1Overview #
Starting on the software, or taking over a list from somewhere else, means hundreds of records to key in. This screen reads them from a spreadsheet instead.
Every row is checked before anything is saved, and saved through the same rules as the master screen - a lead gets its number and first follow-up, a ledger its account code, a product its prices - so an imported record is exactly what a keyed one would be.
Rows that match a record already there are shown as such; you decide - for the whole batch, or row by row - whether to skip them or update the record with the sheet's values.
The rows land in a grid you can work in before importing: change any cell, remove any row, filter, sort, group and search - then Check again and import what is left.
Load records to export brings the records already there into the same grid: change cells, remove rows, filter, sort and group them there - for the file only; the records themselves are never changed - then Export grid writes what the grid holds in the same format. Import that file back, choosing Update, to correct many records at once.
2Who it is for #
- Load your customer and supplier ledgers with their opening balances, addresses, GSTINs and PANs.
- Load the product master with groups, units, tax classes, HSN codes and every price.
- Load enquiries from an exhibition list or another CRM as leads, each with an owner and a first follow-up.
- Refresh prices or addresses for records you already have (Update).
3What it is not for #
- Voucher lines. Those come in on the voucher itself - Import from Excel in the voucher's action list, with its own format.
- Creating masters on the fly. Groups, units, tax classes, sources and the like must already exist - a misspelt group is reported, not created.
- Old .xls files. Save them as .xlsx (or .csv) in Excel first.
4Step by step #
- Pick what to import - Leads, Products, Ledger Accounts or Fixed Assets. - The screen shows what the import needs; you need the Import/Export Data right and the master's own Create right.
- Press Download format (.xlsx) (or .csv). - The .xlsx has a Data sheet with the headings and sample rows, and an Instructions sheet saying what every column takes.
- Fill the Data sheet: delete the sample rows and type or paste yours. - Keep row 1 as the headings and Data as the first sheet. Column order does not matter; extra columns are ignored.
- Under The file, choose your file. - Every row is checked at once: New, Already there, or Error - with each problem named.
- Work in the grid if needed: click a cell to change it, press the cross to remove a row (or Remove rows with errors), filter with the funnel on a heading, sort by clicking it, group by dragging it to the band above. - The footer counts the rows shown.
- Press Check again after changes. - Every row is checked once more - New, Already there or Error. Import does this by itself too.
- For rows already there, choose Skip them or Update them; change the Action of any single row that should differ.
- Press Import (F5) and confirm with OK (F5). - The outcome of every row is listed: added, updated, skipped, or failed with its reason.
- To export instead: press Load records to export. - The records you may see fill the grid - Export mode. Nothing you do in it is saved to the records.
- Shape the file in the grid: change cells, remove rows with the cross, filter, sort, group. - The file takes the rows the grid holds after its filters; removed rows are left out.
- Press Export grid (.xlsx) (F5) or Export grid (.csv). - The file downloads in the import format. Clear the grid, or choosing a file to import, leaves Export mode.
5The fields #
- What each import matches on - How a row is recognised as a record already there.
- Leads - The same phone (last ten digits of Mobile, Phone or Alternate Phone) or the same e-mail - a switched-off lead matches too. A converted lead is read-only - Skip it.
- Products - The same Product Name - a switched-off product matches too. Names are unique among products.
- Ledger Accounts - The same Ledger Name - a switched-off ledger matches too. Names are unique among ledgers.
- Fixed Assets - The same Asset Name - an inactive or written-off asset matches too. Asset names are unique over the whole register, not per asset item. The asset item, category, branch, division, department and employee are matched by name and must exist; the depreciation columns need the Alter right on Fixed Assets Master.
- Update
- What Update changes - Only the cells FILLED in the row - a blank cell never clears a value already there. A ledger's account code is never renumbered; a lead's product is added when it does not have it.
6Rules and integrity #
- Nothing is saved until you confirm - Choosing the file only checks it. The import itself runs after OK (F5).
