Transaction Class Master

A Transaction Class tells a voucher how to compute and post its taxes: the GST nature of transaction , invoice type, which item-wise taxes to calculate, reverse-charge (RCM) and TDS/TCS handling, which ledger accounts receive each value slice, and which sundries apply automatically . On the Inventory Transaction page every voucher picks one class.

1Fields & behaviour #

  • Name is the class's unique name. Is Active keeps it selectable on vouchers.
  • Adjust Unitprice From Tax Rates Options recomputes unit prices from the chosen tax component (e.g. From SGST+CGST back-calculates a tax-inclusive price).
  • Type Of Invoice classifies the invoice for GST returns (Regular, SEZ, Export, E-Commerce…). Print Format picks this class's print layout (from the print formats; __Not Applicable__ uses the voucher default).
  • Is Affect Books Of Account — when on, the voucher posts to accounts and the Allocation Account Settings grid unlocks; when off the grid is locked.
  • Compulsory To Verify GST No. refuses parties without a GST number; Block Transaction for Registered Party refuses registered parties entirely; Enable E-Invoice switches on e-invoice generation; Is Interstate Applicable marks interstate supplies.
  • Item-Wise Tax Calculation Options choose which taxes compute per item line: General Tax/Cess, SGST, CGST, IGST and Kerala Flood Cess — the Flood Cess Effective Date unlocks only when flood cess is on.
  • Reverse Charge (RCM) — the switch unlocks its block: RCM Method , Transfer to Advance Tax Immediately and Exclude GST/Tax Amt. In Itemwise Amount . ITC Eligibility is always editable (input-tax-credit eligibility applies to non-RCM classes too).
  • TDS/TCS — the switch unlocks its block: effective date, rates with/without PAN, threshold limit with its calculation and totaling basis, and the Sundry Item For TDS/TCS Posting (from the Bill of Sundries; the + Create new sundry footer defines a missing one inline).
  • Allocation Account Settings — each row posts one value slice (Value Selection Option) to a ledger , optionally filtered (Filter Option + Value), as Default/Dr./Cr. (Dynamically Select) leaves the account to be resolved at voucher time. For Item Group / Tax Class filters the … button picks values into a comma list; rate filters take the rate number.
  • Auto-Sundry Item Settings — sundries applied automatically on every voucher of this class with a preset rate and/or amount (e.g. Rounded Off ). A sundry can appear only once per class.
  • Toolbar: Find (F2) loads a class, Add (F3) starts a new one, Modify (F4) edits, Save (F5) commits, Esc cancels, and Duplicate copies the loaded class (with both grids and its column-properties set) under a new name.

2Step by step #

A transaction class is the GST nature of a transaction — local B2B, interstate, export — deciding how lines tax.

  1. Press Add (F3) and name the class after its nature — Local Sales B2B .
  2. Set the nature/treatment fields and any auto-sundries the class should post.
  3. Press Save (F5) and confirm.
  4. Give parties their default class on the Ledger Account master; vouchers pick it up on party selection and lines tax accordingly.

3Integrity & empty pick-lists #

  • Unique name — a duplicate class name is refused. Renaming cascades to dependent tables; deleting also clears the class's document links.
  • Protected records — the built-in class (internal id -1111) can be neither altered nor deleted, and a class used by pay-bills refuses deletion (database triggers).
  • Pick-lists : Nature of Transaction comes from the GST transaction types; Print Format from the print-format master; Ledger Accounts from the Ledger Account master; Sundries from the Bill of Sundries master; Item Group / Tax Class filter values from their masters. An empty list means that master has no records yet.
  • User permissions (_PERM triggers) can refuse a save or delete on all three tables.

4If something does not work #

"Transaction Class name can't be blank!" / "Empty Transaction class name!" / "Transaction class '...' already exists."
Why
A class is picked by its name, and names are unique.
What to do
Name it for what it is - the GST returns read the class, not the name.
"Nature of transaction can't be blank!"
Why
The nature is what puts the supply into its GSTR-1 section - b2b, b2cs, b2cl and the rest.
What to do
Pick it; it is not cosmetic.
"Voucher type can't be blank." / "Voucher type '...' does not exist."
Why
A class is offered on the voucher types it is listed for.
What to do
Pick a type that exists.
"Transaction class #... not found." / "... no longer exists."
Why
It was removed while you had it open.
What to do
Press F2 and pick again.
A voucher refuses the class over the Rs 2,50,000 rule, or over the state
Why
B2CL is inter-state and above the threshold; B2CS is everything else. The check is on the voucher, against this class's nature.
What to do
Use the class the voucher's message names - the returns will not agree otherwise.
A class demands a GSTIN the party has not got
Why
The class is marked GST-number-compulsory.
What to do
Put the GSTIN on the party, use URP for an unregistered one, or pick a consumer class.
