1What this screen is for #
- Menu path: Warehouse Management > Stock > Opening Bin Stock. Route /warehouse/opening-stock .
- Enter the count of a storage space as a sheet of rows: bin, item, batch, quantity.
- Type the rows one by one, or paste them from a spreadsheet - up to 2,000 rows a sheet.
- Submit places every row: its quantity leaves the receiving bin and enters the bin named.
- It is the same work as Putaway, keyed instead of scanned. Use Putaway for day-to-day receipts.
- It is not only for the first day: whatever waits in the receiving bin can be placed here, for example after a stock transfer in.
2Before you start #
- The storage space is switched on in the block Run by the WMS of the Warehouse master, with a receiving bin and a dispatch bin.
- Its zones and bins exist (Warehouse Layout, Bin Master) and the bins counted in are Active .
- The books are right: the opening stock of the storage space and its vouchers are entered.
- Bring the bins up to date has been pressed on Bin Reconciliation, so the receiving bin holds everything the books say.
- You hold the Alter right on the object WMS - Bins .
3Step by step: type the count #
- Pick the storage space. The list on the left shows what waits in its receiving bin.
- Click an item in the list, or pick it in Item .
- Pick the Bin it was counted in, and give the Quantity - it starts as what is left to place of the item.
- Press Add row (F4) . The item stays picked for its next bin until all of it is on the sheet.
- When the sheet is complete, Submit (F5) and confirm.
4Step by step: paste from a spreadsheet #
- Lay the count out in four columns: Bin, Item, Batch, Quantity. Leave Batch out (three columns) where no item of the sheet keeps a batch, or leave the cell empty for an item that keeps none.
- Item may be the item's code, its name, its standard barcode or its part number.
- Copy the rows, press Paste (F2) , paste, and press Read the rows .
- The rows join the sheet. Remove any that are wrong; paste again to add more.
- Submit (F5) and confirm. Every row is checked first; if any is refused, nothing is placed and all the reasons are listed by row number.
5Rules #
- A sheet places no more of an item than waits in the receiving bin. It does not change what the storage space holds.
- If the count found more or less than the books, post the difference with a Physical Stock voucher first. A surplus then reaches the receiving bin and is placed from there; a shortage leaves that much unplaced.
- A sheet may place part of what waits. The rest stays in the receiving bin for the next sheet, or for Putaway.
- The bin is checked as the storage space's Putaway Rules say: bin type, mixing and capacity each Off, Warn or Stop. A warning is shown before anything is placed; a stop refuses the sheet.
- A sheet is not held to the bin the rules would suggest - the stock is where it was counted.
- The item's batch must be named when the item waits in more than one batch.
- A submitted sheet is one putaway entry . To undo it, open Putaway, press Entries, pick it and press Cancel this entry: its stock goes back to the receiving bin.
6Toolbar & keyboard #
- Paste (F2) puts the cursor in the paste box.
- Add row (F4) adds the row typed to the sheet.
- Submit (F5) checks and places the sheet; it asks to confirm, with OK focused.
- Cancel (Esc) empties the sheet after a confirmation; with an empty sheet Esc closes the page.
- Refresh reads the receiving bin again; it is off while the sheet holds rows.
- Enter moves from field to field in the row.
7Checking the result #
- Bin Stock (screen or report) shows each bin with what was placed in it.
- The Bin Card of a bin shows a Putaway movement for every row of the sheet.
- Bin Reconciliation still shows no difference: the bins add up to the books as before, only in other bins.
8If something does not work #
"Row ..., ...: bin ... holds ... unit(s) of it by serial number .... ... unit(s) are taken without a serial number - scan or pick the serial number of each." / "...: serial number ... is not in bin ...."
- Why
- The serial register names units of the item in the receiving bin. Those units leave it only by serial, so the register never shows a serial in a bin its unit has left.
- What to do
- A count sheet carries no serial numbers, so it can place only the units of the item the register does not name. Put the units held by serial number away on Putaway, scanning each serial.
"No storage space open to this branch is run by the WMS. Switch one on in the block Run by the WMS of the Warehouse master." / the storage space list is empty
- Why
- This screen offers only the storage spaces run by the WMS that are open to the branch you signed in to, and there is none.
- What to do
- Switch a storage space on in the block Run by the WMS of the Warehouse master, or sign in to a branch it is open to.
"... voucher(s) of this storage space have not reached the bins yet, so the receiving bin does not show all the books hold. ..."
- Why
- Vouchers saved from the desktop, posted by an approval, or the opening stock itself have not been brought to the bins.
- What to do
- Open Bin Reconciliation for the storage space and press Bring the bins up to date, then press Refresh here.
"Nothing waits in the receiving bin ..." / "Nothing waits in the receiving bin of this storage space. If the books hold stock here, press Bring the bins up to date on Bin Reconciliation first."
- Why
- Everything the books hold for the storage space has a bin already, or the books hold nothing for it - the company does not keep stock by storage space, or no opening or voucher names this one.
- What to do
- Check Bin Reconciliation: it says what the books hold for the storage space and whether the bins are behind.
"Pick the bin the stock was counted in - an Active bin of this storage space, other than the receiving bin." / "Pick the item - one that waits in the receiving bin." / "The quantity must be above zero."
- Why
- The row typed is not complete.
- What to do
- Pick the item and the bin from their lists and give a quantity above zero, then press Add row (F4).
"'...' is not the label of a bin of this storage space, nor the barcode, code or part number of an item that waits in the receiving bin." / "... is the receiving bin - the stock waits there already. Scan the bin it was counted in." / "Bin ... is not Active, so stock can't be placed in it."
- Why
- The Scan box takes one code at a time: a bin's label (or its code), or an item's standard barcode, code or part number. The code scanned is neither, or it is a bin the sheet can't name.
