Warehouse Approvals

One list of everything the warehouse is waiting on a second person for. It shows how long each request has waited, who was asked, and whether you may decide it. The decision is made on the record's own screen.

1What this screen is for #

  • Menu path: Warehouse Management > Control > Warehouse Approvals. Route /warehouse/approvals .
  • Count variance : a counted line still outside the tolerance after its recount. One card per count. Decided on the Count Desk .
  • Unplanned receipt : goods received without a purchase order, on a voucher type that holds them. Decided on Exceptions .
  • Short dispatch : a dispatch closed with less loaded than staged. Decided on Dispatch .
  • Transfer shortage : a transfer the receiving site reported short. Decided on Transfers by the sending site.
  • Pick a card to see it; Open (F5, or double-click the card) goes to the screen where it is approved or rejected.
  • The same requests reach the people asked through the approval bell at the top of the application.

2Who may decide #

  • You need the Approve right on the record's own object: WMS - Counts, WMS - Receiving, WMS - Dispatch or WMS - Transfers.
  • Where a Warehouse Approval Rule applies you must also be among the people its level names. Level shows which: 1, 2, or level 1 escalated to level 2 after the rule's hours - then either level decides.
  • No rule means every holder of the Approve right may decide.
  • A count is never approved by the person who counted the line; the Count Desk says so.
  • An administrator may decide anything.

3Toolbar & keyboard #

  • Refresh (F2) , Open (F5) . Esc closes the page.
  • Right: View on the object WMS - Approvals opens the list.
  • Every request and decision is kept: report Warehouse Approval Log.

4If something does not work #

"You do not hold the right to open Warehouse Approvals. An administrator grants it in User Manager, Masters tab, on the object WMS - Approvals (View)."
Why
The list opens with View on WMS - Approvals.
What to do
An administrator ticks the right for you in User Manager, Masters tab.
"Nothing in the warehouse waits for a decision." / "Nothing matches the filters on the left."
Why
Nothing is held in the storage spaces open to your branch, or the storage space, approval or Only what I may decide filter hides what there is.
What to do
Set Storage space to Every storage space and Approval to Every approval, and untick Only what I may decide.
A request I was told about by the bell is not in the list
Why
It was decided already, or it belongs to a storage space that is not open to the branch you signed in to. A short transfer is listed under the storage space that SENT it.
What to do
Press Refresh (F2). Report Warehouse Approval Log shows who decided it.
"May not decide this" - "You do not hold the Approve right for this."
Why
Deciding needs Approve on the record's own object: WMS - Counts, WMS - Receiving, WMS - Dispatch or WMS - Transfers.
What to do
An administrator ticks Approve for you on that object in User Manager, Masters tab.
"May not decide this" - "The rule names other people for this request."
Why
A Warehouse Approval Rule applies and you are not among the people its level names.
What to do
The people under Asked decide it. To change who that is, change the rule on Warehouse Approval Rules.
On the record's screen: "This request is for ... to decide (Warehouse Approval Rules: ..., ...). You are not among them." / "...; it comes to you as well when it has waited ... hour(s)."
Why
You pressed Approve or Reject on a request a rule gives to other people. If you are a level 2 approver it becomes yours too once the rule's hours have passed.
What to do
Leave it to the people named, or wait for the escalation. An administrator may decide it at once.
Open takes me to a screen that shows nothing waiting
Why
The screen opens on the storage space you last worked in. The request belongs to the storage space named on its card.
What to do
Pick that storage space on the screen that opened; the record is marked as waiting there.
Value shows a dash
Why
A receipt without an order and a short dispatch are not valued; a count difference of items that were never bought (no lot in the price table) and have no cost price on the item master values to nothing.
What to do
Nothing to do. Give such items a cost price on the item master if the rule's level 2 value should apply.

This is the help InvoiceNET® ERP shows beside the Warehouse Approvals screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
