1Purpose #
- Names the job titles the Employee master can assign.
- Manufacturing work centres and work-site rate cards reference designations, so a rate can be set per job title rather than per person.
- It does not set pay. A rate attached to a designation elsewhere does that; this page only names the title.
2Designation categories - and the one the software reads #
- Categories are a standard list for a business enterprise - board and top management, general management, finance, sales and marketing, purchase and stores, operations and service, HR and IT, staff. Name your designations as your company does ( VP Sales - South ) and file each under the standard category it belongs to.
- Sales Manager is special. A user whose employee record holds a designation of this category is a CRM sales manager (tier 3): in the CRM - its lists, the board, follow-ups and every CRM report - they see every executive's records. An executive sees only their own; a team lead (CRM → Sales Teams) sees their team's.
- How the software finds it: the login is named on a ledger account (Ledger master → Has Login → Login Name) → that ledger is an employee → the employee's designation → its category = Sales Manager. Break any link and the person is an ordinary executive.
- Whatever the tier, the report option chosen at login - All / Branch / Group company - still applies: a sales manager logged in on Branch sees that branch's records only.
- The category is matched by name : there is exactly one Sales Manager in the list - never retype it with different spelling. Any number of designations may carry it. Sales Team Lead and Sales Executive are descriptive only.
- Administrators, and users given the Approve right on a CRM object in User Manager, are also tier 3 - for people who are not employees.
3Your first designation, step by step #
Suppose you are adding Sales Executive . The page opens ready to type — the Mode card at the top right already reads Add .
- Type Sales Executive into Designation . This is the only required field.
- Press Enter and open Designation Category . Pick the closest grouping from the list — categories exist so several similar titles (Sales Executive, Senior Sales Executive) can be reported as one bucket. If nothing fits, simply type a new category name in the box.
- Press Enter , add a description if useful, then Enter again — focus lands on Save (F5) . Confirm, and the banner reports the save.
- Press F3 and enter the next title. Most organisations need only a dozen or two.
Once designations exist here, they appear on the Employee master, and — if manufacturing or site work is used — work centres and site rate cards can carry a rate per designation, so pay for a role is set once rather than per person.
Renaming later is safe: F2 , pick it, F4 , retype, save — employees and rate cards stay attached. Delete only removes a title nothing references any more; once a title has been used, prefer renaming it.
4How to use it #
- Find (F2) lists every designation; pick one to load it.
- Add (F3) starts a new one with the cursor in Designation.
- Modify (F4) edits the loaded record and Delete removes it; both ask first.
- Save (F5) commits and leaves the record in View mode — press Add (F3) for the next.
- Enter moves field to field and lands on Save.
5Field details #
- ID is assigned on first save and never changes; it reads "Auto" until then.
- Designation is required and must be unique — it is what employees are linked by.
- Designation Category groups similar titles (for example several manager grades under Manager). You may pick an existing category or type a new one; typing one here does not add it to the shared list.
- Description is optional free text.
6Shortcut keys #
- F2 Find · F3 Add · F4 Modify · F5 Save · Esc Cancel.
- Enter moves to the next field; from the last one it lands on Save.
- Keys belong to the focused copy of the page; a dialog's own keys win while it is open.
7Why is a pick-list empty? #
- Designation Category is filled from the shared reference list ( temp , group DesignationCategory ). If it is empty, that list has no entries for this company — you can still type a category directly into the field.
- If the Designation list is empty on the Employee master, no designations have been created here yet.
8Rules and integrity #
- The designation is unique. It is the table's primary key. The page checks before saving and the server checks again, because two people can save the same title at once.
- Designation is required; saving without one is refused.
- Renaming is allowed and keeps the same record, so employees and rate cards stay linked to it.
- Deleting a designation that employees, pay-bill batches, work centres or rate cards still reference is refused by the database — rename it instead once it has been used; the rename carries through to name links on its own.
- Permission triggers record who created and changed each row, and a delete-cleanup trigger removes linked documents.
This is the help InvoiceNET® ERP shows beside the Employee Designation screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
