1What this screen is for #
- Menu path: Warehouse Management > Putaway. Route /warehouse/putaway .
- Lists the inward vouchers of the storage space picked whose stock still waits in its receiving bin.
- Which voucher is put away: the one that MOVES the stock - in Purchase Order > GRN > Inward Supply that is the GRN. The Purchase Order moves nothing yet, and a bill made from a GRN must be a voucher type that does not affect stock (or the books count the receipt twice), so neither is ever listed. It is listed only when its voucher type's Use WMS Bins in Voucher Manager is switched on, and only for what waits in the receiving bin: a line that named its bin on the voucher, or had one chosen by the type's Default Bin Rule, is in that bin already and needs no putaway. With Off, the default, the warehouse ignores the type: its receipts reach no bin and are never listed here.
- Puts one or several of them away as one entry , checked against the vouchers: the right material, and never more than is pending.
- A voucher can be put away in parts . It stays in the list - showing only what is left - until nothing of it is pending. Entries shows the entries submitted and cancels one - its part is then pending again.
- Made for a phone or handheld first, and works the same at a desk with a USB scanner: one column in the order of the work - storage space, vouchers, scan, the lines of the entry, and last what is still to put away. The scan box keeps the cursor.
- On a phone the vouchers are ticked in one box with check boxes; at a desk they are cards on the left. Both show the same pending vouchers.
2Step by step #
- Pick the storage space. Its pending vouchers are listed - and only its own.
- Tick the voucher(s) to put away - on a phone open Vouchers to put away and tick them; at a desk click their cards. Several can be ticked; they are all of the same storage space. The panel To put away , at the foot, shows what is pending of them, item by item.
- Scan a material. It must be an item of the ticked vouchers. The suggested bins are shown, best first.
- Scan the bin you put it in - or scan the bin first.
- Check the quantity and press Add line (F4) , or Enter in the quantity. Part of an item can go to one bin and the rest to another: scan it again.
- Press Submit (F5) and confirm - when everything is scanned, or earlier to put away a part. What is scanned is then in its bins; what is still Left stays pending on the voucher for the next entry.
3How a material is checked against the voucher #
- The code scanned is looked for among the lines of the ticked vouchers only, in this order of preference:
- 1. the TranID of a line - the code on the label printed for that receipt;
- 2. the standard barcode of a line's item (Product master);
- 3. a serial number entered on a line;
- 4. the item code chosen on a line;
- 5. any item code of a line's item;
- 6. the part number of a line's item.
- The first that matches decides. A TranID, a serial number or a line's item code names one line; a barcode, an item code of the item or a part number names the item - any pending line of it.
- The item's name and its product code are not scanning codes. A serial number is one unit and is accepted once in an entry.
- A serial number scanned into a line goes to the line's bin in the serial register - Bin Stock and the report Serial Register then show which bin it is in. Units the register names in the receiving bin can be put away only by scanning their serial; the rest of the item can still be put away by quantity.
- The opening stock and stock moved to the dock have no voucher lines: they are matched by barcode, item code or part number.
- A code that matches nothing of the ticked vouchers is refused : the message is shown and the scan in hand - material and bin - is discarded. Lines already added stay.
- The server reads every code again when the entry is submitted.
4Quantities, and putting away in parts #
- A voucher need not be put away at once. An entry takes what was scanned; the rest stays pending on the voucher.
- For every TranID - every row of To put away - the quantity put away can never be more than is pending .
- The next time the voucher is ticked it shows only what is still pending. An item put away in full is no longer on it: scanning it again is refused.
- The quantity may be spread over several bins, in several lines.
- Box - the box carries one barcode: scan it once and type how many. Piece by piece - scan every unit; each scan adds one and the quantity cannot be typed.
- All quantities are in the item's base unit.
- If less arrived than the voucher says, put away what arrived and correct the voucher: what it no longer brings stops being pending.
