Inventory

Stock you can trust, down to the rack.

Items, units, prices and opening stock, and every movement after that - stored, counted, reserved and valued - with reports that prove the figure.

Inventory keeps every item you buy, make, sell or store: how much there is, where it sits and what it is worth. No stock figure is typed by hand. Every quantity is worked out from the vouchers that moved it, starting from the opening stock. You can track batches, serial numbers and expiry dates on the items that need them. Stock is kept in storage spaces and racks, with transfers between them. Physical counts bring the books to what is on the shelf. Stock is valued by the method you choose, such as FIFO or weighted average, and every stock report reads the same figures.

Why use it

  • Your stock sheet and your books never agreeHere every quantity comes from the vouchers, so any two stock reports agree.
  • You cannot say which rack an item is onHere stock is kept by storage space and rack, with transfers between them.
  • Expired goods are found on the shelf too lateHere batches carry expiry dates and expiry reports show what is near its date.
  • Stock counts leave differences nobody can explainHere a physical stock voucher brings the books to the count.
  • Prices differ depending on who billsHere price types, formulas and price lists set the price for each kind of customer.

Key advantages

Stock is never typed in; it is worked out from opening stock and every voucher, so each figure can be proved.

Each voucher type decides whether it moves stock and in which direction, set once in Voucher Manager.

One company setting values closing stock - FIFO, LIFO, weighted average or a chosen price - for every report and the balance sheet.

Reserved and blocked stock is held back from what you can promise.

One line of a saved voucher can be cancelled without cancelling the whole voucher.

An inventory dashboard shows stock value, items below nought, items under their levels and stock that is not moving.

Business benefits

One stock figure

Stock reports agree with each other and with the books, so decisions rest on one number.

Less dead stock

Slow-moving and near-expiry stock shows up while you can still act on it.

Clean year-end

Closing stock follows one valuation method, ready for the balance sheet.

Losses found early

Counts against the books show differences by item and storage space.

Where it is used

Pharma

A chemist sells medicines with batch numbers and expiry dates.

Each batch is tracked with its expiry, and reports show what is near its date.

Retail

A store keeps stock in a back room and on display racks.

Stock is kept by storage space and rack, and transfers record what moved between them.

Food

A food wholesaler counts its stock every month.

The physical stock voucher brings the books to the count and shows the difference by item.

Trading

An electronics dealer must know which serial number was sold.

Serial numbers are captured on the way in and out. Serial History shows where each piece went, on which invoice, and every service call since.

What it costs, and what it saves

See pricing

The price list could not be read just now; the pricing page shows today's price.

What it replaces

  • Reconciling stock sheets with the books
  • Searching the store for an item
  • Writing off expired goods found too late
  • Recounting to explain differences
