1What this screen is #
Each line remembers WHICH pay bill it pays. That is the double-payment lock: a bill on a live line is never offered to a later entry, and only cancelling the line (the bin) or the whole entry releases it.
2Your first payment, step by step #
- Set the Voucher Date - closing balances are read on it.
- Tick one or more batches . The list shows how many bills each still has unpaid.
- Press Prepare lines . One line per unpaid bill appears; bills already on a live entry are reported and left out.
- Pick the paying ledger and the payment mode .
- Alter any Paying Amount . The suggestion follows the Payroll Settings basis - the bill's net, or the ledger closing balance.
- Press Save (F5) . The entry is a Draft - nothing has been posted.
- Press Approve / Reject (F7) . Approving posts the payment voucher at once and is final; the record strip shows which voucher it went out on.
- Once approved, a Bank Transfer entry offers Bank Advice (F8) - the file for the bank, with each employee's account number, IFSC and amount. It exists only AFTER approval: the advice instructs the bank, and a draft's figures can still change.
3Field details #
- Prepare from batch(es) - several batches can feed ONE payment entry; the covered period becomes the widest span of the ticked batches.
- Payment mode - Bank Transfer or Cash. It comes first because it decides what the next field offers, and only an APPROVED Bank Transfer entry produces the advice file.
- Paid from - filtered by the mode: Bank Transfer lists the bank accounts (LedgerGroup category "Bank Accounts"), Cash lists the "Cash-In-Hand" group. A missing ledger is created from the combo's own footer. Approval credits this ledger.
- Net Payment - the pay bill's net at preparation time. It does not move afterwards.
- Ledger Closing Balance - the employee ledger on the voucher date, payable-positive: advances and other postings net off here.
- Paying Amount - what actually goes out. Zero saves but pays nothing.
4Why is a pick-list empty? #
- Batches - every prepared batch's bills are all on live payment entries already, or no batch has been prepared. Cancelled batches never appear.
- Paid from - no active ledger sits in the group the mode asks for: category "Bank Accounts" for Bank Transfer, group "Cash-In-Hand" for Cash. The footer's create button fills the gap without leaving the page.
5Rules, permissions and integrity #
- Approving and rejecting need a permission : the Approve right on the posting voucher type (Payroll Settings, "Salary payment posting voucher"). The screen checks it, and the server checks it again.
- Approved is final - except for Reverse. The database trigger refuses any change to an approved entry, with one admitted move: Reverse cancels the entry AND its posted voucher in the same transaction, so the amount stops counting as paid at once and every pay bill is released. Reversing needs the same Approve right as approving did, and the reports never see a counter-entry - a cancelled voucher simply stops existing for them.
- One line per employee per entry. The table's own key enforces it: an employee with two unpaid bills is paid one bill per entry - Prepare holds the second back and names it.
- One bill, one payment. Each line stores its pay bill's voucher number; a bill on a live line is excluded from every future preparation. Cancelling a line - or the entry - releases it, and both actions say so.
- Settings : 209 decides the suggested amount's basis; 210 names the posting voucher type - it must be one whose group name is 'Salary Payment', because that group name is how the payroll reports recognise an amount as already paid.
6Shortcut keys #
- F2 Find an entry · F3 New · F5 Save · F7 Approve / Reject · F8 Bank Advice · Esc Reset the form.
- Enter moves through the form and the paying amounts and lands on Save.
7If something does not work #
"Tick at least one batch to prepare from." / "There is no employee line to pay - prepare from a batch first."
- Why
- A payment entry is built from pay bills, not keyed from nothing.
- What to do
- Tick the batch (or batches) whose bills are being paid.
"An entry carries ONE line per employee. Duplicated: ..."
- Why
- The same employee came in twice - two batches carrying the same person.
- What to do
- Prepare from one batch, or remove the repeat.
"A paying amount can not be negative." / "Every paying amount is zero - there is nothing to pay."
- Why
- Nothing would leave the bank.
- What to do
- Correct the amounts; a part payment is allowed, a zero entry is not.
"Pick the payment mode."
- Why
- The mode decides which accounts are offered and whether a bank advice exists at all.
- What to do
- Pick Bank Transfer, cash or cheque as the case may be.
"'...' was created but is not offered for ... - it is not in ..."
- Why
- The account just created is not of the kind this payment mode pays from.
- What to do
- Create it under the right group, or pick an existing account.
"Salary payment entry #... no longer exists." / "That salary payment entry no longer exists."
- Why
- Somebody removed it while you had it open.
- What to do
- Press F2 and pick again.
"Salary payment entry #... is Cancelled - start a new entry instead."
- Why
- A cancelled entry is closed for good.
- What to do
- Prepare a fresh one.
"That line no longer exists - reload the entry."
- Why
- The lines on screen no longer match the ones stored.
- What to do
- Press F5 and try again.
"Save the entry first - approval posts the SAVED entry."
- Why
- Approval writes the accounting voucher, so it needs a written entry to work from.
- What to do
- Save, then approve.
"You do not have the Approve right on voucher type '...', so approval and rejection are not available to you."
- Why
- Approval posts money out; it is gated on the posting voucher type's own right.
- What to do
- An administrator grants the Approve right on that voucher type.
"Entry #... is Approved and posted. Use Reverse to undo it - that cancels the posted voucher and releases the pay bills."
- Why
- Once posted, the entry is undone properly rather than edited.
- What to do
- Reverse it; the pay bills go back to being unpaid.
"The entry is Approved and posted - a posted line can not be cancelled from here."
- Why
- One line cannot be taken out of a posted voucher.
- What to do
- Reverse the whole entry, then prepare it again without that employee.
"Entry #... is not Approved - only an approved, posted entry is reversed. Use Cancel instead."
- Why
- Nothing was posted, so there is nothing to reverse.
- What to do
- Cancel it.
"Entry #... is already Cancelled." / "The whole entry is already Cancelled - every line is released."
- Why
- It is already undone and the pay bills are free.
- What to do
- Nothing to do.
"You do not have the Approve right ... so you can not reverse a salary payment entry. Ask an authorised user."
- Why
- Reversal unwinds a posted voucher, so it needs the same right as approval.
- What to do
- Ask somebody who has it.
"Entry #... is not Approved. The bank advice is prepared only after approval posts the payment - approve the entry first."
- Why
- The advice tells the bank to pay; it follows the posting, not the other way round.
- What to do
- Approve first.
"Entry #... is paid by '...'. A bank advice exists only for Bank Transfer entries." / "The bank advice exists only for Bank Transfer entries - this one is paid by ..."
- Why
- Cash and cheque payments have nothing to advise a bank of.
- What to do
- Nothing to do.
"There is no live line with an amount - nothing to advise the bank of." / "The export produced no file."
- Why
- Every line is cancelled or zero, so the file would be empty.
- What to do
- Check the lines before exporting.
"Save the entry first - the advice is written from the saved lines."
- Why
- The file is built from what is stored, not from the screen.
- What to do
- Save, then export.
"Unable to load the entry list: ..." / "Reference lists could not be loaded: ..."
- Why
- The API was unreachable or a query failed.
- What to do
- Try again; the text after the colon is the server's.
This is the help InvoiceNET® ERP shows beside the Salary Payment screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
