Bin Stock

The books say how much of an item a storage space holds. Bin stock says where in it that stock is. The bins of a storage space always add up to what the books say - the Reconciliation screen checks it.

1What this screen is for #

  • Menu path: Warehouse Management > Bin Stock. Route /warehouse/bin-stock .
  • See what each bin holds: one row per bin, item and batch.
  • See the bin card of a row: every movement that changed it, with the balance after each, and the voucher that caused it.
  • Move stock from one bin to another of the same storage space.
  • Stock does not enter or leave a bin here. A voucher does that - a receipt, an issue, a stock transfer - and the bins follow.

2How stock reaches a bin #

  • Only a storage space that is run by the WMS (Warehouse master) has bin stock.
  • The system does not choose a storage bin by itself. A voucher touches only the two dock bins; an operator says which storage bin by scanning.
  • Stock coming in on a voucher - and the opening of a storage space - lands in the default receiving bin and waits. It is put in its bin on Putaway , by scanning the bin and the material.
  • Stock going out leaves the default dispatch bin . Where that bin does not hold it, it goes below zero and is shown in red: issued, bin not confirmed. Picking says which bin really gave it, by scanning the bin and the material, and brings the dispatch bin back to zero.
  • A voucher that is edited, cancelled or deleted is undone in the bins it used, as Reversal rows.
  • A storage space with Automatic allocation on (Putaway Rules) works differently: the system places stock in by the rules and takes it from the bins that hold the item.
  • A voucher saved from the desktop, or posted by an approval, reaches the bins when Bring the bins up to date is pressed on Reconciliation.

3Step by step: move stock #

  1. Pick the storage space, and find the row: type part of the item or bin and press Enter.
  2. Click the row, press Move (F4) .
  3. Pick the bin to move to, give the quantity (it starts as everything that is free), add a note if it helps.
  4. Save (F5) and confirm. The bin cards of both bins show the move.

4Toolbar & keyboard #

  • Find (F2) puts the cursor in the Find box; a scanner types the bin label and presses Enter by itself. A serial number typed or scanned there, when it matches no item or bin, is looked up in the serial register and its bin is listed.
  • Move (F4) , Save (F5) , Cancel (Esc) ; Save and Cancel ask to confirm, with OK focused. Refresh reads the list again.
  • Esc in view mode closes the page. There is no Add and no Delete.

5What the numbers mean #

  • On hand - what the bin holds, in the item's base unit.
  • Allocated - promised to open pick tasks; zero until stock is reserved for a pick ahead of the walk.
  • Free to move - on hand less allocated: the most a move may take.
  • Bin card - In, Out and the Balance after each movement. Stock date is the voucher's stock date; Written is when the movement reached the bins.
  • Reason - Opening, Receipt, Issue, Transfer (a stock transfer voucher), Move (bin to bin), Reversal.
  • By serial number - how many of the units on hand the serial register names, with the numbers listed beneath. The bins keep quantities; the register beside them says which bin each serial number is in.

6Rules (why a move is refused) #

  • Both bins belong to the storage space picked; a move to another storage space is a stock transfer voucher.
  • Nothing leaves a bin that is Blocked or being counted; stock is moved only into an Active bin.
  • A move takes no more than is free in the bin, and never makes it go below zero.
  • A voucher that takes units out without naming their serials - a Physical Stock variance, a voucher from the desktop - leaves the register with more serials in the bin than the bin holds. The row then shows a warning: press Serials that left... , tick them and confirm. Where the quantity is known before the save, the web refuses the voucher instead until its line carries the serial numbers.
  • Units the bin holds by serial number move only by serial: tick each one. A move that names no serial may take only the units the bin holds without one.
  • Who may move stock: the Alter right on the object WMS - Bins , in User Manager.

