Extra-Work Approvals

The approver's inbox for extra work: every entry still waiting for a decision, with a status box per row. Set the statuses, press Save, and the approved hours start counting in attendance.

1Purpose #

  • When "Extra-work entries require approval" (setting 204) is on, every Extra Work entry — keyed by hand or created by the Time Log Manager's break-hours tick — is saved as Draft (or Altered after an edit) and counts for nothing until it is Approved here.
  • The screen lists, decides and saves in bulk; the single-entry Change Status (F7) on Extra Work Entry does the same for one record.

2Who may act #

  • Saving needs the Approve right on the EmpExtraWorkLog object (the desktop's prApprove check); the database also demands Alter for the update it sees. Without them the save is refused with the reason.

3Your first approval, step by step #

  1. Press Load (F2) . The pending entries appear, oldest first, with employee, date, reason, quantity, the description the requester wrote, and a Status box showing the current status.
  2. Read the description; group by employee or reason if the list is long (drag a header to the group area).
  3. Pick Approved in the Status box of each entry you accept, Rejected for the ones you refuse. Or tick several rows and press Approve Selected / Reject Selected .
  4. Changed rows turn amber and the Changed counter in the header counts them.
  5. Press Save (F5) and confirm. Every changed row is written in one go, stamped with your login and the time; the decided rows leave the list.

A wrong entry (the wrong day, the wrong employee) is best Cancelled with a reason — select it and press Cancel Entry — and re-entered correctly with Extra Work Entry (F6) , which opens the entry screen for that employee and day.

4How to use it #

  1. Load (F2) reads the pending entries (Status not Approved / Cancelled), optionally within a date range; "Include decided entries" lists everything in the range, for review or to reopen a decision.
  2. Status box per row sets the new status; Approve Selected / Reject Selected set it on every ticked row.
  3. Cancel Entry cancels the selected entry with a reason — written at once, not on Save.
  4. Extra Work Entry (F6) opens the entry screen for the selected row's employee and day.
  5. Save (F5) writes the changed rows; Discard puts them back. Unsaved changes are offered for saving before a reload.

5Column details #

  • #ID — the entry number. Date — the day of the work. Ref. No — the manual reference, when one was given.
  • Employee ID / Name / Designation / Department / Group — from the Employee master.
  • Reason Type / Qty / Qty Type / Description — what was claimed. Only Hour rows become extra hours.
  • Status (editable) — the decision; Current — the stored status as loaded; Status Remark — the last remark written with a status.
  • Auto (Break Hrs) — ticked on the rows the Time Log Manager created automatically.
  • Branch / User — where and by whom the entry was made (Branch shows in the ERP edition only).

6Shortcut keys #

  • F2 Load · F5 Save · F6 Extra Work Entry · Esc closes an open dialog.
  • Inside an opened entry dialog the dialog's own keys apply.

7Why is the inbox empty? #

  • Nothing is pending: every entry is already Approved or Cancelled. With setting 204 OFF entries are saved Approved and never appear here.
  • A date range narrows the list — clear it to see every pending entry.
  • Status box empty — your user has no status granted on EmpExtraWorkLog (Status master / user permissions), or the edition allows Cancelled only.

8Rules and integrity #

  • One transaction. All changed rows are written together or not at all; StatusUserID and StatusDateTime are stamped on each.
  • Only granted statuses. The server re-checks every status against what your user may set; a row with a status you may not set fails the whole save with the row named.
  • Cancelled is final — a cancelled entry can not be re-statused; re-enter it.
  • Approval counts immediately. Once saved Approved, the hours show on the Time Log Manager and flow into the next attendance run; attendance already generated is not recomputed.

9If something does not work #

"To Date must be greater than or equal to From Date !"
Why
The filter's dates run backwards.
What to do
Swap them.
"#... is Cancelled - a cancelled entry can not be re-statused. Re-enter it instead." / "#... is already Cancelled."
Why
Somebody cancelled it, and a cancellation is final.
What to do
The employee keys it again if it should stand.
"Give the reason for cancelling the entry."
Why
The employee is told the reason, so one is required.
What to do
Write it.
"Unable to save the approvals: ..."
Why
The decisions could not be written - the reason follows the colon.
What to do
Try again; nothing is partly approved.
"The status list could not be read: ..."
Why
The statuses could not be fetched, so no decision can be offered.
What to do
Try again; if it persists, check the status list set up for this object.
Ticked decisions seem not to have been kept
Why
Ticking marks a decision on screen; F5 is what writes them.
What to do
Press F5 after ticking - the screen says so above the grid.