- What to do
- Check the label scanned. An item must be one that waits in the receiving bin - the list on the left shows them; a serial number or a lot label is not read here. For the bin, scan a storage bin, not the receiving bin, and make the bin Active in Bin Master if it is not.
"... waits in ... batches; batch ... is picked. Change it in Item if the count was of another batch."
- Why
- The item scanned waits in more than one batch and its barcode does not say which.
- What to do
- Leave it if the batch picked is the one counted; otherwise pick the right batch in Item before Add row (F4).
"...: ... is left to place (... waits, ... is on the sheet already); ... is more than that."
- Why
- The row would put more of the item on the sheet than waits in the receiving bin.
- What to do
- Lower the quantity, or remove an earlier row of the same item from the sheet.
"Paste the rows of the count first: Bin, Item, Batch, Quantity - one row a line, as copied from a spreadsheet."
- Why
- Read the rows was pressed with nothing in the paste box.
- What to do
- Copy the rows in the spreadsheet, click the paste box (F2) and paste.
"Line ...: ... column(s). A row is Bin, Item, Batch, Quantity - or Bin, Item, Quantity where the item keeps no batch."
- Why
- A pasted line has fewer than three or more than four columns - a merged cell, an extra column, or a comma inside an item's name in comma-separated text.
- What to do
- Paste straight from the spreadsheet (tab-separated) with exactly those columns.
"Line ...: '...' is not a quantity."
- Why
- The last column of a pasted line is not a number.
- What to do
- Correct the cell in the spreadsheet - digits and a decimal point only - and paste again.
"The sheet would hold ... rows; one entry takes up to 2,000. ..." / "The sheet has ... rows; one entry takes up to 2,000. ..."
- Why
- One sheet is limited to 2,000 rows.
- What to do
- Submit the sheet in parts - a zone or an aisle at a time.
"The sheet is empty. Add the rows of the count: bin, item, batch where the item keeps one, and quantity."
- Why
- Submit reached the server with no rows.
- What to do
- Add or paste rows first.
"Row ...: the bin is missing." / "Row ...: the item is missing." / "Row ...: the quantity must be above zero."
- Why
- A row of the sheet lacks its bin, its item or a quantity.
- What to do
- Remove the row and add it again complete, or correct the spreadsheet and paste again.
"Row ...: '...' is not a bin of this storage space." / "Row ...: ... is a bin of ..., not of this storage space."
- Why
- The bin code on the row is not a bin of the storage space picked - mistyped, or a bin of another storage space.
- What to do
- Correct the code as the Bin Master shows it; a sheet covers one storage space.
"Row ...: ... is the receiving bin - the stock waits there already. Name the bin it was counted in."
- Why
- The row names the receiving bin as the place counted.
- What to do
- Give the storage bin the stock really stands in; what stays at the dock needs no row.
"Row ...: bin ... is ...; stock is placed in a bin that is Active."
- Why
- The bin is Blocked, Inactive or being counted.
- What to do
- Make the bin Active on the Bin Master, or name another bin.
"Row ...: no item has the code, name, barcode or part number '...'."
- Why
- The text in the Item column matches no item's code, name, standard barcode or part number exactly.
- What to do
- Use the item's code as the Product master shows it.
"Row ...: '...' stands for more than one item (...). Use the item's code."
- Why
- Two or more items share that name, barcode or part number.
- What to do
- Put the item's code in the Item column.
"Row ...: nothing of ... waits in the receiving bin - the books of this storage space hold none of it that is not placed already."
- Why
- The item exists, but the books hold none of it for this storage space, or all of it has a bin already.
- What to do
- Check the item on Bin Stock and Bin Reconciliation. If the count found stock the books do not hold, post a Physical Stock voucher first.
"Row ...: batch '...' of ... does not wait in the receiving bin. Waiting: ..." / "Row ...: ... waits without a batch - leave the batch empty."
- Why
- The batch on the row is not one of the batches of the item that wait.
- What to do
- Use one of the batches listed in the message, or leave the batch empty for an item that keeps none.
"Row ...: ... waits in ... batches - name the batch: ..."
- Why
- The item waits in more than one batch and the row does not say which.
- What to do
- Fill the Batch column with one of the batches listed.
"...: the sheet places ..., but ... waits in the receiving bin - the books of this storage space hold no more. ..."
- Why
- The rows of an item add up to more than the books hold unplaced. The sheet never changes what the storage space holds.
- What to do
- Correct the sheet; or post the difference with a Physical Stock voucher, bring the bins up to date, and load the rest after it.
The Warnings window: "Nothing has been placed yet. The bins raise these warnings: ..."
- Why
- A bin check of the storage space's Putaway Rules is set to Warn - the bin is not for keeping stock, its mixing rule is broken, or the quantity does not fit.
- What to do
- Read them. OK places the sheet all the same; Cancel leaves the sheet as it is so the rows can be changed.
A row is refused for the bin's type, mixing or capacity
- Why
- The matching check of the storage space's Putaway Rules is set to Stop.
- What to do
- Name a bin that takes the stock, or have the check relaxed to Warn on Putaway Rules.
"You do not hold the right to load the opening bin stock. ..."
- Why
- Placing stock needs the Alter right on the object WMS - Bins.
- What to do
- An administrator grants it in User Manager, Masters tab.
The sheet was submitted to the wrong bins
- Why
- A submitted sheet is one putaway entry.
- What to do
- Open Putaway, press Entries, pick the entry (its number is in the message shown after Submit) and press Cancel this entry: the stock goes back to the receiving bin. Then load the corrected sheet.
The sheet is gone after the browser was reloaded
- Why
- The sheet is kept in the page until Submit.
- What to do
- Paste the rows again. Keep the spreadsheet as the master copy until the sheet is submitted.
