1What is this master? #
- Defines one pay head per ledger account . The ledger must be marked as a pay head (tick Treat this ledger as payhead on the Ledger Account master); the pay-head name is that ledger and can't be changed here.
- Open it straight from the Ledger Account master — load the payhead ledger and use its Pay Head… action — or browse standalone with Find (F2) .
- Earnings and deductions are distinguished by Payhead Type ; payroll runs read the calculation, slabs, rounding and employer contribution defined here.
2Step by step #
A pay head defines one component of pay — Basic, HRA, PF — and how it computes.
- The pay head hangs off a payhead-typed ledger; create that ledger first (bPayHead = Yes) or open this page from it.
- Press Add (F3) , pick the ledger name, set the head's type and computation — flat, slab table, or formula off other heads via their variable names.
- Add slab rows if the head is slabbed (PF, tax bands), and employer-contribution details where they apply.
- Press Save (F5) and confirm. Employees adopt the head in their Pay Scheme, and the bill run computes it from here.
3Fields & behaviour #
- Variable Name — a short token (e.g. PF , ESI , HRA ) used to reference this pay head inside other pay heads' formulas. Description is a free note.
- Payhead Type * / Base Type * — both required; Base Type comes from its list.
- Cal. Type drives Compute On : Computed Value lists the calculation options; On Attendance/Leave/Production lists attendance types; On Payhead Value lists other pay heads; User Defined Value hides Compute On. When Compute On is On Formula , the Formula box appears with an Add Variable picker.
- Assign Computed Value ? — when on, the pay head takes the computed value directly and the slab table is disabled .
- Show in Pay-Slip ? reveals the Position in Payslip . Adjust in Extra Remuneration ? mirrors the legacy flag.
- Slabs — each row is a Min…Max amount band with a By Percentage / By Value calculation and a value; Min auto-fills to the previous slab's Max + 1. Optional per-slab expiry.
- Rate by Item ? — when on, reveals an Item-wise Rates grid: a different rate per stock item (e.g. incentive ItemA = 10%, ItemB = 5%). Items come from the Product master.
- Rounding Method enables Rounding To (decimal places) unless it is Not Applicable .
- Calculate Employer Contribution ? reveals the transfer account, its compute-on basis, and either a formula ( On Formula ) or a rate %.
4Toolbar & keyboard #
- Find (F2) loads a pay head from the list; Add (F3) starts a new one; Modify (F4) edits the loaded one; Save (F5) saves after a confirmation; Esc cancels the edit.
- Enter moves field to field. After a save the record stays loaded in View mode.
- Inside the embedded Pay Head dialog (opened from the Ledger Account master) F4 = Modify, F5 = Save, Esc closes.
5Integrity rules & empty pick-lists #
- Ledger must be a pay head — the picked ledger must carry the pay-head marking, else the save is refused.
- Slab bands — each slab's Max must be at least its Min , and a slab's Expiry Date must be later than its Effective Date .
- Delete removes the pay head and all its slabs. Deleting the pay head's ledger removes this definition too (database cascade).
- Name (pay-head ledger): lists ledgers marked as pay heads — mark one on the Ledger Account master first. Base Type / Compute On: come from their reference lists. Transfer Account: any ledger account — the + Create new ledger account button at the bottom of the list opens the Ledger Account master inline when it doesn't exist yet. Compute On → attendance types / pay heads: come from the attendance-type and pay-head masters.
