1Licence and permission (why a report will not open or run) #
- Licence. A report opens only when every module on its menu path is on the company's licence: the module its own menu entry names (Financial Accounting, Inventory Management, Sales, Purchase, Cashier, Fixed Assets, Admin, Linked Transactions, Order Management, or shared by all) and the module of the section it sits under (Standard Reports for the Reports section, or the Sale, Purchase, Cashier, Fixed Assets, Admin, Order Management or Linked Transactions section). A few reports also name a module themselves, which must be licensed too. When a report sits in more than one place on the menu, one fully licensed place is enough - so a sales report listed under Sale opens on the Sales licence even where Standard Reports is not licensed, while the same report under Reports needs Standard Reports.
- When the licence fails, the tab shows a page saying the module is not part of your licence, or the banner reads "This report belongs to the … module, which is not part of this company's licence" no filters appear and Run stays disabled. This applies to Administrators too, and no user right overrides it. Codes the licence does not define (reports shared by all modules, for instance) are never a gate, and a licence that cannot be read refuses nothing.
- Menu grant. "You have not been given this page" means the report's menu entry is not granted to your login for this company. Reports under the Reports section are granted on User Manager's Reports tab, reports in the other sections on its Menu Definition tab. Administrator, Global Administrator and Developer are never refused this way.
- View right. Without View on the report's permission entry the filters still show, but the banner warns "You do not have the View right on report …" and Run (F5) stays disabled. The server refuses a run without View as well.
- Print (Ctrl+P) needs the Print right and a result on screen; without the right the button stays disabled.
- Excel, CSV, PDF, HTML and PNG need the Export right, as well as View, and a result on screen. The server refuses an export without them.
- E-mail is governed by the Export right, because it sends the data out. Without it, pressing E-mail only shows "You do not have the Export right on this report, which also governs e-mailing it out", and the server refuses the send. Schedule stays disabled without Export, and each scheduled delivery is checked for the licence and the rights again when it is sent. Scheduling is Report Scheduling , a feature bought on its own: without it the Schedule button is not shown and saved schedules are not sent (the schedule's last outcome says why).
- Drill-downs are checked the same way. A row that opens another report opens it in its own tab, where that report's licence, menu grant and View right apply on their own, so a drill can be refused even though this report ran. A drilled report runs by itself only when you hold View on it. A row that opens a voucher opens its entry screen, which applies that voucher type's own licence and rights.
- The rights belong to the report's permission entry , and several reports can share one (the stock reports mostly answer to Stock Report ). An administrator ticks View, Print and Export on the User Manager's Custom Reports tab, company by company, and a user also receives the rights of their template login. Administrator and Global Administrator hold every right automatically. A report whose permission entry does not exist in this company is not restricted.
- The Print, Export, Edit, Drill Down and Report Options ticks on the User Manager's Reports tab are stored with the menu grant; this page's buttons follow the permission entry instead.
- The buttons reflect your rights when the report was opened. After an administrator changes them, close the report and open it again. Run, export and e-mail are checked afresh on the server every time.
2Shortcut keys #
- F5 Run · Ctrl+P Print · double-click a row to drill to its voucher.
3If something does not work #
"You do not have the View right on report '...'. Ask an administrator."
- Why
- Reports carry their own rights, one per report, held against the report's permission object.
- What to do
- An administrator grants View on that report in User Manager.
"You do not have the View right on the report '...'. Ask an administrator (User Manager, Studio tab)." / "... the Export right on the report '...' ..."
- Why
- A report designed in the Studio has its rights on its own row in User Manager's Studio tab, by its code: View runs it, Print prints it, Export exports and e-mails it.
- What to do
- An administrator ticks the right on that report's row in User Manager > Permissions > Studio.
"There is no designed report ..." / "The report ... has not been published yet." / "The report ... is inactive."
- Why
- The address names a report made in the Studio that was deleted, never published, or switched off.
- What to do
- Ask whoever looks after the Studio designs to publish it or switch it back on (Tools & Utilities > Studio).
"This report was made in the Studio, which is not on this company's licence."
- Why
- Designed reports run only while the licence holds the Studio module.
- What to do
- Contact your vendor to add the Studio to the licence.
"... is required - fill it in and run again." / "...: '...' is not a date." / "...: '...' is not a number."
- Why
- A designed report's option was left blank where the design requires it, or holds something that is not a date or a number.
- What to do
- Fill the option in as its line says, and run again.
"Only the first ... rows are shown - narrow the options to see the rest"
- Why
- A designed report reads at most the number of rows its design allows, so one run cannot overload the server.
- What to do
- Narrow the dates or the other options. The designer can raise the limit (up to 100,000) on the Filter & order tab.
A report is not in the tree at all
- Why
- It is not on this company's licence, its menu row has not been seeded, or its category is not reachable from a primary category.
- What to do
- Check the licence first; then ask an administrator about the menu row and the report's category.
The report opens but the options look wrong for it
- Why
- Every report shares one viewer; the options come from that report's own definition.
- What to do
- Check the report name at the top - a saved link can point at a different report than you expect.
"No entries match these options."
- Why
- The report ran and found nothing - which is an answer, not a failure.
- What to do
- Widen the dates or clear a filter. Remember inactive records are INCLUDED by default; a filter may be cutting more than you think.
Figures are lower than expected, or a whole branch is missing
- Why
- Every report is cut by your login's report option - your own branch, your group, or everything - before any filter you set.
- What to do
- Ask somebody with a wider report option, or have yours widened.
"The report took longer than the connection's time limit (30 minutes) and was given up on. Narrow it with the filters, or ask for the report's query to be tuned."