5Entries, and cancelling one #
- Entries lists the entries submitted for the storage space, newest first, with their vouchers.
- Pick an entry, say why, and press Cancel this entry . Its stock goes back from the bins to the receiving bin and is pending again on its vouchers. Other entries of the same voucher are not touched.
- An entry cannot be cancelled while a bin no longer holds what was put in it - the stock has been moved or issued since. Bring it back with a move on Bin Stock first.
- Nor while a voucher made from the receipt waits for the warehouse (Voucher Manager -> Linked Transaction properties -> Warehouse Condition) and has already taken what this entry put away - an Inward Supply billing the 8 put away of a GRN, say. The refusal names the voucher; reduce or cancel it first.
- Nothing is deleted: a cancelled entry stays in the list, marked Cancelled, and the bin cards show the stock going in and coming back.
6Toolbar & keyboard #
- Scan (F2) puts the cursor in the scan box.
- Every message of the screen - a refusal, a warning, a confirmation - appears right under the scan box , where the cursor is, and pulses when it appears.
- Add line (F4) keeps the scan in hand - material, bin and quantity - as a line of the entry. Enter in the quantity does the same, and so does the Add line button beside the quantity. Submit is also under the lines of the entry - a phone has no function keys.
- Submit (F5) asks to confirm, with OK focused, and says what will stay pending. A bin that raises a warning is shown and asks OK again.
- Cancel (Esc) forgets the scan in hand; with none in hand it discards the lines of the entry. It asks first. Nothing was moved. With nothing begun, Esc closes the page.
- Refresh reads the pending vouchers again; Entries opens the entries submitted.
- The storage space and the ticks are fixed once the first scan is in hand.
7Rules (why a line or an entry is refused or warned) #
- Only vouchers of the storage space picked can be put away together.
- Both scans are compulsory on every line, and the material must be of the ticked vouchers.
- The bin must be Active, of this storage space, and not the receiving bin itself.
- Bin type - stock is kept in a Storage or Pick face bin. Mixing - a single-item or single-batch bin that holds something else; a bin that takes only listed items; another item's pick bin. Capacity - the bin's maximum quantity, weight and volume; a pick bin's most to keep.
- Each of the three is Off, Warn or Stop - set per storage space on Putaway Rules , with whether a bin other than the suggested one is allowed.
- What is put away counts for the vouchers made from the receipt: a voucher type with a Warehouse Condition takes only what is put away (or a receipt put away in full), and the database refuses its save beyond that - the desktop's too. A receipt line booked straight into a bin (the line names its bin, or the storage space allocates by itself) counts as put away at once.
- A GRN line closed short is still put away - its stock did arrive. A cancelled line (Cancel line on the voucher, quantity 0) leaves the list by itself; what was already put away of it is shown as stock to bring back to the dock.
- Who may submit or cancel an entry: the Alter right on the object WMS - Bins , in User Manager.
8If something does not work #
"Line ..., ...: bin ... holds ... unit(s) of it by serial number .... ... unit(s) are taken without a serial number - scan or pick the serial number of each." / "...: serial number ... is not in bin ...."
- Why
- The serial register names units of the item in the receiving bin. Those units leave it only by serial, so the register never shows a serial in a bin its unit has left.
- What to do
- Scan each unit's serial number, piece by piece - a serial scanned into a line goes to the line's bin in the register. Units of the item the register does not name can still be put away by quantity.
"No storage space open to this branch is run by the WMS. Switch one on in the block Run by the WMS of the Warehouse master." / the storage space list is empty
- Why
- This screen offers only the storage spaces run by the WMS that are open to the branch you signed in to, and there is none.
- What to do
- Switch a storage space on in the block Run by the WMS of the Warehouse master, or sign in to a branch it is open to.
"No inward voucher is waiting to be put away in this storage space." / the list is empty
- Why
- The receiving bin of the storage space holds nothing: no inward voucher has been saved for it since the last entry, the vouchers have not reached the bins yet, or the storage space has automatic allocation on.