- The grid is what is imported - Your edits and removals count - the file itself is not read again. The server still checks every row once more before saving.
- Export is the same format - Same columns, same Instructions sheet: an exported file can be imported back as it is. Export needs the Import/Export Data right and the master's View right; leads are the ones you may see.
- Inactive records are exported too - Switched-off leads, products and ledger accounts are in the file with Inactive = Yes. Imported back, the row finds the same record (inactive or not) - it is never added a second time - and Update switches it on or off as the Inactive column says; a blank Inactive leaves it as it is. A new row with Inactive = Yes is added switched off.
- Export edits touch the file only - In Export mode the grid is a working copy in your browser: changed cells and removed rows go into the file, never into the records. To change the records, import the file back and choose Update.
- The master's own rules apply - Required fields, unique names, numbering, the first follow-up, opening values, GST checks - the same as keying the record on its screen.
- A failed row does not stop the others - Each row is saved on its own; the list says what happened to every one.
- Names, not codes - Group, unit, tax class, HSN, brand, lead source, owner, state - write them as the master shows them (capitals do not matter).
- One record per row - A row that repeats an earlier row of the same file (same name, or same phone) is reported, not imported twice.
- Limits - 20 MB and 10,000 rows per file. Split a bigger list into several files.
7Shortcut keys #
- F5 - Import (checks again if rows changed, then asks OK (F5) / Cancel (Esc)); in Export mode, Export grid (.xlsx).
- Esc - Close the confirmation; in the Import dialog, close the dialog.
8If something does not work #
"Requested action denied due to security restrictions. Importing data needs Execute on 'Import/Export Data' (Tools) ..."
- Why
- Importing is a Tools right, as on the desktop.
- What to do
- An administrator grants Execute on Import/Export Data in User Manager.
"You have no Modify right on ... - choose Skip for this row."
- Why
- Updating a record already there needs Modify on that master.
- What to do
- Choose Skip, or ask for the Modify right.
"Your permission to import could not be read: ..."
- Why
- The permission check itself failed - usually the database connection.
- What to do
- Try again; if it persists, tell your administrator the message.
"CRM is not licensed for this company."
- Why
- Leads are a CRM record.
- What to do
- Ask your vendor to add CRM.
"Old Excel files (.xls) are not read - open the file in Excel and Save As .xlsx ..." / "'...' is not a spreadsheet this import reads - use .xlsx or .csv."
- Why
- Only .xlsx and .csv are read.
- What to do
- Save the file as .xlsx (Excel Workbook) or .csv and choose it again.
"The file could not be opened as an Excel workbook - is it really .xlsx, and not password-protected?" / "The workbook has no sheets."
- Why
- The file is damaged, protected, or not an Excel workbook despite its name.
- What to do
- Open it in Excel, remove the password, and save it again as .xlsx.
"The first sheet is empty - row 1 must hold the column headings." / "The file is empty ..." / "The file has headings but no rows below them."
- Why
- Nothing to read on the first sheet.
- What to do
- Keep the Data sheet first, with the headings in row 1 and your rows below.
"The file cannot be imported yet:" with "Column '...' is missing ..."
- Why
- A required column is not among the headings in row 1.
- What to do
- Add it - Download format shows every heading.
"The file is larger than 20 MB ..." / "The sheet has more than 10,000 rows ..." / "Choose the file to import." / "The file did not arrive whole - choose it again."
- Why
- The file is too big, missing, or was cut off on the way.
- What to do
- Split it into smaller files, or choose it again.
"Columns not used: ..."
- Why
- Headings that are not part of this format - they are ignored, not an error.
- What to do
- Rename a heading to the format's name if you meant it to be read.
"The format could not be downloaded: ..."
- Why
- The format file could not be prepared or saved by the browser.
- What to do
- Try again; check the browser allows downloads.
"...: '...' is not a date - use dd-MM-yyyy (e.g. 28-09-2026) or yyyy-MM-dd."
- Why
- A date cell is text the import cannot read as a date.