7If something does not work #

"No bin here holds stock yet. Stock reaches the bins from vouchers - see Reconciliation." / the list is empty
Why
The storage space's bins hold nothing: it is not run by the WMS, no voucher has booked stock to it, or its vouchers have not reached the bins yet.
What to do
Open Bin Reconciliation for the storage space: it says which of the three it is, and brings the bins up to date.
"... is not run by the WMS, so its bins do not follow the books and hold nothing. ..."
Why
Only a storage space switched to the WMS has bin stock.
What to do
Load the storage space on the Warehouse master and switch it on in the block Run by the WMS.
"No bin of ... holds anything with '...' in the item's name or code, or in the bin's code."
Why
Nothing held in this storage space's bins matches the words typed in Find.
What to do
Check the spelling; switch Show emptied rows on if the stock has since left; clear Find and press Enter to list everything.
"Showing ... of ... rows - pick a zone, or type part of an item or bin and press Enter."
Why
The list shows 300 rows at a time.
What to do
Narrow it by zone, or search.
"Serial number ... (...) is in bin ...." / "... serial numbers have '...' in them: ..."
Why
The words typed in Find matched no item or bin, but one or more serial numbers in the serial register. The list now shows the bin of the first one.
What to do
Nothing to do. Type more of the serial number to narrow it to one.
"... serial number(s) are named for a quantity of .... A serial number is one unit."
Why
More serial numbers are ticked than the quantity to move.
What to do
Raise the quantity or untick serials: the quantity counts every ticked serial, plus any units moved without one.
"...: bin ... holds ... unit(s) of it by serial number .... ... unit(s) are taken without a serial number - pick the serial number of each." (on Putaway: "scan or pick the serial number of each")
Why
The units the serial register names in a bin leave it only by serial, so the register never shows a serial in a bin its unit has left. The move or putaway line takes more units without a serial than the bin holds outside its registered serials.
What to do
On Bin Stock tick the serial numbers that move. On Putaway scan each unit's serial number (piece by piece). On Opening Bin Stock such units cannot be keyed - put them away on Putaway.
"...: serial number ... is not in bin .... It is taken from the bin the register shows it in." / "...: serial number ... is named twice. A serial number is one unit."
Why
A serial named for the move or the putaway line is in another bin by the register, or was named twice in the same entry.
What to do
Find the serial on Bin Stock (type it in Find) to see its bin; name each serial once.
"The register names ... serial number(s) of this item in the bin, but the bin holds ...: ... of them left with a voucher that named no serial. Say which." / on Bin Reconciliation: "Serial register: ... serial number(s) are registered in bins that no longer hold their units ..."
Why
A voucher took units of the item out of the bin without naming their serial numbers - a Physical Stock variance (its quantity is only known after the save), a voucher saved from the desktop, or one saved before the register existed. The quantity left; the register cannot know which serials went with it.
What to do
On Bin Stock pick the row, press Serials that left..., tick the serial numbers that are gone and confirm. Only as many as the bin is short by can be ticked.
"Tick the serial numbers that have left the bin." / "Bin ... holds ... of ... and the register names ... serial number(s) in it: ... left, not .... Tick ...." / "That bin holds as many units of the item as the register names in it: no serial number is to be confirmed as left." / "Serial number ... is not registered in that bin. Press Refresh."
Why
Confirming serials as left takes exactly the serials the bin is short by - no more, so a serial whose unit is still in the bin stays in the register. Someone else may have confirmed them meanwhile.
What to do
Tick the number of serials the message names; press Refresh if the row has changed.
"You do not hold the right to confirm that serial numbers have left a bin. ..."
Why
Confirming serials as left asks for the Alter right on the bins.
What to do
An administrator ticks Alter on WMS - Bins for you in User Manager.
A bin shows no serial numbers although the item is tracked by serial
Why
The register holds the serials of stock voucher lines that book to one storage space run by the WMS. It does not hold serials of the opening stock or of stock transfer vouchers, of a line split over several storage spaces, or of a voucher type whose Use WMS Bins is Off; and a voucher saved from the desktop reaches it only at Bring the bins up to date.
What to do
Press Bring the bins up to date on Bin Reconciliation for vouchers saved from the desktop. The other cases are held by quantity only.
A row is red and its quantity is below zero
Why
A voucher took stock out of the storage space. Until Picking says which bin gave it, an issue leaves the default dispatch bin - which goes below zero by what was issued, so the bins still add up to the books. It reads: issued, bin not confirmed.
What to do
Open Picking, tick the voucher, and scan the bin the stock was taken from and the material: the dispatch bin comes back to zero. With automatic allocation on (Putaway Rules) the system takes it from the bins that hold the item instead.
"... item(s) wait in the receiving bin ... to be put away." / "... item(s) were issued without a bin being confirmed ..."
Why
The two dock bins hold what vouchers moved and nobody has yet placed: stock that came in and is not put away, and stock that went out without a bin saying it gave it.
What to do
Put the waiting stock away on Putaway. For the issued stock, say which bins gave it on Picking.
"Pick a bin or an item to see its movements."
Why
A bin card belongs to a bin, an item, or both.
What to do
Pick a row in the list first.
Move (F4) is greyed out
Why
Nothing is picked, the row has nothing free to move (it is at or below zero, or all allocated), or its bin is Blocked or being counted.
What to do
Pick a row with free stock in a bin that is in use. Unblock the bin on the Bin Master if it should give stock again.
"Pick the bin to move to - a bin of this storage space." / "The stock is already in that bin. Pick another bin to move it to." / "The bin to move from is not a bin of this storage space. Pick it again."
Why
A move goes from one bin to a different bin of the same storage space.
What to do
Pick the bin in To bin. To another storage space, use a stock transfer voucher.
"The quantity to move must be above zero." / "Pick the item to move."
Why
A move needs an item and a quantity.
What to do
Give the quantity; it starts as everything that is free in the bin.
"Bin ... holds ... free of ...; ... cannot leave it."
Why
The move asks for more than the bin has free (on hand less allocated). Someone may have moved or picked from it since the list was read.
What to do
Press Refresh, then move no more than Free to move shows.
"Bin ... is Blocked: nothing leaves it until that ends." / "Bin ... is Counting: nothing leaves it until that ends."
Why
A blocked bin, and a bin being counted, gives nothing out.
What to do
Unblock the bin on the Bin Master, or wait for the count to finish.
"Bin ... is Blocked: stock is moved into a bin that is Active." (also Counting, Inactive)
Why
Stock is only moved into a bin that is in use.
What to do
Pick an Active bin, or make the bin Active on the Bin Master.
"The note can't exceed 200 characters."
Why
The note of a move holds 200 characters.
What to do
Shorten it.
"You do not hold the right to move stock between bins. An administrator grants it in User Manager, Masters tab, on the object WMS - Bins (Alter)."
Why
Moving stock asks for the Alter right on the bins.
What to do
An administrator ticks Alter on WMS - Bins for you in User Manager.
