Gift Voucher

A gift voucher book is one printed run of vouchers. The book records what the run is worth and when it may be used; each leaf is an individual voucher the customer redeems at the till.

1What is this master? #

  • One record per book. Find (F2) loads one, Add (F3) creates, Modify (F4) edits, Save (F5) stores it. After a save the book stays on screen in view mode.
  • Typical flow: enter the book ID and validity window, set the number range and face value, press Create Leafs , then save.

2Step by step #

Gift vouchers are pre-numbered value instruments customers redeem at billing.

  1. Press Add (F3) , define the batch — value per voucher, the number range, validity.
  2. Press Save (F5) : the numbers are generated as rows under the batch.
  3. At billing, the cash/card collection window accepts a voucher number as payment and marks it used.

3Book fields #

  • Book ID — your reference for the printed run, e.g. GV-2026-A . Required.
  • Date — when the book was created; Description is a free note (the campaign, the printer, who it was issued to).
  • Effective From / To — the window in which the vouchers may be redeemed. A voucher presented outside it is not valid.
  • Starting No / Ending Number — the printed number range. Ending must be greater than starting; the count of leaves is shown beside them.
  • Value Type — As Amount gives each voucher a fixed money value; As Percentage On Bill Amount takes it off the bill as a percentage. Value is the amount or the percentage.
  • Status — Active books are usable; Inactive parks the book, Cancelled withdraws it (e.g. the run was lost or misprinted).

4Leaves (Gift Voucher Details) #

  • Create Leafs fills the grid from the number range, copying the book's status, value type and value onto every leaf. It is available while adding a book; on an existing book, add or edit rows directly.
  • A leaf can differ from its book — give one voucher a higher value, or mark a single voucher Cancelled because it was damaged, without touching the rest.
  • Voucher numbers are unique across every book , not just within one — the save refuses a number another book already uses. Renumbering a leaf is allowed; the old number is released.
  • A leaf's status is picked from Active / Inactive / Cancelled . The till writes other statuses as vouchers are issued and redeemed — such a value still displays on its row and is preserved unless you pick one of the three.
  • Use the search box to jump to a number in a long book; the grid pages 50 leaves at a time.

5Rules & integrity #

  • Book ID is required; Ending Number must be greater than Starting No ; Effective To cannot fall before Effective From .
  • Deleting a book deletes all of its leaves with it (database cascade) — there is no per-leaf recovery, so cancel rather than delete when vouchers may already be in circulation.
  • The book records the user and branch that created it; both stay as first stamped even after later edits.
  • Book and leaves are saved together in one transaction — if any leaf is rejected, nothing is written.

6Why is a pick-list empty? #

  • Status and Value Type are fixed lists built into the form — they are never empty. Status accepts a typed value so statuses written by the till still display.
  • The leaf grid is empty until you press Create Leafs (or load a book that already has leaves).

7If something does not work #

"Book ID can't be blank." / "Gift voucher book #... not found."
Why
A book is identified by its id, and this one has gone.
What to do
Fill the id; press F2 to pick again.
"Ending number must be greater than starting number !"
Why
A book runs from a number to a higher one.
What to do
Correct the range.
"Gift voucher no ... already exists (numbers are unique across all books)." / "Gift voucher no ... appears more than once in this book."
Why
A voucher number identifies one physical voucher, across every book.
What to do
Use a range nothing else has taken.
"Gift voucher ... is valid ... to ... only." at the counter
Why
The voucher is outside the dates kept here.
What to do
Correct the dates if they are wrong; otherwise it cannot be taken.
"... is not a gift voucher number." at the counter
Why
The number is not in any book.
What to do
Check the number, or add the book.