- What to do
- Type the date as 28-09-2026, or format the cell as a date in Excel.
"...: '...' is not a number." / "...: it cannot be negative." / "...: '...' - write Yes or No." / "...: it is ... characters - at most ...."
- Why
- A value does not fit its column.
- What to do
- Correct the cell as the Instructions sheet describes.
"...: '...' is not in ..." (a group, unit, tax class, HSN, brand, lead source, lead type, territory, industry, state or product)
- Why
- The name is not in that master - often a spelling difference.
- What to do
- Write it as the master shows it, or create it in the master first.
"The same record is already on row ... of this file - keep one of the two."
- Why
- Two rows of the file are the same record.
- What to do
- Delete or merge one of them.
"It is already there - a record with the same name (or key) exists."
- Why
- The database refused a duplicate - usually a record added by someone else while you were importing.
- What to do
- Choose the file again: the row now shows as Already there.
"The row could not be checked: ..."
- Why
- An unexpected error while checking that row.
- What to do
- Correct the row if the message points at it; otherwise report the message.
"Rows changed since they were checked - press Check again ..."
- Why
- A cell was changed or a row removed after the last check - the States shown may be out of date.
- What to do
- Press Check again, or just Import - it checks first.
"There are no rows to import - every row was removed." / "No row can be imported - every row left has an error ..."
- Why
- Nothing importable is left in the grid.
- What to do
- Correct the rows with errors in the grid (then Check again), or pick another file.
"There are no records to export."
- Why
- The master has no records you may see.
- What to do
- Nothing to do - add records first, or ask for the right to see others' (leads).
"There is nothing to export - every row was removed."
- Why
- Every row was removed from the grid before Export grid.
- What to do
- Press Load records to export again.
"The records could not be loaded for export: ..."
- Why
- Reading the records failed - a missing right (below) or the connection.
- What to do
- Try again; if it persists, report the message.
"The export could not be made: ..." / "... Exporting leads needs the View right on 'CRM Leads' ..." / "... Exporting ledger accounts needs the View right ..." / "... Exporting products needs the View right ..."
- Why
- Export needs the Import/Export Data right and the master's View right, or the export itself failed.
- What to do
- Ask for the right; otherwise try again and report the message.
"... row(s) failed - their reasons are in the list below."
- Why
- Some rows were refused while saving; the others were imported.
- What to do
- Fix those rows in the file and import it again - rows already imported now show as Already there, so choose Skip for them.
"Name: say who the enquiry is from ..." / "Phone or e-mail: a lead nobody can reach is not a lead - give at least one." / "E-mail: that does not look like an e-mail address." / "GSTIN: it has 15 characters."
- Why
- The lead's own checks - the same the Leads screen makes.
- What to do
- Fill the name and at least one phone or e-mail; correct the e-mail or GSTIN.
"Rating: '...' - write Hot, Warm or Cold." / "Status: '...' - write New, Working, Nurturing or Qualified."
- Why
- Only those values are imported; Converted and Disqualified are set on the lead itself.
- What to do
- Use one of the listed words.
"Owner: '...' is not a user you can give a lead to ..."
- Why
- You can give leads only to yourself, to your team (as its lead), or to anyone (as a sales manager).
- What to do
- Leave it blank for yourself, or pick a user within your reach.
"Next Follow-up: it cannot be in the past." / "Qty / Rate without a Product are ignored."
- Why
- The first follow-up is planned from today on; a quantity needs a product to belong to.
- What to do
- Give a date from today, and a Product for the quantity.
"That lead is converted - it is read-only ..."
- Why
- A row matched a converted lead; it cannot be updated.
- What to do
- Choose Skip for that row.
"Name can not be blank." / "Group Name can't be blank." / "Group: '...' is not a ledger group ..."
- Why
- A ledger needs a name and an existing group.
- What to do
- Fill both; the group as Masters > Ledger Groups shows it.
"Dr/Cr: '...' - write Dr or Cr." / "A negative opening balance is taken as the other side." / "'Profit & Loss' can't hold an opening balance ..."
