1Purpose #
Companies keep their own query-based reports (registers, statements, lists) beside the built-in ones. This page is the launcher for those reports: it shows only the ones this company has licensed and you are allowed to see, and opens the one you pick.
It only lists and opens reports. It does not create, edit, hide or delete a report definition, it does not grant or remove anyone's rights, and nothing on this page changes any data. The built-in standard reports are on the separate Reports page, not here.
2Your first report, step by step #
The example opens the Daybook report in the Accounts category. Your company's list may use other names; the steps are the same.
- Click My Reports in the sidebar. The page shows "Loading report list..." and then the tree. Categories open already expanded, with a folder icon; reports sit under them.
- To narrow a long list, type day in Search reports... . The tree keeps only the reports whose name contains the text, plus their folders. Typing a category name keeps that whole category. Clear the box to see everything again.
- Click the Accounts folder to collapse or expand it, and the same for any sub-category inside it.
- Click Daybook . A new tab opens with the report's name as its caption.
- Daybook has parameters, so the Report Parameters dialog opens first. Pick a Start Period and an End Period date (for example 1 April and 30 April), then click Apply . A report with no parameters skips this and runs straight away.
- The rows appear in the Grid . Use the Pivot and Graph buttons above it to see the same rows as a pivot table or a chart; both stay disabled until the report has returned rows. The viewer remembers the view you last used for each report.
- The filter icon in the viewer re-opens the parameter dialog to run it for other dates; the viewer's own toolbar also carries Refresh, Excel / PDF / CSV export and Print.
- Back on My Reports, click Refresh whenever rights or the licence have been changed, so the list is read again from the server.
3Why is a report missing? (licence first, then permission) #
The server decides which reports you get. Work down this list in order.
- The licence does not include the report's module. Every custom report is filed under a module: ACC (Financial Accounting), INV (Inventory Management), SAL (Sales), PUR (Purchase), CRM, SER (Service), CASH (Cashier), TIMEMGT (Employee Time Management), EMP (Payroll or Employee Time Management — either one is enough), LINKTRAN (Linked Transactions), PROJ (Project Management), DASHBOARD, or ALL. A report is listed only when the company's licence holds that module. This applies to Administrators as well — an Administrator cannot see a report of a module the company has not bought.
- Reports filed under ALL (or UserTable) are shared and always pass the licence check. A report filed under a code that no licence module has at all is never listed. A report filed under several modules is listed when the licence holds any one of them.
- A report with no module is not gated by the licence, and neither is any report in a company database that does not yet record a module for its reports. If the licence cannot be read, or reads as having no module switched on at all, nothing is filtered out.
- You do not have the View right. After the licence, only reports you may view remain. An administrator ticks View for the report in User Manager → Custom Reports . Rights given to the template user your account was created from count too. Users with the Administrator or Global Administrator role hold every right, so for them only the licence matters.
- The report is hidden. A report marked hidden in its definition is never listed, for any user.
- Its category is not reachable. Only top-level (primary) categories start the tree, and a sub-category shows only under the category it is placed under. A report whose category is not in that chain does not appear. A category left with no report after the checks above is not shown at all, so an empty folder never appears.
- The list is out of date. The list is kept for the session, per company, branch and user. After a right or the licence is changed, click Refresh ; reloading the browser also reads it afresh.
- The search box is filtering it. Clear the search text, or click Refresh, which also clears it.
Opening a report is checked again on the server, in the same order: the licence before the report is loaded, then your privilege. So a report reached by an old link or bookmark is still refused, and the viewer stays open showing the reason — for a licence refusal it reads "Report '<name>' belongs to <module>, which is not part of this company's licence", rather than a general privilege message.
When nothing at all passes, the page shows No reports available . The whole page can also stay empty with an "Unable to load reports" message when the server cannot be reached; Refresh tries again.
4Shortcut keys #
Opening a report is a mouse or touch action: click the report's name.
- F5 is Refresh (the button in the header): it clears the search, forgets the remembered list and reads it again from the server. It does not reload the browser.
- Esc closes this page's tab. Inside the help search box, Esc only clears the search.
- Tab moves between Refresh, the search box and the tree.
- Keys belong to the copy of the page that is on screen, so another open tab does not react to them.
- Inside the tree, the tree control's own arrow keys move the highlight and expand or collapse folders, but selecting a report with the keyboard does not open it — click it.
5Rules and integrity #
- The page is read-only. It saves nothing and cannot change a report, a category or a right.
- Both checks run on the server, not in the browser, so the list cannot be widened from the page. The licence check is made first and covers every role; the View right comes second and does not restrict Administrators.
- Each report name is unique in the company, and the page opens a report by its name.
- Each category name is unique. A report can only be filed under a category that exists; renaming a category carries its reports with it, and a category that still holds reports cannot be deleted.
- Deleting a report definition also removes its columns, parameters, chart series, saved layouts and drill-down links.
- Within a folder, reports keep the order in which they were created; categories are listed alphabetically.
- The list is cached per company, branch and user for the session. Switching company, branch or user reads a fresh list; any other change needs Refresh .
- A signed-out visitor is sent to the login page, and a user with no company selected is sent to company selection, before any list is read.
6If something does not work #
A report you used before is not in the tree
- Why
- The tree shows reports you have the View right on, that are on this company's licence, and whose category is reachable from a primary category.
- What to do
- Ask an administrator to check the right, the licence and the report's category.
A whole folder is missing
- Why
- A folder appears only when something inside it is visible to you.
- What to do
- The rights are per report, not per folder.
"The report list could not be loaded: ..."
- Why
- The list could not be read - the API was unreachable, or the query failed.
- What to do
- Try again; the text after the colon is the server's.
A custom report is not listed with the standard ones
- Why
- Custom reports are a separate tab, gated by their own module.
- What to do
- Look under Custom Reports; ask an administrator if the module is not licensed.
A report shows a lock and does not open: "'...' is beyond the custom reports your licence allows, so it does not open."
- Why
- Custom reports are licensed per report (one free, the rest bought). Every report shown in My Reports counts, the ones InvoiceNET brings included; over the number, the oldest stay open and the newest are locked. Nothing is deleted.
- What to do
- An administrator buys more custom reports (the offer under the message, or Admin > Subscription and Add-ons), or hides reports no longer needed so others fall inside the number.
"This custom report is beyond the number this licence allows, so it is not run. ..."
- Why
- Custom reports are licensed per report; this one is among the newest beyond the number the licence holds.
- What to do
- An administrator buys more custom reports (Admin > Subscription and Add-ons), or hides reports no longer needed.
"This licence allows N report schedules ... Buy more report schedules ..." when saving a delivery
- Why
- Each active report schedule is licensed (Rs 100 a month each, none free). A new delivery, or switching an inactive one back on, needs a free place; changing one that is already active does not.
- What to do
- Buy more schedules with the offer under the message, or switch off or delete a delivery no longer needed.
"The licence server could not be reached, so a new report schedule cannot be saved just now."
- Why
- The number of schedules is checked with the licence server before a new one is saved, and it did not answer.
- What to do
- Check the connection to the licence server and try again; existing deliveries keep running.
A delivery's Last outcome says "Not licensed: ..."
- Why
- There are more active schedules than the licence allows - for example after the number was lowered at renewal - so the oldest are sent and the newest are skipped.
- What to do
- Buy more report schedules, or switch off the deliveries no longer needed.
This is the help InvoiceNET® ERP shows beside the My Reports screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