- What to do
- Save the receipt first, with its storage space. A voucher saved from the desktop reaches the bins when Bring the bins up to date is pressed on Bin Reconciliation.
"... is not run by the WMS, so nothing waits in a receiving bin to be put away. Switch it on in the block Run by the WMS of the Warehouse master."
- Why
- Only a storage space switched to the WMS has a receiving bin.
- What to do
- Load the storage space on the Warehouse master and switch it on in the block Run by the WMS.
"... has automatic allocation on: the system puts stock in its bin by the rules as the voucher is saved. Only what no bin could take is pending here."
- Why
- The storage space is set to choose bins by itself, so its vouchers do not wait for an entry.
- What to do
- Nothing to do. To put stock away by scanning instead, switch Automatic allocation off on Putaway Rules.
"Stock to bring back to the receiving bin - it was put away, and its voucher was then reduced or cancelled: ... Move it back on Bin Stock."
- Why
- Stock was put away, and afterwards its inward voucher was edited down, cancelled or deleted. The books took it back out of the receiving bin, which no longer held it.
- What to do
- On Bin Stock, move that quantity from the bin it was put in back to the receiving bin.
A voucher of another storage space is not in the list / the storage space cannot be changed
- Why
- The list shows the pending vouchers of the storage space picked, and only those - an entry never mixes two storage spaces. The storage space is fixed once scanning has begun.
- What to do
- Submit the entry in hand, or press Cancel (Esc) to discard its lines; then pick the other storage space.
"The vouchers are fixed once scanning has begun. Submit the entry, or press Cancel (Esc) to discard its lines, then change the selection." / Tick all and Untick all are greyed out
- Why
- The lines scanned belong to the vouchers that were ticked when scanning began.
- What to do
- Submit the entry, or discard its lines with Cancel (Esc), then tick or untick.
"Tick the voucher(s) to put away first, then scan." / "Select the voucher(s) to put away before scanning a material. The scan was discarded." / "Select the voucher(s) to put away."
- Why
- A material is checked against the vouchers ticked, and none is.
- What to do
- Click the voucher(s) in the list to tick them, then scan.
"Nothing was scanned." / "That is not a bin label or a material code."
- Why
- The scan box was empty, or held more than 100 characters.
- What to do
- Scan again. If a scanner reads several codes into one, check that it sends Enter after each.
"'...' matches nothing of the selected voucher(s) - no TranID, barcode, serial number, item code or part number of their items - and is not a bin of this storage space. The scan was discarded."
- Why
- The code was looked for among the lines of the ticked vouchers in the order TranID, standard barcode, serial number, the line's item code, an item code of the item, part number - and is none of them, nor a bin label here. An item's name and product code are not scanning codes. The scan in hand - material and bin - was thrown away; lines already added stay.
- What to do
- Check the label. Give the item its standard barcode or part number on the Product master, or scan the label printed for the receipt (its TranID).
"Typing a code is switched off for this company (WMS Settings): scan the label. Nothing was taken."
- Why
- WMS Settings has Allow typed confirmation (#295) switched to No, and the code arrived key by key instead of from a scanner. A code pasted whole, or sent by a scanner, is accepted.
- What to do
- Scan the label. If the label cannot be read, print it again - or an administrator switches #295 to Yes on Warehouse Management > Setup > WMS Settings.
"Serial number ... is scanned already in this entry. A serial number is one unit - scan the next one."
- Why
- The same serial number was read twice. Each serial number stands for one unit.
- What to do
- Scan the next unit.
"... is not on the selected voucher(s). The scan was discarded." / "..., batch ..., is not on the selected voucher(s). The scan was discarded."
- Why
- The code names a known item (or batch), but no line of the ticked vouchers brought it.
- What to do
- Tick the voucher that brought it - it must be of the same storage space - or put the material aside: it does not belong to this entry.
"... is a bin of ..., not of this storage space."