- Why
- The opening side is Dr or Cr; a minus amount flips it.
- What to do
- Write Dr or Cr, or a plain amount and the side.
"Statutory Class: '...' is not one of the statutory classifications ..."
- Why
- The class must be one of the Ledger screen's list.
- What to do
- Use a value from the Instructions sheet, or leave it blank.
"Address: a ledger under a '...' group carries no address book ..."
- Why
- Only customers, suppliers, capital and bank accounts carry an address book - as on the Ledger screen.
- What to do
- Leave the address columns blank for that ledger.
"State: '...' is not in Masters > State Codes." / "GST No must be 15 character in length !" / "State Code mismatch in GST No !" / "E-Mail: that does not look like an e-mail address."
- Why
- The address book's own checks - the GSTIN must begin with the state's code.
- What to do
- Correct the state or the GSTIN; URP marks an unregistered party.
"'...' is a reserved system ledger name."
- Why
- Stock, Profit & Loss and Profit & Loss (Last Year) are system ledgers.
- What to do
- Use another name.
"Name can not be blank!" / "Please select a Group." / "Please select a Unit."
- Why
- A product needs a name, a group and a unit.
- What to do
- Fill all three, as the masters show them.
"Minimum Stock: it is more than the Maximum Stock." / "Opening Stock: a service item carries no stock - leave it blank."
- Why
- The stock levels contradict each other, or a service was given stock.
- What to do
- Correct the levels; leave a service's opening stock blank.
"Asset Name: every asset needs a name." / "Asset Item: name the item this asset is a unit of." / "Purchase Cost: a new asset needs its cost - depreciation is worked out on it."
- Why
- A new asset needs its name, the asset item it is a unit of, and its cost.
- What to do
- Fill the three cells.
"Asset Item: '...' is not in the items classified Fixed Asset (Masters > Item Master)." / "Category: '...' is not in Fixed Assets > Fixed Assets Category." / the same for Branch, Division, Department, Employee
- Why
- Masters are matched by name and never created from a sheet - a typing slip would make a new one.
- What to do
- Correct the name, or add the item (Classification = Fixed Asset), category, division, department or employee first. A branch must be one you may use.
"Asset Code: A code is made of capital letters, digits and - . / _ only ..." / "Asset Code: ... is already on another asset. No two assets share a code."
- Why
- The asset code is what a label carries, so it is kept simple and unique.
- What to do
- Correct the code, or leave it blank and let Asset Tagging give one.
"Depreciation Method: '...' - write SLM, WDV or None, or leave it blank for the category's."
- Why
- The method is not one the program knows.
- What to do
- Write SLM (straight line), WDV (written down value) or None; blank follows the category.
"Opening Book Value and Opening Book Value On go together - give both, or neither." / "Opening Book Value: it is from 0 up to the cost." / "Opening Book Value On: it cannot be in the future."
- Why
- The opening book value is what the asset was worth on a day; it needs that day, and cannot exceed the cost.
- What to do
- Give both cells or clear both, and correct the value or the day. The last day of a financial year is best.
"Residual Value: it is from 0 to below the cost. It is an amount, not a percentage." / "Depreciation Rate %: a percentage a year, from 0 to 100." / "Useful Life (Months): a whole number of months." / "... up to 1200."
- Why
- A depreciation figure is outside what is possible.
- What to do
- Correct the figure. On an asset the residual value is an amount; the percentage is the category's.
"The asset '...' was added, but its depreciation figures were refused: ..."
- Why
- The asset was saved first and its figures second; the second was refused for the reason shown - most often runs already posted for the asset.
- What to do
- The asset is in the register. Put the figures right and import the row again with Update, or enter them on Fixed Assets Master.
9For an administrator #
- Rights - Execute on Import/Export Data (Tools) to import at all; Create on the master to add, Modify to update.
- Try it small - Import five rows first and look at them on the master screen before loading the whole list.
This is the help InvoiceNET® ERP shows beside the Data Import & Export screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
