1What the figures are #
- Steps waiting for me - open work-flow steps you are named on. Always your own.
- Documents in work-flow - documents on their way through the steps - those you raised or have a step on; everyone's if you hold the Workflow Manager preference.
- Back with their creator - documents sent back, or started and not submitted again.
- Completed this month - documents that finished all their steps this month, and how many were aborted.
- Steps past their due date - open steps not decided in the time the step allows.
- Approvals waiting for me - everything in your Approvals inbox that needs your decision - leave, claims, credit, discounts, stock and the rest.
- The lists - the steps and the approvals waiting for you, oldest first.
2What every dashboard does the same way #
- Whose figures - the report option you signed in with (All, Branch or Group), shown at the top as For . A tile and the report its button opens are cut the same way.
- Cancelled vouchers are never counted. Money figures count posted vouchers only; what is entered but not posted has a tile of its own.
- This year is the company's financial year that today falls in; this month is the calendar month.
- Red wants attention; green is as it should be; a plain figure is just a fact.
- A tile showing ? could not be read; the line under it says why. The others stand.
3Toolbar & keyboard #
- Refresh (F3) reads everything again. The page does not refresh by itself. Esc closes it.
4If something does not work #
The dashboard is not on the menu / "You have not been given this page ... needs a right your login does not hold ... Ask an administrator for the preference "User Can View ... Dashboard", ticked in User Manager > Permissions > Preferences" / "You do not hold the right to open the ... Dashboard."
- Why
- Each dashboard has a right of its own, among the user preferences. These start unticked for everyone: they show sales, bank balances and what is owed. Administrators always hold them.
- What to do
- An administrator ticks User Can View ... Dashboard for you in User Manager > Permissions > Preferences. Then press the refresh button at the top of the menu, choose the company again, or sign in again, to see the menu item.
"You have not been given this page ... is not among the menu items granted to your login" on a dashboard
- Why
- The dashboard's menu section is not given to you. This is separate from the dashboard's preference, and it is checked first.
- What to do
- An administrator ticks the section on User Manager > Permissions > Menu Definition, and the dashboard's preference on the Preferences tab.
The page sends you back to the home page
- Why
- The company's licence does not include the dashboard's module (Sales, Purchase, Financial Accounting, Inventory, Order Management, Payroll, Cashier, CRM, Manufacturing, Workflow Management, Communications or Document Management).
- What to do
- Ask your vendor for the module.
A tile shows "?" and "Could not be read: ..."
- Why
- That one figure could not be worked out - a database function it reads failed or took too long. The other tiles are not affected.
- What to do
- Press Refresh (F3). If it stays, open the report behind the tile: it reads the same source and shows the full message. Tell your administrator what it says.
A chart or a list is missing
- Why
- It could not be read, or it has nothing to show (a ring needs at least two parties or accounts).
- What to do
- Press Refresh (F3); open the report behind it for the detail.
A figure is not the same as a report's
- Why
- The dashboard counts posted vouchers that are not cancelled, for the report option you signed in with, up to today. A report run for other dates, another branch option, or with unposted vouchers included will differ. Sales and purchases here are the Sale and Purchase voucher types that reach the books, at the voucher's total.
- What to do
- Run the report for the same dates and branch option. Look at the 'vouchers not posted' tile: what is not posted is not in the figures.
The figures are for the wrong branch
- Why
- They follow the report option chosen when signing in: All, Branch (the branch signed in to) or Group. The top of the page says which, under 'For'.
- What to do
- Sign in again with the report option you want.
Nothing changes while the page is open
- Why
- A dashboard is read when it opens and when you ask; it does not refresh by itself.
- What to do
- Press Refresh (F3).
An order line is never shown as late
- Why
- A line is late only when it has a date wanted (Required Date on the order line) and that date has passed. A line with no date is never late.
- What to do
- Enter the date wanted on the order's lines.
The CRM, Workflow or Communications Dashboard shows fewer records than I expect
- Why
- These three count only what you may see elsewhere. CRM: your own records and your team's - everyone's for a sales manager or an administrator; records only shared with you are not counted. Workflow: documents you raised or have a step on - everyone's with the preference User Can Run Workflow Manager; 'waiting for me' is always your own. Communications: your own messages - everyone's with User Can View Others Outbox. The top of the page says which.
- What to do
- Ask an administrator for the wider right if you should see everyone's.
The Documents Dashboard shows no file names
- Why
- It gives numbers for the whole document store, whoever may open each folder. File names are left out on purpose: who may see which folder is kept by the File Explorer.
- What to do
- Open File Explorer to see the files you may see.
'Document stores' is 0 and red
- Why
- No connection is set up, so nothing can be attached to any record.
- What to do
- An administrator adds one under Document Management > Connections.
'Attendance entered today' is 0 during the day
- Why
- It counts attendance lines dated today. Where attendance is entered at the end of the day, or loaded from the time devices later, it stays 0 until then.
- What to do
- Enter or load the day's attendance.
'Production orders open' still counts an order that has been made
- Why
- An order is open while one of its lines is not made in full. What was made counts against an order only when the production voucher was loaded FROM that order (a linked transaction); production entered on its own does not close the order.
- What to do
- Load the production from the order, or short-close the order when it is done.
'Below re-order level' is 0 although stock is low
- Why
- Only items with a re-order level (or minimum level) set on the Item Master are counted.
- What to do
- Set the levels on the Item Master.
This is the help InvoiceNET® ERP shows beside the Workflow Dashboard screen. Whether you have the screen depends on the modules of your licence and the rights your administrator has given you.
