Help centre / Reports

Reports

What it is. The catalogue of standard reports: one card per report this company may use, grouped by category and searchable. A card opens the report in its own tab, where you set its filters and run it. Reports of modules the licence does not include are not listed at all; a report you may not open is listed greyed out.

1Purpose #

This page lets you reach any standard report without knowing where it sits on the menu or what its address is. Type part of a name, pick the card, and the report opens.

It only lists and opens reports. It does not run a report, does not change any report's filters or layout, and does not grant or change anybody's rights. Nothing is saved from this page.

2Your first report, step by step #

A worked example: the Cash Book for the current month.

  1. Open Reports → All Reports . The cards load under category headings, the counter beside the search box shows how many are listed, and the keyboard lands on the first card you may open.
  2. Click the search box and type cash book . The list narrows at once to the reports whose name, description or category contains those words, and the counter drops to match.
  3. Find the Cash Book card under Account Books . If it is greyed out with "No View right", stop here and read the next section; you need a right before it will open.
  4. Press ArrowDown to step from the search box onto the cards, walk to Cash Book with the arrow keys, and press Enter (or just click the card). The report opens in a new tab titled Cash Book.
  5. In the filter panel on the left, pick the cash account in Account ; only cash-in-hand accounts are offered. From and To start at your session's reporting period; change them to the first and last day of this month.
  6. Press F5 (Run). The opening balance, every receipt and payment with a running balance, and the closing balance appear.
  7. Press Esc in the report tab to close it and return to the tab it was opened from.

3The search box and the cards #

  • Search is optional and filters as you type. It matches the report's title, its description, its internal name (the part after /report/ ) and its category, ignoring upper and lower case. The clear button empties it and brings the whole list back.
  • The counter reads "shown of listed". Listed means every report this company's licence allows, including the greyed-out ones.
  • Category headings come from each report's own category, in alphabetical order; a report without one sits under Other . Cards inside a heading are in title order.
  • A card shows the report's title and a one-line description. A greyed card marked No View right cannot be clicked or reached with the keyboard.
  • "No report matches" means only that the search text found nothing. It never means a report is missing; clear the search first.
  • "The report list could not be loaded" with a reason means the server could not be reached or refused the request. Nothing is listed until the page is opened again.

4Why is a report missing or greyed out? (licence first, then permission) #

Missing from the list: the licence. The licence is checked first, and a report of a module the licence does not include is left out entirely rather than greyed.

  • Each report's menu entry names the module it belongs to: Financial Accounting, Inventory Management, Sales, Purchase, Cashier, Fixed Assets, Admin, Linked Transactions, Order Management, or shared by all modules. The section it sits under names a module of its own: the Reports section belongs to Standard Reports, and the Cashier, Fixed Assets, Admin, Order Management and Linked Transactions sections belong to those modules.
  • Every module on that path must be on the licence. A Cash Book filed under Reports needs both Financial Accounting and Standard Reports. When one report sits in more than one place on the menu, any one fully licensed place is enough.
  • Some reports also name a module themselves (the fixed-asset and linked-transaction reports), and that module must be licensed as well. A report with no menu entry answers to that alone.
  • A code the licence catalogue does not define is not a gate, so reports shared by all modules, and sections whose code is not a licence module, never hide anything. If the licence cannot be read, or nothing in it is marked subscribed, nothing is hidden.
  • The licence applies to everyone, Administrators included. No user right can bring back a report of an unlicensed module.
  • Opening such a report by a typed address or an old bookmark is refused as well, either by a page saying the module is not part of your licence or by the report's own message: "This report belongs to the … module, which is not part of this company's licence". Running, exporting and e-mailing it are refused the same way.
  • After a licence is renewed or extended, sign out and sign in again; the server picks up the change within about ten minutes.

Greyed out with "No View right": the permission. The module is licensed, but your login does not hold the View right on the report's permission entry.

  • The right is kept per report permission entry, and several reports share one entry. The stock reports, for example, mostly answer to Stock Report , and the cash-counter reports to Cash Counter Reports . Granting View on the entry opens every report that shares it.
  • An administrator grants it in User Manager → Custom Reports tab, on the row with the entry's name, company by company. A user also receives the rights of the login named as their template.
  • A report whose permission entry does not exist in this company is not restricted: everyone may view, print and export it.
  • Administrator and Global Administrator hold every report right automatically. A Developer sees the whole menu but holds only the report rights ticked for that login.
  • The greyed card stays on the list on purpose: a report that vanished would look like a fault, while "No View right" tells you what to ask for.

Opens, but the tab says "You have not been given this page": the menu grant. The report's menu entry is not granted to your login for this company.

  • Reports under the Reports section are granted on User Manager's Reports tab (the View column there). Reports under the Cashier, Fixed Assets, Admin, Order Management and Linked Transactions sections are granted on the Menu Definition tab. A tick on a section carries everything under it, unless one report is refused on its own.
  • The Reports tab lists only reports whose own module is on the licence, and saving a grant on an unlicensed report is refused.
  • A login with no menu grants at all sees no menu entries and is refused every page that has one. Administrator, Global Administrator and Developer are never filtered this way. Everything under the Admin section is for those three roles only, whatever is ticked.
  • The Print, Export, Edit, Drill Down and Report Options ticks on the Reports tab are stored with the menu grant. The report viewer's Print, Export, E-mail and Schedule buttons follow the report permission entry's rights instead.

5Shortcut keys #

  • Arrow keys move between cards. Left and Right go to the previous or next card; Up and Down go to the nearest card in the row above or below, however many columns fit the window.
  • Home and End jump to the first and last card.
  • Enter or Space opens the focused card.
  • ArrowDown in the search box steps onto the first card. Other typing in the box is left alone.
  • Esc closes this page's tab. Inside the help search box, Esc only clears the search.
  • Greyed cards are skipped by all of these keys. When the list loads, the keyboard lands on the first card you may open, unless you are already working somewhere on the page.

Keys belong to the copy of the page that is on screen, so another open tab does not react to them. While focus is inside this guide or its search box, the arrow keys, Enter and Space stay with the guide and do not move between report cards.

6Rules and integrity #

  • The page reads and never writes. Opening a card is only a move to the report's own address.
  • This page's own menu entry belongs to Standard Reports, so without that module, or without a grant on the All Reports menu entry, the page itself is refused before any card is shown.
  • The list is decided on the server each time the page opens: the licence first, then your View right. Searching cannot reveal a report the licence hides, and a greyed card cannot be opened by any means on this page.
  • The same two checks are repeated by the report viewer and by the server on every run, export and e-mail, so a report reached some other way gets the same answer.
  • Report titles, categories and descriptions are read once and kept by the server; your rights are read fresh every time.
  • A report whose details cannot be read in this company (a table missing from an older database, say) is still listed, under its internal name in Other , and reports its error only when opened.
  • The licence and permission checks fail open, as everywhere in the product: when a licence or a permission cannot be read, the report is treated as allowed rather than silently withheld.

7If something does not work #

A menu entry opens the wrong report, or nothing
Why
A menu row points at /report/{name}, where the name is the registry key of a standard report.
What to do
An administrator corrects the menu row; a mis-typed name matches no report.
The entry is there but refuses to open
Why
The report's own View right, or its licence module, refuses it.
What to do
An administrator grants the right, or the module is added to the licence.

This is the help InvoiceNET® ERP shows beside the Reports screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