- Why
- The label belongs to a bin of another storage space.
- What to do
- Scan a bin of the storage space picked.
"... is scanned in full already: ... of .... The scan was discarded."
- Why
- Everything still pending of that item on the ticked vouchers is already on the lines of the entry.
- What to do
- Nothing more of it is to scan. If a line is wrong, Remove it and scan again.
"... of the selected voucher(s) is put away already - nothing of it is pending. The scan was discarded."
- Why
- The item belongs to the ticked voucher, but an earlier entry put all of it away. A voucher put away in parts takes only what is still pending.
- What to do
- Nothing of it is to scan. If it was put in the wrong bin, move it on Bin Stock; if the earlier entry was wrong, cancel it under Entries.
"... is scanned already. Type the quantity, or switch to Piece by piece to count the scans."
- Why
- In Box the material is scanned once; a second scan of it adds nothing.
- What to do
- Type the quantity - or pick Piece by piece in Quantity by, where each scan adds one.
"... of ... is left to put away; ... are scanned already."
- Why
- Piece by piece: more units were scanned than the ticked vouchers brought.
- What to do
- Add the line with what is counted. If more really arrived, the inward voucher is short - correct it first.
"... is on the selected voucher(s) in more than one batch. Batch ... is taken - scan the batch label for another."
- Why
- The code names the item but not one line of it, and the ticked vouchers brought more than one batch (or TranID) of it. The first with something left is taken.
- What to do
- Scan the label of the receipt (its TranID) to name the exact line.
"Scan the material that is put away." / "Scan the bin the stock is put away in." / "The quantity put away must be above zero."
- Why
- A line needs a material, a bin and a quantity.
- What to do
- Scan what is missing - the heading of the Scan panel says which - and give the quantity.
"... of ... is left to put away; ... is more than is pending on the selected voucher(s)." / "...: ... scanned, but only ... is pending on the selected voucher(s). Remove what is over."
- Why
- More was scanned of an item than is still pending of it on the ticked vouchers - counting what earlier entries already put away.
- What to do
- Give no more than Left shows on the item's row; Remove the line that is over.
"Piece by piece counts one a scan: ... scan(s) were made, the quantity says .... Scan again, or switch to Box and type the quantity." / "Line ..., ...: piece by piece counts one a scan - ..."
- Why
- In Piece by piece the quantity is the number of scans, and the two do not agree.
- What to do
- Press Cancel (Esc) and scan the units again, or switch to Box and type the quantity.
"Line added. ..." / "Line removed: ... of ... is to scan again."
- Why
- The scan in hand became a line of the entry, or a line was taken out. Nothing is moved until the entry is submitted.
- What to do
- Go on scanning.
"Nothing has been scanned yet. Scan a material of the selected voucher(s) and the bin it is put in." / Submit (F5) is greyed out
- Why
- An entry needs at least one line.
- What to do
- Scan a material of the ticked vouchers into its bin and press Add line (F4).
"A scan is in hand. Press Add line (F4) to keep it, or Cancel (Esc) to forget it."
- Why
- A material or a bin has been scanned and not yet added as a line.
- What to do
- Press Add line (F4), or Cancel (Esc).
"...: not scanned - ... is pending. This company puts a voucher away whole (WMS Settings): scan all of it." / "...: ... scanned of ... pending. This company puts a voucher away whole (WMS Settings): scan all of it."
- Why
- WMS Settings has Put a voucher away in parts (#293) switched to No: an entry must put away everything that is pending of the vouchers ticked for it.
- What to do
- Scan what is Left on every row; untick a voucher that cannot be finished now (Cancel the lines first). To allow parts, an administrator switches #293 to Yes on WMS Settings.
The quantity opens on Piece by piece (or on Box) every time
- Why
- WMS Settings, Putaway quantity entry (#292), says how the Putaway screen opens for the whole company.
- What to do
- Switch on the screen for this entry; an administrator changes the default on WMS Settings.
