1What does this screen do? #
- The top form closes a new period. Close Period (F5) checks it, asks you to confirm, and saves it.
- The list below shows every closed period, newest first. Closed ones are enforced; Reopened ones (orange rows) are kept for the record and no longer lock anything.
- Select a row, then Reopen to release it. An administrator can Close Again a reopened period.
- Refresh (F2) reloads the list; Esc closes a dialog, or the page.
2Step by step #
- Make sure every entry for the period is final - after closing, corrections need the period reopened first.
- Pick Period begin and Period end (both days are locked).
- Pick the Branch , or All branches where offered.
- Type a Description so others know why, then press Close Period (F5) and OK .
- The period appears in the list as Closed . Anyone trying to save an entry dated inside it is told "Transaction period was closed".
- To correct something later: select the period, Reopen , fix the entry, then close the period again (a new close, or Close Again by an administrator).
3Fields and the pick-list #
- Period begin / Period end - required; both default to today (the server's date).
- Branch - shown only in the ERP edition (Professional has one branch and does not show it, nor the Branch column in the list). It lists the branches you are allowed to use (the same user-scoped list as everywhere else). All branches is offered to administrators, and to a user who has only one branch. A single-branch company closes all branches, as the desktop did.
- Description - optional, up to 255 characters.
4Rules #
- Needs Close Transaction Period (Execute) in User Manager -> Tools - for closing, reopening and seeing the list. Administrators hold it.
- Period begin must not be after period end, and the whole period must lie in the company's financial year.
- A user who is not an administrator may only close dates from today less 2 days up to today (the desktop's rule). An administrator may close any period in the year, including a future one.
- A period may not overlap a period that is already closed for the same branch, or for all branches.
- Reopening needs the same right and a branch you may use; only an administrator may close a reopened period again (the overlap rule applies).
- Nothing is ever deleted: a reopened period stays in the list.
- Every problem is listed at once, numbered. The server repeats every check, so the rules cannot be skipped.
5If something does not work #
"Start period could not be blank !" / "End period could not be blank !"
- Why
- A closing covers a range, and one end is missing.
- What to do
- Give both.
"Branch Name could not be blank ! Only an administrator can close a period for all branches." / "Pick a branch from the list."
- Why
- Closing for every branch at once is an administrator's act.
- What to do
- Pick your branch, or ask an administrator.
"It overlaps a period that is already closed: ..."
- Why
- Two closings over one period would each claim to govern it.
- What to do
- Close the part that is still open, or reopen the existing period first.
A message that only an administrator can close a future period, or one older than the allowed days
- Why
- An ordinary user may close only recent dates - from two days before today up to today. Older or future periods need an administrator.
- What to do
- Ask an administrator for anything outside that window.
"Description can't exceed 255 characters."
- Why
- The note is longer than the column holds.
- What to do
- Shorten it.
"Nothing was closed or reopened in this period."
- Why
- Nothing matched - not a failure.
- What to do
- Check the dates and the branch.
Users still cannot enter a voucher after reopening
- Why
- The refusal comes from the voucher tables' own triggers, which read the closing as it stands.
- What to do
- Make sure the reopen covered that branch and that date; ask them to try again.
A closing did not stop an entry you expected it to
- Why
- Closing is per branch and per period; an entry in another branch is untouched.
- What to do
- Close that branch too, or close for all branches as an administrator.
This is the help InvoiceNET® ERP shows beside the Close Transaction Period screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