- Why
- The query ran past the limit, so nothing came back.
- What to do
- Narrow the period or the scope. A report that always times out needs its query looked at - tell your administrator which report and which options.
"The report was cancelled. The figures on screen, if any, are from the run before."
- Why
- You stopped it, so what is on screen is the PREVIOUS answer - not a partial new one.
- What to do
- Run it again; do not read the old figures as though they were the new ones.
"That preset could not be applied: ..." / "Type a name in the preset box first - 'Month-end debtors', say - then press save."
- Why
- A preset stores the options; it cannot be saved without a name, and it fails if the report's options have changed since.
- What to do
- Name it, or re-make the preset against the report as it is now.
"Loading stopped at ... of ... rows. What is on screen is only the first part of the report - run it again for all of it."
- Why
- A large report is fetched in chunks; the chunking stopped.
- What to do
- Run it again, or narrow it - what is on screen is genuinely incomplete.
"Loading stopped at ... of ... rows: ..."
- Why
- The same thing with the server's own reason after the colon.
- What to do
- Narrow the report; if the reason repeats, tell an administrator what it says.
"All ... rows are loaded - Find, Analyse, Charts, Pivot and Print now cover the whole report."
- Why
- Not an error - the point at which the whole report is on screen.
- What to do
- Nothing to do.
The document view seems to show fewer rows than the total
- Why
- The document is drawn in a window of rows so the browser stays usable; the rest load behind it.
- What to do
- Wait for loading to finish before reading totals off the screen.
"Still loading the rows (... of ...). Analyse, Charts and Pivot read every row - they open once loading has finished."
- Why
- Those three views summarise the whole report, so a partial set would give wrong answers.
- What to do
- Wait for loading to finish, then open the view.
"Only part of this report is loaded. Run it again before opening Analyse, Charts or Pivot."
- Why
- Loading was stopped earlier, so the rows in hand are not the whole report.
- What to do
- Run it again.
"The ... view could not be opened: ..."
- Why
- The Analyse, Chart or Pivot view failed to build - the text after the colon is the reason.
- What to do
- Try again once every row is loaded; a report with no numeric column has nothing to summarise.
"Top ... categories shown - the rest fold into 'Others'."
- Why
- A chart caps its categories so it stays readable.
- What to do
- Narrow the report if you need a category that folded into Others.
The pivot opens empty, or loses its layout
- Why
- The pivot reads the loaded rows and its own saved settings; a layout saved against different columns cannot be applied.
- What to do
- Re-make the layout against the report as it is now.
"No document rows found behind '...'."
- Why
- A summary figure was double-clicked but nothing sits behind it in the document view.
- What to do
- It usually means the document view is filtered differently, or the rows are not loaded yet.
"You do not have the Print right on this report." / "You do not have the Export right on this report."
- Why
- Print and Export are separate rights from View, held per report.
- What to do
- An administrator grants them.
"You do not have the Export right on this report, which also governs e-mailing it out."
- Why
- E-mailing is sending data out of the company, so it is governed by Export, not by Print.
- What to do
- An administrator grants Export.
"Only ... of ... rows are loaded - printing now would print part of the report. Wait for loading to finish (or use Excel / PDF, which the server writes in full)."
- Why
- Printing draws what the browser holds; Excel and PDF are written by the server from the whole report.
- What to do
- Wait, or export instead.
"Print failed: ..." / The print window never appears
- Why
- Printing opens a pop-up, and a blocker stops it; the text after the colon is any other reason.
- What to do
- Allow pop-ups for this site and print again.
"The export produced no file."
- Why
- The report had nothing to write - usually no rows.
- What to do
- Run it first, and check it found entries.
"'...' is not an export format. Use xlsx, csv, html or pdf."
- Why
- The format asked for is not one the server writes.
- What to do
- Pick one of the four.
"Run the report first - the e-mail carries what is on screen."
- Why
- The e-mail attaches the answer, so there has to be one.
- What to do
- Run it, then send.
"Give at least one recipient e-mail address."
- Why
- Nowhere to send it.
- What to do
- Add the address; several are separated as the box says.
"The attachments together are ... MB - most mail servers refuse past 25 MB. Remove something and send again."
- Why
- A big report plus attachments will be refused by the receiving server, not by us.
- What to do
- Send the report alone, or narrow it first.
"The report's file did not arrive intact - send again." / "The view's file did not arrive intact - send again." / "Attachment '...' did not arrive intact - re-attach it and send again."
- Why
- The upload from the browser was truncated, so nothing was sent rather than sending something broken.
- What to do
- Send again; a slow connection is the usual cause.
"Report e-mailed to ..."
- Why
- Not an error - the server accepted it and passed it to the mail account.
- What to do
- If it does not arrive, an administrator checks Settings > Mail Accounts.
A scheduled delivery stops arriving, or sends the wrong figures
- Why
- A schedule keeps the filter values it was saved with, and runs on the server - so a changed question needs a new schedule, and a stopped API sends nothing.
- What to do
- Make a fresh delivery if the question changed; an administrator checks the API is running.
"The saved view could not be read - edit the schedule and choose its view again." / "The custom report of this schedule no longer exists."
- Why
- The view or the report the schedule points at has been changed or deleted.
- What to do
- Edit the schedule and pick again, or delete the schedule.
"'...' is not a division this company knows - pick it from the list."
- Why
- A schedule carries a division that has since been renamed or removed.
- What to do
- Edit the schedule and pick the division from the list.
This is the help InvoiceNET® ERP shows beside the Report Viewer Page screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
