State Codes

A State Code record describes one Indian state or union territory for GST: its official numeric code, name, 2-character code and place of supply. Party masters and GST invoices pick states from this list.

1What is this master? #

  • One record per state or union territory. Use Find (F2) to load one, Add (F3) to create, Modify (F4) to edit, Save (F5) to store.
  • After a save the record stays loaded in View mode — press Add (F3) when you want to enter the next one.

2Step by step #

State codes are the GST state list (32 = Kerala, 27 = Maharashtra…) invoices and returns rely on.

  1. Press Add (F3) , enter the two-digit GST code and the state name, save with F5 .
  2. Party GSTINs validate their first two digits against this list, and place-of-supply logic reads it.

3Fields #

  • ID is the official GST state numeric code (for example 32 for Kerala, 27 for Maharashtra). You type it yourself when adding — it is not auto-generated — and it cannot be changed later; to renumber a state you must delete and re-add it.
  • State Name is the full state or union territory name and is required. It must be unique across the master.
  • State Type classifies the record as a State or Union Territory ; you can also type another value if needed.
  • State Code is the 2-character GST code printed on invoices and used in GSTIN validation (for example "KL", "MH" — or the 2-digit form, per your practice).
  • Short Name is an abbreviated name for compact reports and screens.
  • Capital records the state capital for reference.
  • Place Of Supply is the text printed as the place of supply on GST invoices for parties of this state; leave it blank to fall back to the state name.

4Integrity rules #

  • The ID is a manual unique key — saving a new state with a code that already exists is refused with a message.
  • State Name is unique — the database refuses a duplicate name.
  • User permissions (_PERM triggers) can refuse a save or delete — if you see a permission message, ask your administrator for rights on this master.
  • Deleting a state also clears its document links (a database trigger does this automatically).

This is the help InvoiceNET® ERP shows beside the State Codes screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
