1Setting it up #
- For each action that should wait for approval, switch Needs approval on.
- Pick its approvers : users, user groups, or both.
- Decide whether an approver may approve their own request.
- Press Save (F5) .
2The six actions #
- Depreciation run - posting a run on Depreciation Run.
- Transfer between branches - a move that changes the asset's branch, on Asset Transfer and Disposal. A move inside a branch (department, division, custodian) posts nothing and never needs approval.
- Disposal / write-off - selling, scrapping, losing or donating an asset.
- Revaluation and impairment - bringing an asset to a new value on Asset Revaluation and Impairment.
- Capitalisation - turning a capital work in progress project into assets.
- Reversals and undo - reversing a depreciation run, and undoing a disposal, a move that posted Journals, a revaluation or a capitalisation.
3Rules and conditions #
- An action with approval on needs at least one approver who stands for somebody - an empty or inactive group stands for nobody.
- A group stands for whoever belongs to it at the moment of approval.
- Approving carries the action out as the approver, so an approver needs the same rights as for doing it directly (Alter on Fixed Assets Master, Create on the Journal type) and must be signed in to the request's branch.
- Each approver is sent an e-mail with a link that opens Fixed Assets Work-flow, where the request is decided after signing in. It goes from the mail account chosen for Fixed Assets on Settings, Mail Accounts; when none is chosen there, from the company's default mail account. An approver with no e-mail address on the user master is told on the alert bell only.
- Requests already waiting are not affected by a change here; they are decided by whoever is named when they are decided.
- Only an administrator saves. Every problem is listed at once, numbered.
4Toolbar & keyboard #
- Save (F5) , Refresh (F3) (drops unsaved changes), Esc closes the page.
5If something does not work #
"You can look at these settings. Only an administrator can change them." / "Only an administrator can change the Fixed Assets settings."
- Why
- Who approves what is a matter of control, so it is the administrator's alone.
- What to do
- Ask an administrator to make the change.
"...: pick at least one approver, or switch its approval off. With nobody to approve, nothing could ever be posted."
- Why
- Approval is on for the action and its approver box is empty.
- What to do
- Pick a user or a user group, or switch the approval off.
"...: the approvers picked stand for nobody just now (an empty or inactive user group). Pick a user, or a group that has members."
- Why
- Only groups were picked, and none of them has an active member.
- What to do
- Pick a user as well, or add members to the group under Admin, User Group.
"Nothing to save." / "The settings were not saved."
- Why
- The settings did not reach the server whole.
- What to do
- Press Refresh (F3) and save again.
A name in the approver box reads "User ... (inactive or removed)" / "Group ... (inactive or removed)"
- Why
- Somebody picked earlier is no longer an active user or group of this company. They are shown so that they can be seen and taken out; they approve nothing.
- What to do
- Untick them and save.
An approver presses Post and it is posted at once, without a request
- Why
- "An approver may approve what they raised themselves" is on, so their own action needs nobody else.
- What to do
- Switch it off if every action should pass a second person - and name at least two approvers.
This is the help InvoiceNET® ERP shows beside the Fixed Assets Settings screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
