1Purpose #
A module such as Sales or Accounts usually has several voucher types, each set up with its own numbering, printing and behaviour. This page lists the voucher types of one module so you can pick the one you want and start a new voucher of that type.
It is only a list. Opening the page, searching or refreshing does not create a voucher, does not change any voucher type, and saves nothing. Voucher types are created and changed in Voucher Manager, and vouchers are entered on the entry screen a card opens.
2Your first voucher from this list, step by step #
- In the sidebar, click Sale . This page opens with the heading of the module code and the cursor already in the search box.
- Type Supply straight away. The cards narrow to the voucher types whose name, voucher ID, base type or category contains those letters, for instance Outward Supply - B2B , Outward Supply - B2C and Bill Of Supply .
- Press Down Arrow . The keyboard leaves the search box and lands on the first card; use the arrow keys to reach the Outward Supply - B2B card.
- Press Enter . A new tab opens with the Outward Supply - B2B voucher entry screen, ready for a new bill. This list stays open in its own tab.
- Come back to this tab and press Enter on the same card again: another new tab opens, so two bills can be keyed side by side.
- If an administrator adds a voucher type in Voucher Manager (or grants you a right on one) while this tab is open, the card does not appear by itself. Press Refresh or F5 here and it is listed.
- Press Esc to close this tab when you are done.
3Why is a voucher type not listed? (licence first, then permission) #
A voucher type appears here only when every condition below holds. Check them in this order.
- The licence must hold its module. This is checked first, on the server. The module is not set on the voucher type itself: it is the module of the voucher type's Base Type (Voucher Manager). A voucher type built on the Service base type needs the Service module, one built on Material Issue needs Manufacturing, and so on. When the company's licence does not include that module the voucher type is not listed for anyone, not even an Administrator. A module code the licence catalogue does not define (for example the Opening and System base types) is not gated. If the licence cannot be read, or reads as if no module at all were subscribed, the list is shown as before without the licence filter.
- You must hold at least one right on it. This is checked second. In User Manager, on the Vouchers tab, your account needs at least ONE of these ticked on that voucher type: Create (F3) , Alter (F4) , Delete , Find (F2) , Print (F12) , Re-Print , Print Preview , Status Change , Show In Link Pending , Can Close Link Src. , Allow Stock Reserve , Allow Workflow Submission or Allow Posting . A right counts whether it is ticked on your own account or on the template user your account follows ( Template followed ). A user holding none of them does not see the card; the remaining voucher rights (Edit Sundry, Voucher Sharing, Allow Load Voucher, Allow Rate Edit, Allow Post Dated, Activity Monitoring, Work Schedule) do not list a voucher type on their own. Users with the Administrator or Global Administrator role hold every right, and the sysadmin login is not filtered by rights at all. The licence rule above still applies to both.
- It must be active. The Inactive ? switch on the voucher type in Voucher Manager must be off. Inactive voucher types are never listed.
- It must belong to this module. Its base type's module must equal the module code in this page's address. A voucher type on the Sale base type is listed under /transactions/sal and not under /transactions/inv , even though its category may read Inv . A voucher type whose base type is not in the installed base-type list is not listed under any module.
- The list may be stale. The list is kept per module for as long as the browser session lasts, so re-opening the page shows the copy fetched the first time. After a change in Voucher Manager, in User Manager or to the licence, press Refresh (F5) on this page to fetch it again.
A card cannot get around any of this. The entry screen it opens checks again on its own: it refuses to work for a voucher type whose module the licence does not hold, and each action there (adding, altering, deleting, printing) checks the matching right when you use it.
4Shortcut keys #
- Arrow keys move between the cards; Up and Down go to the nearest card in the row above or below. Home and End jump to the first and last card.
- Enter or Space opens the focused card's voucher entry screen in a new tab.
- Down Arrow in the search box moves the keyboard to the first card.
- F5 refreshes the list from the server, discarding the copy kept for this module.
- Esc closes this tab (not while the list is still loading).
Keys belong to the copy of the page that is on screen and focused, so a second tab of this page does not react to them. While the keyboard is inside this help panel, the card keys do not apply.
5Rules and integrity #
- The page is read-only. Nothing you do here writes to the database.
- The search filters the cards already loaded, by voucher type name, voucher ID, base type and category, ignoring case. It runs in the browser only and never asks the server again, so it cannot bring back a voucher type the rules above left out.
- Cards are shown in the voucher types' Display Order from Voucher Manager.
- Opening a card only chooses the voucher type. Numbering, the transaction date rule and every other voucher check belong to the entry screen.
- When the list cannot be loaded, an error message beginning "Unable to load voucher types" gives the reason and no cards are shown; press Refresh to try again.
6If something does not work #
"None of the voucher types you can create are on this company's licence (...)"
- Why
- Every type you may use belongs to an unlicensed module.
- What to do
- Ask your vendor about the module named in the brackets.
A voucher type you expect is not listed
- Why
- The list shows types you have a right on, that are licensed, and that are active.
- What to do
- An administrator grants the right in User Manager, or activates the type in Voucher Manager.
A type opens the voucher screen looking wrong
- Why
- One screen serves every type; what it shows is the type's own settings.
- What to do
- Check the type in Voucher Manager.
This is the help InvoiceNET® ERP shows beside the Voucher Type List Page screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
