base:
  • B — the voucher's basic amount. T — the running bill total (for a − sundry the total before this deduction; for others the total excluding this sundry's own amount).
  • S — the amount of the sundry named in Based on Sundry (a tax on a charge, a charge on a discount…).
  • X — taxable products only; XR — by tax rate; TXM — the total tax amount.
  • TXR — the tax amount of item lines taxed at exactly the sundry's stored CESS tax rate (e.g. Cess 1% on 4% VAT).
  • A — the adjusted amount; AP — the alternative price total.
  • MR — Qty × MRP of Status-M lines at the rate; FX — Rate × Free Qty; FM+ / FM− — MRP × Free Qty plus tax / tax-including.
  • G — the value of a sundry group (its members combined by each row's operator and rate, in sequence).
  • GB, GT, GXR, GTXR, GMR, GFX, GFM± and the G-SGST/CGST/IGST codes — group variants: the base is first combined with the sundry group using the Operation ; with % the base becomes Operation Rate percent of itself before the Sub-operation combines it with the group.
  • Use Expression — the Value Expression is computed over the voucher's item lines (e.g. SUM(Amount) ), restricted by the Filter Expression ; the token @ stands for the rate entered on the voucher.
  • After the base × rate calculation, the amount is formatted to the bill's decimals, and rounded when Round? is Yes. A + sundry adds to the bill, − subtracts, # shows without affecting the total.
  • The same engine runs in the cost sheet (BOM calculator) and in auto-generated vouchers, so one definition behaves identically everywhere.

4Integrity & empty pick-lists #

  • Unique name — a duplicate sundry name is refused. Deleting a sundry also clears its document links.
  • Category / Behavior / Rounding Method come from their reference lists; Account to Post / Counterpart from the ledger accounts; Based on Sundry lists the other sundries.
