1What this screen is for #
- Menu path: Warehouse Management > Counting > Count Desk. Route /warehouse/count-desk .
- A count belongs to one storage space run by the WMS. It is numbered CC-1, CC-2 and so on.
- Starting a count freezes its bins: no putaway, pick, move or voucher line touches a frozen bin until it is released. Count when the bins are quiet.
- The lines carry the book quantity taken at the start, the first count, the recount, the difference and the tolerance the line was judged by.
- The warehouse keeps working around the count: only the frozen bins stand still.
2The five plans #
- ABC cycle : the bins holding an item of value class A, B or C (Item Warehouse Settings), the longest uncounted first. Give the number of bins for today; counting some every day goes round them all.
- Zero and short pick : bins a picker found short, bins at zero, bins below zero.
- Zone audit : bins of one zone drawn at random.
- Full : every bin of the storage space.
- Chosen bins : the bins you tick.
- Show the plan lists the bins before anything is frozen. A bin that is Blocked, Inactive, in another count, holding stock allocated to a pick, or named by an open task is left out, and the list says why.
3Tolerance, recount and approval #
- The tolerance is a per cent of the book quantity by the item's value class, or a quantity, whichever is more - WMS Settings, group Counting. By default class A has none.
- A first count inside the tolerance is accepted. Outside it the bin goes back to the floor to be counted again by somebody other than the first counter.
- A recount inside the tolerance is accepted. A recount still outside waits for approval : holders of Approve on WMS - Counts get a bell alert.
- Approve lets the counted figure stand. Reject needs a reason and sends the bin to be counted again. Nobody decides a line they counted themselves; an administrator may.
- Count again sends any counted line back to the floor - when a figure looks wrong although it is inside the tolerance.
- A bin whose every line agrees with the books is released at once; the others stay frozen until the post.
4Posting #
- Post count (F5) needs every bin counted or left out, and no difference waiting for approval.
- The bins are corrected to the counted figures, and one Physical Stock voucher is saved for the storage space with one line for each item whose total changed. An item short in one bin and over by as much in another needs no voucher line: only the bins are corrected.
- The differences pass through the storage space's receiving bin on their way to the books, so the space needs one, Active.
- The voucher is dated today. If the voucher save refuses it, nothing is posted: the bins are frozen again and the message says why.
- A difference on a batch line, or on an item held by serial number in the bin, cannot be posted from a count yet: leave that bin out and correct it on a Physical Stock voucher.
- Count sheet prints the bins still to count with their items and no quantity, for counting on paper; the figures are then keyed on Count.
- Cancel count releases every bin and posts nothing.
5Toolbar & keyboard #
- Refresh (F2) , New count (F3) , Post count (F5) . Esc closes a dialog; with none open, the page.
- Rights, on the object WMS - Counts: View opens the desk, Create starts a count, Alter sends back, leaves out and posts, Delete cancels, Approve decides differences.
6If something does not work #
"You do not hold the right to open the Count Desk. An administrator grants it in User Manager, Masters tab, on the object WMS - Counts (View)." / "... see a count ..." / "... print a count sheet ..." / "... start a count ... (Create)" / "... send a line to be counted again ... (Alter)" / "... leave a bin out of a count ... (Alter)" / "... post a count ... (Alter)" / "... cancel a count ... (Delete)" / "... approve a count difference ... (Approve)" / "... reject a count difference ... (Approve)"
- Why
- Each act on the desk asks its own right on the object WMS - Counts.
- What to do
- An administrator ticks the right for you in User Manager, Masters tab.
"This storage space is not run by the WMS - there are no bins to count."
- Why
- Counting is by bin, and only a storage space run by the WMS has bins.
- What to do
- Pick a storage space run by the WMS, or switch this one on in the block Run by the WMS of the Warehouse master.
"A count can be started and counted, but not posted yet: ..."
- Why
- The post saves a Physical Stock voucher, and the company has no voucher type ready for it: one of the group Physical Stock that affects stock, with Use WMS bins on, the storage space on (Enable godown) and System numbering.
- What to do
- Set the voucher type up in Voucher Manager as the message says. Counting can go on meanwhile.
"That count no longer exists. Press Refresh." / "That bin is not in this count. Press Refresh."
- Why
- The screen is older than the database.
- What to do
- Press Refresh (F2).
"Pick the kind of count ..." / "Pick the value class to count: A, B or C." / "Pick the zone to audit." / "Tick the bins to count." / "The number of bins is 0 (all the plan finds) to 5000." / "The note can't exceed 300 characters."
- Why
- The plan is not complete: an ABC cycle needs the class, a Zone audit the zone, Chosen bins the bins.
- What to do
- Fill what the message names. All that is missing is listed at once.
"The plan finds no bin." / "The plan finds no bin to count."
- Why
- Nothing matches the plan: no bin holds an item of that value class, the zone has no bin, or no bin is at zero, below zero or picked short.
- What to do
- Pick another plan. For an ABC cycle, give the items their value class on Item Warehouse Settings first.
"None of the ... bin(s) the plan finds can be counted now: ..." / Left out: "It is in another count already." / "It is Blocked - a blocked bin is counted after it is released." / "It is Inactive." / "... of its stock is allocated to pick tasks - count it when the picks are done." / "... open task(s) name it - count it when they are done."