A receipt waits to be put away for less than it brought
- Why
- Part of it was picked straight from the receiving bin on Picking (cross-docking), for an order or an outward voucher. A pick from the dock is taken off the oldest receipts of the item first.
- What to do
- Nothing to do: what is shown is what is still in the receiving bin. Cancelling that picking entry brings it back to wait for putaway.
A voucher is still in the pending list after its entry was submitted
- Why
- It was put away in part: the entry took what was scanned, and what was Left stays pending on the voucher.
- What to do
- Tick it again and scan the rest - only what is still pending is shown and accepted.
"Line ...: that item is not pending on the selected voucher(s) - it is not theirs, or it is put away already."
- Why
- A line names an item of which nothing is pending on the ticked vouchers: it was never theirs, or another entry put it away between the scan and the submit.
- What to do
- Press Refresh, Remove the line, and scan what is still pending.
"Voucher ... is not waiting to be put away in this storage space - it was put away already, cancelled, or belongs to another storage space. Press Refresh." / "Nothing of the opening stock is waiting in the receiving bin of this storage space any more. Press Refresh."
- Why
- Between ticking the voucher and submitting, someone else put it away or cancelled it.
- What to do
- Press Refresh; the list shows what is still pending.
"Line ...: the material scanned is ..., not ...." / "Line ..., ...: the bin scanned (...) is not the bin of the line. Scan the bin again." / "Line ..., ...: '...' is not a bin of this storage space. Scan the bin's label." / "Line ..., ...: '...' is a bin, not a material. Scan the material." / "Line ..., ...: scan the bin the stock is put away in." / "Line ..., ...: scan the material that is put away."
- Why
- The server reads both codes of every line again when the entry is submitted, and one no longer names what the line shows - a label or a voucher was changed meanwhile, or the request was altered.
- What to do
- Remove that line and scan it again.
"Bin ... holds ... free of ...; ... cannot leave it." on Submit
- Why
- The receiving bin no longer holds what the entry takes out of it: someone else put part of it away, or moved it, since the list was read.
- What to do
- Press Refresh and scan what is still pending.
"Putaway entry ... submitted: ... put away in ... line(s) for .... Nothing of the voucher(s) is pending any more - they have left the pending list." / "... ... item(s) are still pending (... in all) and stay on the pending list for a later entry." / "... line(s) recorded as another bin than the one suggested."
- Why
- The entry is saved: for every line two movements were written, out of the receiving bin and into the bin scanned. The message says whether anything of the vouchers is still pending.
- What to do
- Nothing to do - or tick the voucher again later for what is still pending. The bin cards on Bin Stock show the movements; Entries lists the entry.
"You do not hold the right to put stock away. An administrator grants it in User Manager, Masters tab, on the object WMS - Bins (Alter)." / "You do not hold the right to cancel a putaway entry. ..."
- Why
- Submitting and cancelling an entry ask for the Alter right on the bins.
- What to do
- An administrator ticks Alter on WMS - Bins for you in User Manager.
"Bin ... is not the bin suggested (...). It can be used - the line is recorded as another bin." / a line shows "(other)"
- Why
- A bin the rules did not offer was scanned. The storage space allows it.
- What to do
- Go on if the stock is really in that bin; else Cancel (Esc) and scan the suggested bin.
"This storage space puts stock away in the bin suggested (...). The scan was discarded - scan that bin." / "This storage space puts stock away in the bin suggested (...). Scan that bin."
- Why
- The storage space does not allow another bin than the ones suggested.
- What to do
- Scan a suggested bin. To allow others, switch Another bin than suggested is allowed on, on Putaway Rules.
"The rules name no bin that takes this item. Find a free bin and scan it ..."
- Why
- No rule that is switched on names a bin with room: the item has no pick bin, nothing holds it yet, no zone carries its putaway class, and no empty bin passes.
- What to do
- Scan any free bin you find. To have bins offered, give the item a pick bin or a putaway class (Item Warehouse Settings), or switch more rules on (Putaway Rules).