- Why
- A bin is frozen for the count, so a bin with work in hand is not taken: it is left out and the list says why. The count starts with the others.
- What to do
- Finish or cancel the tasks and the wave, release the bin, or wait for the other count; then start a count for the bins left out.
"Tick the lines to count again." / "... is <status> - only a line that has been counted is counted again." / "Bin ... is released back to work - it is no longer frozen, so it is not counted again on this count. Start another count for it." / "Bin ... is being counted by ... right now."
- Why
- Count again sends a counted line back to the floor. It needs the bin still frozen and not open on a counter's phone.
- What to do
- Tick counted lines of bins that are still frozen. For a released bin, start a count of Chosen bins.
"Tick the lines to decide." / "... is <status> - it is not waiting for approval." / "Say why the difference is rejected - the reason is kept with the line, and the bin is counted again." / "The note can't exceed 300 characters."
- Why
- Approve and Reject work on lines that wait for approval - those a recount left outside the tolerance. A rejection needs its reason.
- What to do
- Show Waiting for approval, tick the lines (or tick none: all of them are taken), and give the reason when rejecting.
"You counted ... yourself ...: nobody decides their own count. Another holder of Approve decides it."
- Why
- The person who counted a line does not approve or reject it. An administrator may.
- What to do
- Ask another holder of Approve on WMS - Counts.
"Count ... is <status> - nothing is ... on it any more." / "Count ... is <status> already."
- Why
- The count was posted or cancelled meanwhile, perhaps from another screen.
- What to do
- Press Refresh (F2).
"Count ... cannot be posted yet:" / "... bin(s) are still to be counted (... of them again) - count them, or leave them out of the count." / "... difference(s) wait for approval - approve or reject them first."
- Why
- A count is posted whole: every bin counted or left out, every difference decided.
- What to do
- Have the bins counted on Count, decide the waiting lines, or leave a bin out.
"...: A batch: the difference cannot be posted from the count - correct it on a Physical Stock voucher. Leave the bin out of the count, or count it again." / "...: Held by serial number in this bin: the difference cannot be posted from the count. ..."
- Why
- The post corrects item totals. A difference on a batch line, or on an item held by serial number in the bin, is not posted from a count yet.
- What to do
- Leave the bin out and correct the stock on a Physical Stock voucher naming the batch or the serial numbers; or count the bin again if the figure was wrong.
"...: the bin held ... when it was frozen and holds ... now - something outside the count changed it. Leave the bin out and count it again."
- Why
- A frozen bin's balance changed after the count took its book quantity - a correction made outside the screens.
- What to do
- Leave the bin out of this count and start a count of Chosen bins for it.
"... has no receiving bin - the count's differences pass through it on their way to the books. Set one in the block Run by the WMS of the Warehouse master." / "The receiving bin ... is <status> - the count's differences pass through it. Make it Active first."
- Why
- The voucher line of an item names one bin. The differences of many bins are gathered in the storage space's receiving bin for the voucher and leave it again at once.
- What to do
- Give the storage space a receiving bin on the Warehouse master, Active on Bin Master. It ends the post as it began.
"The voucher type ... could not be read." / "... was refused by the voucher save - nothing is posted. The bins are frozen again and the count is as it was. Put it right and post again:"
- Why
- The Physical Stock voucher goes through the ERP's own save, with all its checks: the financial year, the transaction date rule, negative stock, the voucher type's set-up. The reasons follow the message.
- What to do
- Put right what the reasons name and press Post count again. Nothing was moved.
"...: the count takes ... off, but the books of ... hold only .... A voucher outside the WMS moved the item - see Bin Reconciliation (Outside the WMS)."
- Why
- The bins held more than the books of the storage space do: a voucher moved the item without naming a bin.
- What to do
- Open Bin Reconciliation for the storage space, settle the item, then post the count.
Warning: "...: the count found ... but the voucher posted ... - the books moved between the reading and the save. Check the item on Bin Reconciliation."
- Why
- Another voucher for the same item was saved in the instant between reading the books and saving the count's voucher. The bins are right; the books differ by that voucher.
- What to do
- Check the item on Bin Reconciliation and correct it with a Physical Stock voucher if it shows a difference.
A post of this count stopped half way
- Why
- The connection or the server failed between the steps of a post. The count is marked Posting.
- What to do
- Press Post count (F5): if the voucher was saved the bins are completed for it; if not, everything is put back and posted afresh. Nothing is posted twice.
"Count ... posted: nothing differed from the books, so no voucher is needed." / "... corrected between bins - the item totals of the storage space did not change, so no voucher is needed."
- Why
- Not an error. A voucher is saved only when an item's total of the storage space changes.
- What to do
- Nothing to do.
"Bin ... is released already." / "Say why the count is cancelled - it is kept with it." / "The reason can't exceed 200 characters."
- Why
- Leave out releases one bin; Cancel count releases all of them and needs a reason.
- What to do
- Give the reason. A released bin is counted again by a new count.
A bin cannot be put away to, picked from or moved - it says Counting
- Why
- The bin is frozen by an open count.
- What to do
- Have it counted, or press Leave out on its row here, or post or cancel the count.