"Bin ... is the receiving bin - the stock is waiting there already. Scan the bin it is put away in." / "That bin is not a bin of this storage space."
- Why
- A putaway moves stock out of the receiving bin into another bin of the same storage space.
- What to do
- Scan the bin the stock was put in.
"Bin ... is Blocked: stock is put away in a bin that is Active. The scan was discarded." (also Counting, Inactive)
- Why
- Stock is only put into a bin that is in use.
- What to do
- Scan an Active bin, or make the bin Active on the Bin Master.
"Bin ... is a ... bin. Stock is kept in a Storage or Pick face bin."
- Why
- The bin's type is not one stock is kept in (Receiving, Staging, Packing, Dispatch, QC hold, Damage, Returns). A refusal or a warning by the Bin type check of Putaway Rules.
- What to do
- Scan a Storage or Pick face bin; or change the bin's type on the Bin Master.
"Bin ... is the pick bin of another item." / "Bin ... takes only the items listed for it, and ... is not one of them." / "Bin ... is for a single item and already holds another." / "Bin ... is for a single batch and already holds another item or batch."
- Why
- What the bin is for, or already holds, does not go with this item. A refusal or a warning by the Mixing check of Putaway Rules.
- What to do
- Remove the line and scan another bin. If the bin should take it, change its Mixing or its item list on the Bin Master.
"Bin ... takes ... more of ...; ... does not fit." / "Bin ... keeps at most ... of ... and holds ...; ... takes it over."
- Why
- The quantity is over the bin's maximum quantity, weight or volume, or over the most the item keeps in its pick bin - counting the earlier lines of the same entry. A refusal or a warning by the Capacity check of Putaway Rules.
- What to do
- Put what fits in that bin and the rest in another; or raise the limit on the Bin Master / Item Warehouse Settings.
A dialog asks "Submit the entry anyway?" / "Read the warnings, then confirm."
- Why
- A bin raised warnings - checks set to Warn on Putaway Rules. Nothing has been moved yet.
- What to do
- OK submits the entry and keeps the warnings with its lines; Cancel leaves it to change the lines.
"Say why the entry is cancelled." / "The reason can't exceed 150 characters."
- Why
- A cancellation is kept with its reason.
- What to do
- Type the reason, up to 150 characters.
"Putaway entry ... can not be cancelled: ...: ... - ... taken from ..., but only ... of it is put away ... Reduce or cancel that voucher first."
- Why
- A voucher made from the receipt (an Inward Supply from a GRN, say) waits for the warehouse and has already taken what this entry put away (Linked Transaction properties > Warehouse Condition). Cancelling the entry would leave it holding more than is put away.
- What to do
- Reduce or cancel the voucher the message names first, then cancel the entry.
"Putaway entry ... is cancelled already." / "Putaway entry ... was cancelled by someone else meanwhile. Press Refresh." / Cancel this entry is greyed out
- Why
- No entry is picked, or the one picked is cancelled already.
- What to do
- Pick an entry that reads Submitted.
"That putaway entry is not an entry of this storage space. Press Refresh."
- Why
- The entry belongs to another storage space, or the list is out of date.
- What to do
- Close Entries, pick the storage space, and open Entries again.
"Bin ... holds ... free of ...; ... cannot leave it." when cancelling an entry
- Why
- Cancelling brings the entry's stock back from its bins to the receiving bin, and a bin no longer holds it - it has been moved, picked or issued since.
- What to do
- Bring the stock back to that bin with a move on Bin Stock, then cancel the entry; or leave the entry as it is.
"Putaway entry ... cancelled. Its stock is back in the receiving bin and is pending again on its voucher(s)."
- Why
- The entry is cancelled: opposite movements (Reversal) were written, nothing was deleted. Other entries of the same vouchers stay as they are.
- What to do
- Nothing to do. What the entry had put away is pending again.
